STRUCTURE, GOVERNANCE AND MANAGEMENT

Westerlands Cross Country club is managed according to its constitution:

Trustees Recruitment and Appointment

There is a minimum of three and a maximum of seven Charity Trustees. The Chair, Secretary and Treasurer will each be a Trustee and additional club members can be elected at each AGM. Trustees retire at the end of each year and the election of new Trustees takes place at the organisation’s AGM. A Trustee cannot stand for reelection if they have served as trustee of the organisation for more than 9 contiguous years (without a break of at least one year).

PURPOSES AND OBJECTIVES

The organisation’s purposes are to promote the advancement of public participation in hill running, cross country running and trail running; and to foster a social community of those who enjoy running and the natural environment in Scotland and beyond.

Westies continues to prosper as an organisation supporting hill running and crosscountry in Glasgow and throughout Scotland. This year our membership stands at 254 members which is in line with figures from previous years.

The year started with a full programme of cross-country activities with large Westies’ turnouts for the National Championships at Callendar Park, Falkirk in February 2024 and at the West District League races and West Area Championships during Autumn and Winter 2023. Members of the Westerlands Committee and general membership also played a key role in the organisation and marshalling at Dunbartonshire, West District and National Cross-Country events.

February 2024 saw Westerlands field 11 teams at the Devils Burden’s Relays in Fife. This was by far the biggest turnout of any of the clubs attending and included a wide range of members with the age of participants ranging from the early 20’s to those in their 70’s.

Westerlands were well represented at the Six Scottish Championship Hill races with many fine individual performances across a range of open and veteran categories recorded. Of particular note is that we had 15 Women complete at least one championship race which was the highest figure of any Scottish club.

In addition to participation, Westerlands members also organised the following hill races:

Regular training sessions took place which included hill reps on Monday nights utilising hills and parks in the Northwest and South of Glasgow and Wednesday night club training runs utilising local hills and trails close to Glasgow such as the Kilpatricks, Campsies, Mugdock Country Park and Linn Park.

Members completed some notable individual and small group running challenges; achievements included:

Westerlands works hard to make club runs as inclusive as possible by encouraging car sharing and, where possible, meets at locations with public transport and bike parking options. We also arranged minibus transport to several of the larger races such as the Devils Burden relays held in Fife. Such initiatives help to minimise the impact of travel on the environment and increase access to the great Scottish and wider UK outdoors.

We thank all the Trustees, Committee members, Race Organisers, Event Organisers, Marshalls, and participants for the tremendous work that builds such an amazing community in the sport. Overall, Westerlands continues to thrive and support the imagination and athletic achievement of its incredible membership.

FINANCIAL REVIEW

Club life has been healthy during the financial year of 2022-23. Memberships have stayed high and race income is strong.We wish to thank Mr David Powtrie who has for the third year in succession certified the accounts for this year.

The main sources of income for the club are subscriptions and race income. For this last year, subscriptions were kept at £20 per annum and subs income is in a healthy state.

Overall, the club has a surplus of £6000. This has gone down from 2022-23 but this is not a bad thing as, as a non-profit making club, it is on the high side. The nature of our business will cause fluctuations from year to year.

The club has two main sources of income – subscriptions and race income. The membership has remained almost the same as last year so subscription income is stable. At the financial year end, the membership was 251 including 16 social members. There were 46 new members and 50 leavers. There were 7 new members in August and September 2023. There are 6 life members.

The income from races has increased this year a little bit. The race entries for Arrochar Alps’ benefited from being a championship race. The overall race income was down on the previous year. The Two Breweries being at the end of the financial year has an impact on race organisation figures. All of the expenditure for the 2022-23 race all came out of the 2023-24 account which will have affected the overall figures

The club encourages race participation and pays the entry fees for the main cross-country races and relay hill races. Participation in 2023-24 cross-country season was low. In contrast, all the main hill relay events were well attended. It was good to have the Devils Burdens back. The club is also happy to subsidise transport to these and other events where there is demand e.g. for 2023-24, the Devils Burdens, Feel the Burns. Accommodation for events is also subsidised where required.

Donations were made to the three MRTs that support the club, Lomond, Arrochar and Moffat, and to SHR as appreciation of the work they do. These have remained static since they were proposed a few years ago. Given the club surplus, I think that it is time to consider an increase for each organisation.

The club pays Scottish Athletics an annual fee for each active individual member. This year the cost remained at £1030, in line with the stable membership.

Vests and t-shirts, long- and short-sleeved, are bought from Migo Sports. They are sold to members at cost price. That price has unfortunately increased this year by a couple of pounds but I consider them still to be good value. New members receive a vest as part of their membership. In 2023-24, 24 new members took up the offer of a vest. Other kit is ordered separately and as required.

As suggested last year, a membership management scheme has now been introduced and from 2024-25, memberships are administered by SiEntries. There is a small charge per transaction. The income is transferred to the club on a monthly basis. For this year, the Committee has decided to absorb the administration cost. With a continuing healthy bank balance I propose that the full subscription of £20 remains; and the social membership at £6. These are, therefore, the membership costs that I propose for club acceptance.

Statement of the charity’s policy on reserves

Annual Report The organisation does not have a stated policy on reserves. As an organisation with no significant overheads or responsibilities, it does not hold large reserves. It always aims to break even each year and maintain a sufficient amount of cash in its bank account to cater for any unseen issues. Details of any deficit The organisation has no deficit. Donated facilities and services The organisation benefits from the donation of members, time as volunteers for various of its own organised events and for external, related organisations, events. General day-to- day maintenance and administration of the website and social media is done by members of the organisation. The website and social media are very important to the organisation for promotion of its activities and its general marketing.
