THE HESSLE WAITS

1. Objectives and Activities

(1) Purpose

The purpose of the Hessle Waits is the advancement of the art of traditional choral music in Hessle and the wider community, for the public benefit, by the provision of volunteers coming together to sing carols at Christmastime which will preserve the historic and cultural tradition of Christmas carolling and the historic traditions of the charity itself.

The trustees can confirm that we have had regard to the guidance issued by the Charity Commission on public benefit. We have one trustee who has a lead role as the contact for the Commission.

(4) Grant making policy

In order to preserve the historic and cultural tradition of Christmas carolling, the Hessle Waits organises a monetary collection alongside our carol singing events. Historically, the organisation provided funding for the now defunct Victoria Hospital for Sick Children until 1947, and the Hull Seamen’s and General Orphanage at Hesslewood until the 1980s. Since then, the Hessle Waits has provided an annual grant to Dove House Hospice.

Such grants are awarded entirely at the discretion of the board of trustees and their decision is final.

(5) Contribution made by volunteers

The Hessle Waits has 36 volunteer members who sing, help to collect money, and carry lamps outdoors. The main body of our volunteers form our talented choir, who sing carols in various locations around the community. Our volunteers are also vital in leafleting the community in order to spread awareness of our activities.

2. Achievements and Performance

The Hessle Waits are happy to have brought back Christmas carolling to the local area, and like to bring a traditional sense of Christmas to the community, which is enjoyed by children, adults, and the elderly who may be housebound. Listeners are encouraged to choose favourite carols. and this can be an emotional time for many. We believe our singing delivers comfort and a sense of continuity. We have managed to reach a wide range of people whilst singing on our three carolling routes and when carolling in Hessle Square and Waitrose in Willerby.

The Hessle Waits engages in annual fundraising for a worthy cause, and in 2025 raised a record-breaking £4000 for Dove House Hospice, a portion of which we provided through a grant. Grant making is entirely at the discretion of the Board of Trustees; however, we have chosen this institution for a number of years and have raised over £80k to date.

4. Financial Review

At the end of the 2024/25 period, the Hessle Waits is in a very strong financial position. We received a total of £3126 in donations during our Christmas carolling fundraising events. We only have a relatively small amount of outgoings: marketing costs (for printing and collection buckets) at £144, website costs at £76, and less than a pound on card reader fees.

Our fundraising success allowed us to provide a substantial grant of £2,836.25 to Dove House Hospice. This, combined with our JustGiving page and cheques made out directly to Dove House (both of which do not enter our accounts), meant that we totalled a record-breaking £4000 for the hospice.

This resulted in a net profit of £69, adding slightly to our cash reserves. This will be useful for rising marketing costs, and if we choose to round up a grant in future years.

Reserves are held in order to cover our annual marketing costs, including printing and the upkeep of our website, as well as to cover any unexpected costs.

At the end of the 2024/25 period, the Hessle Waits held £395.13 in cash reserves.

5. Structure, Governance and Management

(1) Constitution

The Hessle Waits’ governing document is a constitution, based on the association model constitution provided by the Charity Commission for England and Wales.

The Hessle Waits is a Charitable Incorporated Organisation (CIO), with voting members other than its charity trustees. The charity has been registered with the Charity Commission since December 2023; however, it has been an unincorporated organisation since around 1916.

(2) Trustee selection

According to article 12(3) of the constitution, there should be not less than three nor more than nine elected trustees, plus one ex officio trustee. Article 13(2) states that the musical director is an ex officio trustee.

According to article 13(1) of the constitution, at every annual general meeting, one-third of the elected charity trustees shall retire from office. If the number of elected charity trustees is not three or a multiple of three, then the number nearest to one-third shall retire from office. At the end of the 2024/25 period, there are 7 elected trustees, meaning two shall retire. These trustees may run for office again. Elections take place at the Hessle Waits’ Annual General Meeting. Providing that the limit of trustees is not exceeded, the trustees may also choose to appoint additional trustees to the board at any given time.
