GODMERSHAM AND CRUNDALE RECREATION HALL REPORT OF THE TRUSTEES

FOR THE YEAR ENDED 31 DECEMBER 2024

The Trustees present their annual report and financial statements for the year ended 31 December 2024.

1. Structure

The charity which is registered with the Charity Commission under number 226915 is established under a Vesting Deed dated 14 December 1938.

2. Governance and Management

During the year, the following were Trustees of the charity:

3. Objectives and Activities

The objects of the charity as stated in the governing document are:

Recreation hall for the purposes of physical and mental recreation and social moral and intellectual development through the medium of reading and recreation rooms, library, lectures, classes, recreations and entertainments or otherwise as may be found expedient for the

benefit of the inhabitants of the parishes of Godmersham and Crundale and their immediate vicinity.

4. Review of the Year.

(a) The Christmas Grand Bazaar

The highlight of the year must undoubtably go to the Christmas Grand Bazaar. This was a joint effort with Chilham Craft Fair who organised the craft stalls. It fell to the management committee to organise Santa’s Grotto, Santa’s Tavern and a raffle. Everything was proceeding according to plan until the arrival of Storm Darragh which threw a major spanner in the works. Emergency planning on the Thursday with the Bazaar on the Saturday resulted in a magnificent transformation of the hall into a winter wonderland with a team effort which only goes to Illustrate the village community spirit in times of need.

The day itself was a great success with special thanks to all the Father Christmases and elves who dressed up for the day and the whole team who worked tirelessly. It is our intention to make this an annual event to which end a lot of funds were invested in costumes, scenery and equipment which will hopefully be used again.

(b) Jumble/Boot Fairs

A new departure with the aim of raising funds to improve the hall facilities. After an uncertain start we have improved our advertising and use of social media. The last fair in September was a great success, being well attended and the hall making over £200 profit.

(c) Wedding Fayre

Another new departure but with weddings being our principal source of income it was felt that the investment in time and effort was warranted. It was very much a learning exercise for all concerned with valuable lessons being taken on board for future similar events.

(d) Live Theatre

Live theatre returned to the Hall in the shape of George Egg organised via Applause Rural Touring. A well-received and very enjoyable evening.

(e) Folk in the Barn

We have been successful in getting the Folk in the Barn music promoters to use the village hall once again as a venue for their folk evenings. This has meant some extra work for the committee setting up the stage and running a bar, but it has proved to be a welcome source of income.

(f) Conservative Leadership Contest: Visit by Tom Tugenhart

The hall was selected as a venue for a presentation by Tom Tugendhat who was a candidate for the Tory party leadership. The hall was considered an excellent venue by Baroness Debbie StedmanScott who was very pleased with the arrangements put in place for the visit, including the bar which was run by the committee.

(g) New Audio Speakers and System.

With the old speakers having finally failed there was no other option other than to purchase replacements. The difference has literally to be heard to be believed and with the introduction of related blue tooth facilities the hall can boast a first-class system. Special thanks to Hugh and Mark for their sterling work.

(h) New Booking Software

March saw the introduction of new booking software which would be easier to use and more cost efficient. Although a lot of work in moving records over the transfer was affected with no major problems.

(i) Polling Day 4 July

The hall was used as a polling station for the general election.

Thanks to the Lloyd family for the ever-popular biannual quiz night.

(k) Community Engagement

We have been pleased to welcome into the hall an ever-increasing range of groups reflecting both local involvement and cultural diversity. 2024 has seen bookings for:

Eid Fun Fair ( a repeat visit from 2023)

A range of events ie, weddings, first rice, funeral rites and Ladies Day for the Nepalese community

Community events for the Filipino community

Events for the Church of St Thomas

Seikh wedding

Church of England Road Show

Various local parties and funeral wakes

Venue for local clubs, groups and classes

(l) British Legion Poppy Day

The hall was made available as a collecting point for the annual Poppy Day Appeal.

(m) Christmas Lights

As ever thanks to those who turned out on a cold morning to put up the lights. Some extra lights and equipment have been purchased and although not cheap everybody comments on how good they look and how they brighten up the crossroads.

Thanks as always to Godmersham Estate for the gift of a tree and help in setting it up.

(n) Bookings

Communitywide ongoing problems with the cost of living have been reflected in the overall number of bookings and subsequent cancellations. We have been fortunate in that it has not become a major issue in that most months we have been able to make budget.

(o) EV Charging Points

Installed during the last year these are being increasingly used by the local community and visitors to the hall. They are funded in their entirety by Kent County Council, who own and maintain them and to whom any profit will accrue.

(p) Cleaning Robot

In an effort to maintain clean floors in between scheduled cleans the committee has authorized the purchase of a remotely activated cleaning robot. Early reports have been favorable. Monitoring will continue.

