EYE & DUNSDEN VILLAGE HALL TRusr REPORT OF THE TRUSTEES Eye & Dunsden Village Hall Trust, Dunsden Green, Readingi RG4 9QG is a registered charity No 273293 The trustees during the year were: Mr D Woodward (E&D Parish Council) Mrs D Honey (Treasurer) Mrs J Phillimore Strurture, Governance and Management The governing document of the Eye & Dunsden Village Trust is the Conveyance and Trust Deed dated 21 March 1977, as amended 22 June 2010. The following bodies are entitled to appoint trustees: Eye & Dunsden Parish Council (two trustees), Binfield Heath Parish Council, and The Parochlal Church Council of the Ecclesiastical Parish of Shiplake with Dunsden. Objectives The objectives of the charity are the management of the Eye & Dunsden Village Hall for the use of the inhabitants within the parish of Eye and Dunsden, without distinction of political, religious or other opinions, including use for meetings, lertures and classes and for other forms of recreation and leisure-time occupation with the object of improving the conditions of life for the said inhabitants. Unrestricted Funds and Reserve Policy As at 30 April 2024 the Tnjst had overall assets of £58,626 (2023: £61,837). Based on the ongoing costs of managing the two halls and the grounds and taking into consideration the relatlve risks to sustaining normal levels of income. the Trustees have established a reserve policy which requires six months of the annual costs of managing and maintaining the property to be held in Reserve. The amount of £20.000 is ring-fenced in our bank accounts for this security. Registered Charity No. 273293

EYE & DUNSDEN VILLAGE HALL TRusr REPORT OF THE TRUSTEES continued Achievement and performance during the year The hall has contlnued to be a very popular venue for children's birthday parties and adult celebration events, as well as being an affordable wedding reception venue. During the year, we became a certified venue for marriage ceremonies to take place at, and our first ceremony took place in June 2024. We have continued to offer a wide range of weekly, fortnightly and monthly classes with our regular hfj￿rs, including arts and craftsi yoga, Pilates, Tai Chi, dance, and wellbeing, as well as offering a nature-based pre-school in the paddock. Our popular annual fireworks event wasn't held in 2023 but we hope to hold it in Nov 2024. Improvements during the year included a new kitchen for the Palmer Room, 3 wall heaters for the Palmer Room, 20 new folding tables, and an upgrade to the patio steps. We also achieved the placement of a Defibrillator outside the Palmer Room, through the Millie's Dream organisation, which was marked with an official opening event. Thanks are given to the Phillimore Trust whose kind donation funded the Defibrillator. Review of financial activities Total income for the year was £68,390 (2023: £74,912); bookings for the two halls contributed £52,422 (2023: £53.465). The total cost of re-developing, maintaining and running both halls, including project work, amounted to £68,656 (2023: £66.505). The cost of the Hall Management for 2024 was £27,477 (2023: £25,683). The overall deficit for the year amounted to £3,211 (2023: Deficit £2,803). Registered Charity No. 273293

The success of the hall could not be achieved without its dedicated team of volunteer trustees and paid staff, who work enthusiastically to promote the hall, assist the hirers and keep the hall clean and safe for everyone to use. Our first improvement in the year ahead will be to install a noise lirniter device, to ensure music played at our hirers. events does not disturb our neighbours in the village. Future a￿aS for improvement, requiring further funding, include repairs to the hall roof, resurfacing the overflow car park, improving the outdoor lighting, and landscaping the gardens. EYE & DUNSDEN VILLAGE HALL TRUST Independent Examiner's Report to the Trustees of the Eye & Dunsden Village Hall Trust Respective responsibilities of Trustees & Examiner The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year under sertion 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed. It is my responsibility to: examine the accounts under section 145 of the Charities Act, to follow the procedures laid down in the general Direttions given by the Charity Commission (under section 145(5){b) of the Charities Act, and to state whether particular matters have come to my attention. Basis of independent examinerfs report My examination was carried out in accordance with general Dirertions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fairf view and the report is limited to those matters set out in the statement below. Independent examiner's statement In connection with my examination, no matter has come to my attention: (l) which give me reasonable cause to believe that in any material respect the requirements to keep accounting records in accordance with S130 of the Act, and to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Act have not been met. Or (2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached. EYE & DUNSDEN VILLAGE HALL TRUST NOTES TO THE ACCOUNTS l. These accounts have been prepared on a receipts and payments basis. 2. Hiring of Halls Regular bookings included 3 Pilates groups, 2 yoga groups, 2 dance groups, 2 art and craft groups, and a Tai Chi group. The halls are also used by the Parish Council, as well being well supported by the local community for private bookings, including an increasing number of wedding receptions. 3. Bank interest of £1,008 {2023: £219). 4. No fireworks were possible this year. 5. No fundraising events were held this year. 6. Total administration costs include costs of website development, mernbership of the Oxfordshire Rural Community Council (ORCC), membership of the Oxfordshlre Community & Voluntary Action (OCrfA) groupi the PPL PRS licence and the Independent Examinerfs fee of £312. 9. The trustees did not receive any remuneration or benefits in kind, other than reimbursement of expenses. 10. Current Liabilities represent refundable deposlts made by individuals hiring the halls. 11. £20,000 of the unrestricted funds has been dEsignated as re￿rVeS (2023: £15,000) and an additional £ 1,096 relates to the cottage deposit. 12.
