Trustees Annual Report
1. Name of the Society.
The name of the organisa�on is Elgin Musical Theatre, hereina�er referred to as.
2. Objec�ves
The Society exists to pursue the following objec�ves:
(a) Advance the Arts: To advance public apprecia�on and educa�on in the musical, opera�c, and drama�c arts within Elgin and the wider Moray area through high-quality public performances.
(b) Develop Skills: To provide accessible opportuni�es for individuals aged 16 and over to discover, learn, and develop crea�ve talents in both onstage performance and backstage technical disciplines.
(c) Promote Wellbeing: To foster a suppor�ve, inclusive environment that enhances posi�ve mental health, builds self-esteem, and inspires personal confidence through shared crea�ve ac�vi�es.
(d) Engage Community: To bring people together and strengthen civic pride by crea�ng a vibrant, mul�-genera�onal social hub that celebrates local talent and builds las�ng friendships.
(e) Support Local Culture: To collaborate with local groups and venues to enrich the cultural infrastructure of Moray and support charitable ini�a�ves through crea�ve fundraising events.
3. Management
officers will serve for one year and may stand for re-elec�on.
Commi�ee mee�ng a�er the AGM, a Chair and Vice-Chair shall be appointed.
(c) General Mee�ngs, AGMs and EGMs will normally be chaired by the Chair Person, Vice-Chair or an alterna�ve Commi�ee member chosen by the Chair.
(d) Commi�ee mee�ngs shall occur whenever needed, as agreed by the Commi�ee members, at a �me and loca�on suitable to the members. At least seven members must be present in order to make decisions.
(e) Where possible, each year one third of the elected Commi�ee members will step down in rota�on. Commi�ee members can hold a posi�on for a maximum of three years, at which point they must step down. They may be reappointed a�er a one year break from the Commi�ee. If a Commi�ee posi�on becomes vacant, the Commi�ee may appoint someone to fill the role.

(g) All Society property and assets belong to the Society and are held in trust by the Commi�ee.
(h) Alongside the Commi�ee, a Producer and Musical Director shall be appointed, alongside any other roles that the Commi�ee agree upon. These individuals may be asked to a�end Commi�ee mee�ngs when needed.
(i) For produc�ons, the Society may appoint a Cas�ng and Audi�on Panel. In such circumstances, the panel must include one non-audi�oning Commi�ee member where possible.

4. Membership
(a) Membership is open to all individuals over the age of 16 and they must comply with the Society’s cons�tu�on and Code of Conduct. Members include many on-stage and off-stage roles, produc�on team members, stage crew, front of house, fundraising team and more.
(b) Members are required to pay a Membership Fee, which will be agreed by the Commi�ee, and reviewed annually. Any individual wishing to audi�on must pay the assigned membership fee by the deadline provided by the Commi�ee. The Commi�ee reserves the right to adjust the fees for any non-performing members, or due to extenua�ng circumstances, on a case-by-case basis.
(c) Members are expected to a�end rehearsals, performances and Society events regularly. If a member cannot a�end due to illness or any other reason, they must inform a member of the Commi�ee or Produc�on team in a �mely manner. The Commi�ee and/or Produc�on Team may set a minimum rehearsal a�endance requirement for performers.
(d) Non-performing members may be asked to a�end rehearsals if required
5. Finances

(c) If the Society closes, any remaining money or assets will be given to a charity or organisa�on with similar aims, as determined by the Commi�ee via vote.
6. General Mee�ngs
- (a) Where possible, members will receive at least 14 days no�ce of the AGM.
(b) The AGM will include:

The Commi�ee agrees that an EGM is necessary and in the best interest for the Society.
Members must receive at least 4 days no�ce of an EGM.
7. Changes to the Cons�tu�on
(a) Any proposed changes to this Cons�tu�on must appear on the AGM/ EGM agenda. If the proposal does not come from the Commi�ee, it must be sent in wri�ng to the Secretary within 14 days of the Annual Produc�on.
- (b) Any change to the Cons�tu�on must be approved by at least two thirds of the members who are present for vo�ng.
8. Ma�ers Not Covered
For any other ma�ers which are not covered by this Cons�tu�on, these shall be discussed and addressed by the Commi�ee members by way of vo�ng.
This current year the society has performed ‘Footloose’ the Musical in Elgin Town Hall, with a great response from the local community.
