The trustees of the AD Concert Band present their annual report for the year ended 31 December 2024, together with the un-audited accounts for the year in accordance with the requirements of the Charities Act 2011 and the Charities Statement of Recommended Practice as contained on the Charities Commission website.

Legal and Administrative Information

The charity was founded in 1978 and was registered as “The Arthur Doyle Concert Band” under charity registration number 506756.

During 2024 the charity was converted into a CIO under the name “AD Concert Band” under a new charity registration number 1207608.

The new charity was established on 1st March 2024 and all assets were transferred to it on 1st November 2024. On 25th January 2025 the charities were merged so the old charity no longer exists.

The following were the names of the charity trustees. All trustees were members of the management committee in 2024.

Structure, Governance and Management

Governing Document

The charity is governed by its Constitution (lodged with the Charity Commission in March 2024).

Structure

The charity consists of playing, supporting and honorary members as defined in the Constitution.

Management

The affairs of the charity are managed by the Management Committee, which meets monthly. This body is elected at the annual general meeting and currently includes eight playing members. The Management Committee is responsible for the recruitment, appointment and training of the Charity’s trustees. All eight members of the current Management Committee were appointed to serve as trustees. Two former members of the Management Committee have resigned and have now ceased to serve as trustees.

Objectives and Activities

Charitable Objectives

The objective of the charity as defined in the constitution is “to advance, improve, develop and maintain public education in, and appreciation of, the art and science of music in all its aspects by any means that the trustees see fit, including through the presentation of public concerts and through participation in public events.

The charity aims to achieve this objective by:

a) Providing opportunities for musicians of all ages to develop their skills and to experience the benefits of rehearsing and performing music together.

b) Providing performances of a wide and varied range of music to the public

Principal Activities

Weekly concert band rehearsals for playing members at Alderbrook School continued throughout 2024. The charity established a programme of regular public performances and continued to recruit new members and publicise its activities.

The charity’s website (www.adband.org.uk) and Facebook page (www.facebook.com/adconcertband) were maintained as the major external communication channels concerning the activities of the band.

Public Benefit

All trustees have acquainted themselves with the Charity Commission’s guidance on public benefit and confirm that appropriate consideration has been given to it. The charity’s activities throughout 2024 have been for the benefit of the public.

Achievements and Performance

1. Operational Performance

The charity was able to continue to develop its activities in 2024 There were more concerts that were or are expected to become regular bookings. Concert income was however down, even though audience numbers increased for the main Christmas concert that was fully booked. Although the band lost some members it continued to recruit new playing members and had 50 players registered at the end of 2024 (46 at the end of 2023). It now has adequate minimum numbers in all sections, but it was still necessary to make some use of deputies for concerts. New members continue to be welcome, but it became necessary to establish a waiting list for the flute section.

The band was able to undertake regular public performances with a total of 10 concerts in 2024 (10 in 2023). The total included two concerts promoted solely by the band (three in 2023). One concert was organised jointly with Age UK Solihull and provided additional public benefit in fund raising for an external charity. In addition to public concerts, the band performed at two private events. One Play Day open rehearsal was also organised. This provided a playing opportunity for a wider circle of players and a chance for members to try out a wider range of music.

The charity invested in new and replacement equipment during the year. This included new stand banners, perspex sheets to support music at outdoor venues and a portable A3 scanner/copier.

Contact with members was maintained via band newsletters and emails.

The charity continued to comply with GDPR requirements.

2. Fundraising Performance

Funds were raised during the year from subscriptions and donations and by the sale of the band trailer (which it was no longer practical to use) as shown in the Statement of Financial Activities on page 9.

Financial Review

1. Highlights

Income for the year exceeded expenditure but mainly because of the proceeds of the sale of the band trailer (£1000) and catching up with Gift Aid for previous years. The band recorded a surplus of £2,744 for the year (2023: £ 4,213 including a special grant). Subscriptions from members contributed £2,650 (2023: £2,427). Rehearsal room hire cost £3,463. Income from performances totalled £3,174 with expenses of £1,138.

The charity had a large cash balance of £36,138. (2023: £34,525). This is in accordance with the charity’s reserves policy, since significant amounts of this accumulated cash balance will be needed in due course for upgrading and replacing key items of band equipment, many of which are now quite old. £717 was spent on music, leaving £271 in the fund established in 2023 still reserved at the end of the year for music purchase in 2025. (after which music will be purchased from the general fund as in the past)

2. Reserves Policy

The management committee has resolved to hold reserves to meet the following commitments:

a) To ensure the charity’s continued operation in terms of regular rehearsals and performances for a period of one year without income.
b) To enable equipment and music to be replaced and upgraded once it has reached the end of its useful life.

Future Plans

Recruit new members (especially trombone and percussion)
(a) Continue Play days and Media Campaign (advertise we have instruments)

(b) Develop links with Schools (e.g. play day for under 18s possible with Solihull music service).

Extend Opportunities to Perform
(a) Seek new performance venues
(b) Develop website
Continue to invest in music, instruments and equipment including:
(a) A second A3 scanner/printer to replace the ageing photocopier
(b) Investigate better storage options at Alderbrook and beyond
(c) Source music by female composers/arrangers
(d) Refurbish and replace other key equipment as required.

Notes to the Financial Statements

Note 1 – Principal accounting policies

The following accounting policies, which remain unchanged from the previous year, have been adopted in preparing these accounts.

a) Basis of Accounting

The accounts have been prepared under the historical cost convention. Income and expenditure have been credited and charged to the income and expenditure account on an accruals basis in accordance with the provisions of the reporting standard FRS102.

b) Depreciation

Depreciation is calculated to write down the cost of fixed assets costing £200 or more by equal annual instalments over their estimated useful lives.

The rates are as follows:

Note 2 - Transactions with Trustees and Related Parties

There were no transactions with trustees or related parties during the year. (except Mrs. M. Martin purchased surplus pad boxes at a price comparable to similar items offered online)

This item includes small purchases and subscriptions, and equipment costing less than £200.
