Declara'on of Trust

Matlock Rotary CIO was registered as an Associa7on Charitable Incorporated Organisa7on (CIO) on 14 April 2023, commenced ac7vi7es on 26 July 2023. It was established by the Trustees and others of The Rotary Club of Matlock (the Club) to take over the Club’s charitable ac7vi7es previously run through the Matlock Rotary Trust Fund (1041494).

Structure, governance and management

The charity is governed by its cons)tu)on dated 13th March 2023, operates as an Associa)on CIO. There are three trustees appointed. Two of the Trustees are appointed ex-officio and the third by members by annual elec)on. The current Club President has chosen to not serve as a Trustee or Officer of the CIO. Mee)ngs of the Trustees and CIO members who are also Club members are held as required.

Objec'ves

The relief of the poor and needy in Derbyshire, and other parts of the United Kingdom or elsewhere in the world, or such other charitable purpose as the members of the CIO shall in a duly cons>tuted mee>ng direct.

Ac'vi'es

The CIO raises funds via two joint venture car shows, Christmas events, four wishing wells, and Rotary Grants where opportuni)es are available. Funds raised are donated to other Chari)es or Individuals that met our objec)ves, and the Rotary Founda)on Charity.

The CIO successfully concluded three major events during the period, which enabled the CIO to make dona)ons and grants totalling £13,099, (2024: £6,825). We own and fund a publicly accessible defibrillator in Matlock Town Centre, which is managed on our behalf free of charge by Defib4Life.

Risk management

Our principle source of funds is derived from car shows and Christmas events all of which are dependent upon the weather for their success over which we have no control. Fixed opera)ng costs are kept to a minimum to ensure we are not faced with large financial losses. Sufficient staffing is managed by working with past members and other charitable organisa)ons where appropriate. Other opera)ng risks are managed by the Trustees as they occur.

REPORT OF THE INDEPENDENT EXAMINER TO THE TRUSTEES OF MATLOCK ROTARY CIO REGISTERED NUMBER FOR THE FINANCIAL YEAR ENDED 30 JUNE 2025

As the charity's trustees you are responsible for the prepara)on of the accounts; you consider that the audit requirement of sec)on 144(2) of the Chari)es Act 2011 (the Act) does not apply. It is my responsibility to state, on the basis of procedures specified in the General Direc)ons given by the Charity Commissioners under sec)on 145 (5)(b) of the Act, whether par)cular maeers have come to my aeen)on.

Basis of independent examiner's report

My examina)on was carried out in accordance with the General Direc)ons given by the Charity Commissioners. An examina)on includes a review of the accoun)ng records kept by the charity and a comparison of the accounts presented with those records. It also includes considera)on of any unusual items or disclosures in the accounts and seeking explana)ons from you as trustees concerning any such maeers. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently I do not express an audit opinion on the view given by the accounts.

Independent examiner's statement

In connec)on with my examina)on, no maeer has come to my aeen)on:

  1. which gives me reasonable cause to believe that in any material respect the requirements;

  2. to keep accoun)ng records in accordance with sec)on 130 of the Act;

  3. to prepare accounts which accord with the accoun)ng records;

  4. to comply with the accoun)ng requirements of the Act;

have not been met; or

  1. to which, in my opinion, aeen)on should be drawn in order to enable a proper understanding of the accounts to be reached.
