TRUSTEES' REPORT FOR THE YEAR ENDED 30TH JUNE 2024

Basis of Report and Accounts
The Trustees have pleasure in presenting their report together with the financial statements of the Charity for the year e 2024.
Principal Activities
The fund was established by a trust deed dated 4th June 1970.
The object of Rotary is to encourage and foster the ideal of service as a basis of worthy enterprise and in particular to encourage
First the development of acquaintance as an opportunity for service;
Second high ethical standards in business and professions, the recognition of the worthine occupations and the dignifying by each Rotarian of his occupation as an opportunity to Third the application of the ideals of service by every Rotarian to his personal, business and and Fourth the advancement of international understanding, goodwill and peace through a wor business and professional persons united in the ideal of service.
In achieving these objects the members carry out fund-raising and service projects in order to provide assistance to loc international causes.
As a registered Charity the fund is not liable to taxation.
Risk Management
The Trustees have reviewed the risks facing the Charity, which has involved identifying the type of risk and the means of mitiga Internal controls and systems have been established accordingly.
Reserves Policy
The Trustees consider the level of reserves required should be sufficient to ensure the charity is able to maintain the historic service for the foreseeable future . Significant surpluses should be reviewed by the Trustees in conjunction with the Council of and may be distributed ad hoc.

Investment Policy
In view of the level of funds available for investing, the Charity has a policy of investing in low risk investments such as bank a accounts.
Grant Making Policy
The Charity makes donations to local, national and international charitable causes. Donations which may first be considere proposed by Club committees are ratified by the Club Council and Trustees. Ratification may be retrospective in the cas donations requested by committees of the Club. Unless the Club otherwise resolves, not less than twenty per cent of funds r year should go to causes deemed international as agreed by the Council of the Club.
Responsibility of the Trustees
The Charity Act requires the Trustees to prepare financial statements for each financial year, which give a true and fair view of t affairs of the charity at the year end and of its income and expenditure for the year then ended. In preparing the financial statem Trustees are required to select suitable accounting policies and then apply them consistently, making judgements and estimates t reasonable and prudent. The Trustees must also prepare the financial statements on an ongoing concern basis unless it is inappro presume that the charity will continue its accuracy at any time the financial position of the Charity and enable them to ensure th activities. The Trustees are responsible for keeping proper accounting records, which disclose with reasonable accuracy at any ti financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. Th also responsible for safeguarding the assets of the Charity and therefore taking reasonable steps for the prevention and detection other irregularities.
Review of Activities for the year
Grants and Donations received in FY2024 totalled £13,228 (£9,926 in FY2023). This sum included an exceptional item, a £5k d the Rotary Club of Rugby General Fund. Excluding this, grants and donations received stands at just over £8.2k. £4k of this was the Rugby Group Benevolent Trust. Future funding from this source is uncertain as the RGBT is likely to wind up in the foresee Income from Fundraising was £18,094 (£22,849). Total Income including interest received was £31,926 (£33,036). Total expenditure on Fund Raising was £4,310 (£6,001). Donations to charitable causes were £23,253 (£29,159).
The retained funds of the charity increased to £25,944 (£21,581)
The proportion of donations made in the year to charities working overseas was 20% of the total donations made.

We report on the accounts of the Charity for the year ended 30th June 2024 as set out on pages 5 to 9.
Respective Responsibilities of Trustees and Examiners
The Charity's Trustees are responsible for the preparation of the accounts. You the Trustees consider that an audit is not required under Section 144(2) Charities Act 2011 ( the 2011 Act) and that an independent examination is needed.
It is our responsibility as Examiners to:
- (i) examine the accounts under section 145 of the 2011 Act
(ii) follow the procedures laid down in the General Directions given by the Charity Commissioners under section 145(5) of (iii) state whether any particular matters have come to our attention.
Basis of Independent Examiners' Report
Our examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examinatio review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. It also incl consideration of unusual items or disclosures in the accounts , and seeking explanations from the Trustees concerning such mat procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given a the accounts present a "true and fair view" and the report is limited to those matters set out in the statement below.
Independent Examiners' Statement
In connection with our examination no matter has come to our attention:
1 which gives reasonable cause to believe that in any material respect the requirement:
- (a) to keep accounting records in accordance with section 130 of the 2011 Act and
(b) to prepare accounts which accord with the accounting records and comply wit accounting requirements of the 2011 Act.

2. Donations made
For the purpose of these accounts, the following have been treated as donations made by RCRBT
a) purchasing dictionaries for local schools
b) net cost of running the Sports for Disabled event
c) costs of running all Youth Events (the contribution form other RC's has been treated as dominations received)
d) profit sharing when the event has been run jointly with another organisation e.g. Inner Wheel (100 Club, Sainsbury's Scheme, Quiz) and RC Lutterworth (Golf Day)
e) cost of sponsoring a child at Special Needs Football day
3. Miscellaneous Transactions
Council agreed to restrict £7500 from the Benevolent a/c for a Global Grant application for toilet blocks in Malawi. This suum was to made up of a £5000 donation from the RCR General Fund and £2500 from the Travel Scholarship fund (restricted to educational purposes overseas). However, the Travel Scholarship Fund had insufficient money leftover. This net zero transaction reserves unreserved funds in the Benevolent Trust a/c for the Global Grant and balances the Reserved Funds of the charity at 30/06.24