  6. Health and safety risk assessment: Updated annually.

  7. Heat to air pump: Serviced annually.

  8. Renew electricity supply contract and assess means to cover additional costs: Assess hire charges to users.

7. Reserve Policy

The trustees aim to keep approximately three months running cost, amounting to £6K as unrestricted reserves. At 31 December unrestricted reserves amounted to (to be inserted)

8. Statement of Trustees’ Responsibilities

The Trustees are responsible for preparing the financial statements for each fiscal year which give a true and fair view of the state of affairs of the charity and of the income and expenditure of the charity for that period. In preparing those financial statements, the Trustees are required to:

Slru<lure The charity which is registered with the Chority Commission under number 226915 is established under a Vesting Deed dtsled 14 December 1938. Objectives and Aclivilies The objects of the charity as Stated in the governing document are: Recreation hall for the purposes of physical and mental recreation and Social moral and intellectual development through the medium of reading and recreation rooms, libraryi lecture5, classes, recreations and entertainments or otherwise as may be found expedient for the benefit of the inhabitants of the parishes of Godmersham and Crundale and their immediate vicinity. Godmer5ham & Crundule Villo9e Holl Review of the Year. lal The Christmas Grond Bazaar The highlight of the year must undoubtably go to the Christma5 Grand Bazaar. This was a joint effort with Chilham Craft Fair who organised the croft stalls. It fell to the management committee to organise Santa's Grotlo, Santa's Tavern and a raffle. Everything wos proceeding according to plan until the arrivol of Storm Darragh which threw a major spanner in the works. Emergency planning on the Thursday with the Bazaar on the Saturday resulted in a magnificent transformation of the holl into a winter wonderland with a leom effort which only goes to Illustrate thè village community spirit in times of need. The day itself was a great success with special thanks to oll the Father Christmases and elves who dressed up for the day and the whole team who worked tirelessly. It is our intention to make this an annual event to which end a lot of funds were invested in costumes scenery and equipment which will hopefully be used again. Ibl Jumble/Boot Fairs A new departure with the oim of roising funds to improve the hall facilities. After an uncertain start we have improved our advertising and use of social media. The last fair in September was a great 5vcces5, being well attended and the hall making over £200 prof it. Icl Wedding Fayre Another new departure but with weddings being our principal source of income it was felt that the inveslment in time and effort was warranted. It wa5 very much a learning exercise for all concerned with valuable lessons being taken on board for future similar events. Idl Live Theatre Live theotre returned to the Hall in the shope of George Egg organised via Applause Rural Touring. A well-received and very enjoyable evening. Poge 2

Godnxr5hgm & Crvndule Villu9e Hull lel Folk in the Barn We have been successful in getting the Folk in the Bam music promoters to use the village hall once again os a venue for their folk evenings. This has meant some extra work for the committee setting up the stage and running a bar, but it has proved to be a welcome source of income. If I Conservative Leadership Contest: Visit by Tom Tugenhart The hall was selected as a venue for a presentation by Tom Tugendhat who was a candidate for the Tory party leadership. The hall was considered an excellent venue by Baroness Debbie Stedman-scott who was very pleased with the arrangements Put in ploce for the visit, including the bor which wa5 run by the committee. Igl New Audio Speakers and System. With the old speakers having finally failed Ihere was no other option other than to purchase replacements. The difference has literally to be heard to be believed and with the introdvclion of related blue tooth facilities the holl con boost o first-class 5y5tem. Special thanks to Hugh and Mark for their sterling work. Ihl New Booking Software March saw the introduction of new bt)oking software which would be easier to use and more cost efficient. Although a lot of work in moving records over the transfer was affected with no major problem5. Polling Doy 4 Jvly The hall was used as a polling station for the general election. Poge 3

Ikl Community Engogement We have been pleased to welcome into the hall an ever-increosing range of groups reflecting both local involvement and cultural diversity. 2024 has seen booking5 for: Eid Fun Fair l a repeat visit from 20231 A range of events ie, weddings, first rice, funeral rites and Ladies Doy for the Nepolese community Community events for the Filipino commvnity Events for the Church of St Thomas Seikh wedding Church of England Road Show Vorious locol parties and fvneral wakes Venue for local clubsi groups ond closses British Legion Poppy Day The hall was made available os a collecting point for the annval Poppy Doy Appeol. Im) Christmas Lights As ever thanks to those who turned out on a cold morning to put up the lights. Some extra lights and equipment have been purchased and although not cheap everybody comments on how good they look and how they brighten up the crossroads. Thanks as always to Godmershom Estate for the gift of a tree and help in setting it up. Poge 4

Godnxr5hgm & Crvndule Villu9e Hull Inl Bookings Communitywide ongoing problems with the cost of living have been reflected in the overall number of bookings and subsequent cancellotions. We hove been fortunote in thot it has not become a major issue in that most months we hove been oble to make budget. lol EV Charging Points Instolled during the last year these ore being increasingly used by the local community and visitors to the hall. They are funded in their entirety by Kent County Council, who own and maintain them and to whom any profit will accrue. (pl Cleaning Robot In an effort to maintain clean floors in between scheduled cleans the committee hos authorized the purchase of a remotely activated cleaning robot. Early reports have been favorable. Monitoring will continue. FUTURE PLANS (al Sub committees:_ To organise social medio for events To monitor health and safety issues and related maintenance work. To continue to upgrade ond improve web site. Ibl Other Development Aims Develop joint project with Parish Council to install playground equipment for local children. Upgrade CCTV coverage.
