Minutes of Meeting 9[th] July 2020

Present: Christopher Tyrer (CT). (Chair). Al Bowyer (AB) (Treasurer), Tony Bundock (TB), Keith Rosling (KR) (Secretary). Chris Brooks (CB).

1. Welcome

• a. CT Welcomed KR to the Board of Trustees as Secretary

• b. CT thanked John Holmes as the previous Secretary

2. Previous meeting: The Minutes of the meeting of 8[h] July 2019 were approved.

3. Matters Arising: There were no matters arising

4. Consideration of the Covid 19 effect on the operations of the Club:

• a. Club matters handled satisfactorily via Zoom Council meetings which occur fortnightly. No actions required

• b. Given the uncertainty of Covid situation it was accepted that strategic reserves could be utilised if it was deemed necessary.

5. Review of the Charity Account and donations, 2019/20: AB Reported

• a. £24.3k had been dispersed at 30[th] June.

• b. A further £7.5k is available for future donations

• c. An additional £ 3.5k has been retained for contingency

The Trustees agreed that the proper procedures had been followed and thanked AB for his careful stewardship of the club’s finances

6. Bank signatories:

• a. Bank Mandate needs to be changed from John Holmes to KR. CT to sign paperwork

• b. Intent to move to online payments

7. Compliance:

• a. Compliance Officer (Reg Orsler) has reported no issues

8. Safeguarding:

• a. Safeguarding Officer Hugh Poulton has reported no issues

9. AOB:

• a. AB will advise the Charity Commission of the Trustee changes.
