BEACON HILL SPORTS ASSOCIATION

Trustees’ report 2019/20

Welcome everybody to this AGM of the association. For those new to the Charitable Trust I would just like to remind you of our governing instrument. Our purpose is to provide and maintain a village hall and sports and recreational facilities for the residents of the four parishes of Wickham Bishops, Great Totham, Great and Little Braxted. We were founded on 10[th] January 1928, over 92 years ago.

There have been some changes to the Board of Trustees since the 2019 AGM.

Resignations and appointments : Barry Sayers was re-appointed in November 2019 and resigned in June 2020 but continues to support the BHSA as a Vice President. In July 2020, Ann Goody replaced Barrie Stead as the Bridge Club representative following his resignation in June 2020. Jonathan Gustard of the Tennis Club handed over to Bryony Rochester in February 2020. Ian Wiley was co-opted and Nicole Carter was appointed Honorary Secretary in February 2020. It is a long time since we have had a Secretary and so Nicole’s skills are greatly appreciated. We all welcome the new Trustees and the Secretary. We also give thanks for their services to those who have left the BHSA.

Management of the Charity

Of the four possible Committees, there have been only two fully operational committees during the year, Property and Facilities Management and the Finance and Investments Committee. I would like to thank Dave Croom, who chairs the Property and Facilities Management Committee having taken over from Barry Sayers, and all the members of both Committees who have given substantial amounts of time to the BHSA.

In particular, as regards the Finance Committee, I would like to thank Ian Wiley for leading the project to choose external investment managers and Barry Faber who, as changes occur, ensures that block grants are amended fairly.

I continue to chair the Finance Committee.

I would also like to thank Margaret Macgregor, who as the Booking Clerk and Cashier fulfils a very important and demanding role for the BHSA. Thanks also to Ken Matten who assists Margaret by preparing the booking schedules each year and by producing a reconciled account when fund raising events are held.

It would also be remiss if I did not give thanks to Robert Brown who provides his services as an electrician and Roger Lyons who looks after the website.

We are all volunteers and I would like to reiterate my thanks to all for their time and support.

Fund raising

The Committee, with its band of regular helpers, organised the October Quiz raising £917 of income. Peter Hughes, with his Jazz nights, held monthly concerts through to February and contributed £4,046 of combined donations and hall hire income. No further fund raising was possible after March.

The pandemic

Covid-19 came out of nowhere and has had a huge impact on the Charity as we entered lockdown in March 2020. The Property and Facilities Management Committee, greatly supported by Andrew Goodwin of Meadow Brook Services Ltd, are to be commended upon their swift actions to safeguard the Hall and ensure the Hall could be used safely after the first lockdown. Getting to grips with the Covid regulations is no small feat. I would also like to give thanks to John and Daryl Bewley who provide janitorial services for us.

To overcome the financial impact of the pandemic, Maldon District Council dispensed Government grants to the recreational and hospitality sector. BHSA secured £35,000 in respect of the Hall and the sports pavilion, and the Tennis Club claimed £10,000 for their own use. Clarity is being sought as to whether the Tennis Club were entitled to claim the grant for themselves.

The Football Club

In March 2020, the 2020 Exemplary Service Award by Essex County FA was awarded to Peter Mickelsen, one of the founders of the Beacon Hill Rovers Football Club and a former Chair of BHSA. Sadly, Peter died shortly after receiving his award. However, in memory of Peter’s achievements, the Football Club having decided to develop the Pavilion plan to rename it The Peter Mickelsen Pavilion. The BHSA awarded the Club an £8,000 grant to help with this development.

Financial performance

The accounts for the year ended 30 September 2020 show a £1.5k excess of income over expenditure. This surplus has been achieved due to the inclusion of the £35k Government grant which has offset £21k of expenditure on completing the toilet constructed at the front of the Village Hall. The addition of this facility will enable the Boardroom to be hired out during the day when normal life resumes.

As at 30 September 2020 the internal management accounts show that virtually half of the grant from the Government has been utilised. Little improvement in this situation is anticipated so it is expected that the remainder of the grant will be utilised within the six months to 31 March 2021.

Interest received in the year was £5.2k which is 18% down on 2019. Interest rates have fallen considerably which has prompted the Trustees to seek alternative low risk investments to overcome loss of capital from inflationary factors.

Independent Examiner

I would also like to thank Bambi Harrison for being our Independent Examiner of the accounts again this year.

I normally end my report by advising when the next fund raising event will be held, but I believe that to be a long way off. Please do all ensure that Covid-19 regulations are strongly adhered to so that we can all come out of this pandemic at the earliest opportunity.
