The Hall is managed by a committee consisting of the Trustees, the Booking Secretary, the Committee Secretary and representatives of user groups. The committee aims to meet six times a year, either face to face or remotely (successful Zoom meetings have been held during the pandemic) Notes of each meeting including action points are kept and circulated. The Trustees and Secretaries are all village residents and in frequent communication by email and telephone which facilitates the day to day management of the Hall . The Trustees and Secretaries are elected and appointed at the AGM which is held in the Hall, is advertised locally in advance and open to all .

The objectives of the charity are

to provide a Hall for the use of the residents of Steventon and surrounding area of Oxfordshire for all types of activities.

Chairman’s Report 2021

The lockdown for Covid-19 has lasted a long time but slowly we have been getting the bookings back after re-opening and it’s beginning to look a little more like normal now. It seems we have got to learn to live with Covid and so while we can relax a little and have a third injection, we can still keep the sanitisers in place as I see this as a valuable thing to be doing.

TREASURERS REPORT – FINANCIAL YEAR 2020/21

This last year has seen the majority of the time spent in lockdown. Thanks to grants from the Vale of White Horse District Council and the use of reserves, see attached accounts for year ended 31st March 2021, we have managed to come through it. INCOME

The overall income for the year was £25,644.53, a reduction of £12,558.09 on the previous year.

EXPENDITURE

Total expenditure for the financial year was £30,114.84 compared with £42,260.11 the previous year. Routine costs and repairs were incurred to maintain the condition of the hall and ensure no deterioration of the premises.

SURPLUS/DEFICIT

The deficit for the year was £4537.65 BANKING

Building Society accounts (reserves) amount to £22,715.38, a reduction from £32,683.74 the previous year.

Booking Secretary's Report

May 1 , 2020 - April 30, 2021 was a quiet year for Steventon Village Hall (and it should have been a very busy year!).

The hall continued to partially operate throughout the Covid-19 outbreak (a handful of activities were able to resume in line with the latest guidance) but it was fully closed during the lockdowns.

Most of our regulars could not operate at all and restrictions on social gatherings meant that all our one - off bookings, such as parties, quizzes, dog shows, etc. had to be cancelled.

I regularly updated all the regular users by email reg. new procedures, advice, etc. As the guidance and rules kept changing, the support from ACRE has been vital. New conditions of hire have been introduced to enable us to operate as a ‘’Covid secure’’ hall and are still in place for anyone wishing to hire the hall.

We are almost fully reopened now and bookings are returning, regular and one-offs. 90% of the hall users we had prior to the pandemic have rebooked for the end of this year and the next year.
