Structure, Governance and Management

Governing Document

The project is a Scottish Charitable Incorporated set up by a constitution which sets out objectives and the administrative framework within which the charity operates.

Membership

Membership of the charity is open to any organisation who is nominated by an organisation that supports the aims of the charity. The charity currently has 40 members, all of whom have nominated an individual to represent them. All individuals nominated by a member are eligible to seek election as a trustee of the charity.

Charity Trustees

A minimum of 3 and a maximum of 15 trustees manage the charity. Trustees are elected at the Annual General Meeting.

Recruitment and appointment of Trustees

All of the project's trustees are appointed or reappointed by the members at our Annual General Meeting that is held on an annual basis. All trustees must be nominated by a member organisation, be co-opted by the Trustee board or through an external recruitment process.

Trustee Induction and Training

A trustee induction pack is reviewed and produced every year prior to the first meeting of the trustees after the AGM.

Key Management Remuneration

In the opinion of the Trustees there is one member of key management, which is the General Manager. The total costs to the charity for this post in the year was £47,677 (2023 - £47,682).

Objectives and Activities

Charitable Purposes

The primary purpose of the project is to provide affordable holidays and respite to disadvantaged families. All of the families we work with live on a very low income. For them, a holiday is not a luxury; it is an essential break to help them cope with difficult circumstances. For many, this will be their first-ever holiday.

Achievements and Performance

The 2023/24 financial year has continued to be extremely challenging, due to:

•Continued inflationary pressures leading to a sharp increase in costs. Haven have increased site fees by nearly 20% in the last 2 years.

•Loss of long-term funders coupled with unsuccessful fundraising campaign- 17% success rate (2 out of 12 bids) placed were successful, versus previous 83% success rate over previous years.

In spite of these challenges, we have been successful over the last year in terms of delivering against our targets and outcomes.

We have provided a total of 1643 people living in Glasgow on a low income and facing challenging circumstances with access to week long respite holidays and free days out ensuring that families will have access to the right break at the right time for them.

Respite Holiday Programme

We provided 443 people with a with one week respite holiday at one of our 4 Caravans situated at Haven Craig Tara resort in Ayr. As well as providing families with a one-week break we will also provided:

•A free food hamper, reducing the cost of the holiday whilst encouraging families to eat more healthily whilst on holiday;

•A discount card providing 50% off all paid-for activities on site and 15% off all other purchases on site.

Our transport service remained suspended due to the continued extra costs of providing professional COVID level cleans.

Wider Social Tourism Opportunities

We have set ourselves a target of providing 3000 people with a wider social-tourism opportunities such as overnight hotel stays and free days out over the next 3 years. In 2023/24 we made significant progress towards that target by providing over 1200 people with a BIG DAY OUT. Crucial to achieving this was the following partnerships:

•We continued partnership with Knightswood CE Centre, IGNITE Theatre Group and the Glasgow Recovery Network to provide a weekly cinema day for people within the Knightswood areas struggling with the cost-of-living crisis. Attendees would receive a hot meal, a chance to meet new people and a free movie. Weekly attendance sat at between 80-100 participants.

•We worked with the Linkes Group to provide a BIG DAY OUT for 70 people.

•Working with New Hope Community to provide 80 people with day out.

Respective responsibilities of trustees and examiner:

The charity’s trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) 2005 Act and the Charities Accounts (Scotland) Regulations 2006. The charity trustees consider that the audit requirement of Regulation 10(1) (d) of the Accounts Regulations does not apply. It is my responsibility to examine the accounts as required under section 44(1) (c) of the Act and to state whether particular matters have come to my attention.

Basis of Independent Examiner's statement:

My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland) Regulations 2006. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeks explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and, consequently, I do not express an audit opinion on the accounts.

Independent Examiner's statement:

In the course of my examination, no matter has come to my attention:

  1. Which gives me reasonable cause to believe that in any material respect the requirements to:

  2. keep accounting records in accordance with section 44(1) (a) of the 2005 Act and Regulation 4 of the 2006 Accounts Regulations, and

  3. prepare accounts which accord with the accounting records and comply with Regulation 9 of the 2006 Accounts Regulations

1. General Information

Drumchapel Caravan Project (SCIO) ("the charity") is a Scottish Charitable Incorporated Organisation governed by its constitution. It was registered as an unicorporated association in Scotland (registered number SC039952) on 15 October 2008 and was incorporated as a SCIO on 14 March 2013. Its registered address is Knightswood Community Centre, 201 Alderman Road, Glasgow, G13 3DD.

8. Related Party Transactions

The trustees received no remuneration or expenses during the year (2023: Nil).

All trustees are not allowed to participate in discussions or decisions on transactions where they have an interest.

In addition, all trustees are asked to complete a register of interest form, interests declared by trustees on the 31st March 2024 were as follows:
