Structure, Governance and Management The Sundon Village Hall Management Committee was established under a trust deed dated I. March 1967. The committee may comprise of three elected members, a number of members appointed by specified or8anisations, and up to two co-opted member5. The elected members are elected at an annual general meeting at which inhabitants of the area of benefit who are over eighteen yeats of a8e are entitled to vote. The or8anisations currently entitled to appoint members to the committee are: Sundon Parish Councll Sundon Parochial Church Council There are Current no appointed members to the commlttee. Any competent member of the committee may be re*lerted or re-appointed. Objertlves and Actlvltles Sundon Vllla8e Hall is operated for the use of the inhabitant5 of Sundon Village and the neighbourhood, in particular for meetin8s, lettures and classes. and other forms of recreation and leisure activities, with the object of improving life for the said inhabitants. The Trustees have paid due re8ard to the public benefit guidance issued by the Charlty Commission in organising activities for the year. Durln8 the year the hall has been used for clubs, communlty meetin8s, rell8ious meetings, fitne55 and dance classes, village choir and social events. The Trustees have relled on the help of volunteers from time to time to theck and maintain the hall and surrounding grounds. This help has been Invaluable In keepln8 the hall open for use. Achlevements and Performance The hall has contlnued to be a key amenity for Sundon Village, used by many residents and others from outside the village. During the year the hall has provided a regular weekly meeting place for older resldents of the village and neighbourhood. The choir, arts club, fitness and dance classes are open to village residents and others in the wider community. The church groups are open to all. As well as the re8ular weekly activities, the hall has been used as a pollin8 Station, and for meetings of the Parish Council and local businesses. It has also provided a venue for social events such as the popular annual village ra night, as well as private parties and gatherings for residents of the village.

The damage was significant and resulted in closure for fi)ur months. The extensive repair work required was paid for by an insurance settlement. Financial Review The principal source of income continues to be hire fee5 from the gularweekIY and monthly activities, supplemented by ad-hoc bookings for social events and meetings. Hire fees were lower than anticipated at £7,76712023'. £8,805), due to the period of closure following the arson attack. Expenditure excluding the arson attack repairs was down on the previous year at £6,950 {2023: £12,498). This was in part due to the period of closure, but also because the prevlous year included planned refurbishment work to the hall floor of £3,888, and other planned malntenance. Net surplus for the year was £602 {2023: deficlt £3,680}. Repairs following the arson attack totalled £23,715, and this was paid for by an insurance settlement of £23,405, the difference being the policrf excess. Cash reserves held at the end of the period amounted to £11,076. Sufficient reserves are held to cover any period of temporary closure, and to ensure that essential maintenance and refurbishment can be carried out as and when required. The key rlsks to operating the hall are identified as la} lack of usage Ib) poor maintenance and safety procedures (c} lack of volunteers. Following the maintenance in 2023 and repairs ID 2024, the hall is in an excellent condition. Fire safety assessments are up to date and all insurance requirements have been complied with. New regular bookings have been received for 2024/25 which means that income looks secure for the medium term. It remains challen8in8 to attract new volunteers and trustees.
