NR17 ISG Report of the trustees for the year ended 31" Marth 2024 The trustees present their annual report and financial statements of the charity for the year ended 31, March 2024. These statements have been prepared in accordance with the Charities Act 1993 and with SORP IFRSSEI, Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard for Smaller Entities leffertive l January 20151. Financial statements have been prepared by the charity treasurer, who is a qualified, Chartered Accountant ICIMAI. Independent review of accounts is not required as charity income for this period was less than £25,000. Structure and governance The Friends of Old Buckenham Windmill was established on 8 March 2021 as a Charitable Incorporated Organisation ICIOI. The charity was set up to formalise the long-standing volunteer work by residents of Old Buckenham, and to support open and transparent fundraising and grant issuing forthe benefrt of the Old Butkenham Windmill. Volunteers provide public access to the historically significant mill and fundraise to support its r@torxtion 3nd progorvation.
The trust is governed in accordance with its constitution document {6th March 20211. There are four founding trustees. all of whom remain in post atthe time of this report. No new trustees were appointed. In accordance with the trust's constitution. there must be a minimum of three charity trustees, and a maximum of six. New trustees are appointed by a resolution pa55ed at a properly convened meeting of the charity trustees. In selecting individuals for appointment, existing trustees must have regard to the skills, knowledge and experience needed for the effective administration of the organisation. Objectives and activities for public benefit The objectives of the CIO are: The advancement of education and the preservation, protection and maintenance of Old Buckenham Windmill for the public benefrt. in particular but not exclusively by all or any of the following means.. Supportingthe work of the Norfolk Mills & PumpsTrust to repair, refurbish and restore Old Buckenham Windmill to sound condition and working order. Conserving and maintaining the mill as a working museum, open to the public. Developing and maintaining an educational centre and visitor facilities on the mill site so as to attract visitors and develop their awareness and understanding of the heritage asset, including the provision of access for all people. Relationshi with other parties Old Buckenham Windmill is owned by Norfolk County Council and operated by the Norfolk Mills & Pumps Trust {Registered Charity 10332741. The Friends of Old Buckenham Windmill charity operates with complete independence from these other parties, but collaborates closely with and supports the work of the Norfolk Windmill trust, as it relates to Old Buckenham Windfflill. Achievements & performance Trustees were delighted to be able to re-open the mill to the public this season. To start the year, a party of local residents spring cleaned the tower. followed by five public open days (May. June. July, September, October) which attracted in excess of 200 ticketed visitors for mill tours. Sessions were hosted by unpaid volunteers from the village, including the new provision of refreshments Itea, coffee and home-made cakes) durin8 open days which proved very successful in terms of addttional fund-raising, but also in attracting local residents to come and support open days who may not wish to purchase a mill tourticket. Given the success of refreshment sales {£681.50, 56% of open day income) and the greater involvement of Ioc31 residents trustees resolved to make the refreshment sales a permanent fixture at mill events. Due to the exposed and south-facing nature of the slte.
volunteers found manning the refreshments table dtfficult, so trustees decided this year to purchase a permanent tea-hut for the site, in the form of a purpose-built metsl container tea-hut, which could also be used for secure storage of chartty property and stock. An order has been placed for the supply of the hut, which will be funded from three sources- a grant from Old Buckenham Parish Council l£l,000- not yet received, so not shown in this yearfs statement). a private donation of £1,(, and the balance of £949.60 from charity reserves. We look forward to receiving and buildingthe tea hut in time for the 2024 season. The final event of the season saw the mill being used to host a Christmas event. Local families were able to pre-book tickets to visit Father Christmas in the mill. On arrival, families gathered in a heated marquee on site to engage in craft artivities and enjoy inclusive refreshments. Following this. groups of children were led into the ground floor of the mill tower which had been turned into a Christmas grotto with decorations and fairy li8hts, for a 8roup visit with Father Christmas. Santa read a specially written christmas story about a Polar Bear and an 'enchanted' windmill. and then each child received a plush Polar Bear cuddly toy to take home. Reviews of the event from visiting parents were very positive nd the day brought in an addrtional £899.54. Costs amounted to £356.98. returning a day profit of £542.56 and making in the most lucrative event of the year. Trustees hope to run similar special events again in the future. Financial Review This financial year opened with a balance of £24.960.07. Donations to the charitytotalled £1,459.95 and a further £2,101.18 was raised through admission tickets and refreshments on open days. and through the children's'Father Christmas, event hosted at the mill. A total of £3.573.69 was paid out by the trust in this financial year. The largest outgoing was a single payment of £2,949.60to purchase a new pemianent tea hut and storage solution for the mill site, to facilitate future events and open day5. The financial year closed with a balance of £24,947.51, which was £12.56 lower than the opening b31ance for the year. Given the significant capttal investment for the tea hut, trustees were happyto finish the year flat on the previous close. Detailed accountin8 Statements can be found in 'Appendix A, in this report. Trustees, responsibilities in relation to the financial statements The trustees are responsible for preparing the Trustees. Report and the financial statements in accordance with applicable law and UnFted Kin8dom Accounting Standards. The law applicable to charities in England and Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that period. In preparing these financial statements, the trustees are required to.. select suitable accounting policies and then apply them consistently:
observe the methods and principles of the Charities SORP {FRSSEI- make judgements and estimates that are reasonable and prudent; state whether applicable accounting standards have been followed, subject to any departures disclosed and explained in the financial statements,- and; prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in businÈgs. The trustees are responsible for keeping accounting records which disclose with reasonable accuracy the financial position of the charity and enable them to ascertain to ensure that the financial statements comply with the Charities Act 1993, the Charity (Accounts and Reports) Regulations 2(K18 and the provisions of the trust constitution. They are also responsible for safeguarding the assets of the chartty and hence for taking reasonable steps for the prevention and detection of fraud and other irregu13rrties.
