Report from the Chair of Trustees

Fluid Motion had another busy and thrilling year that matched the Adventure theme in the business plan. The company has reached over 2000 people this year and improved their mental wellbeing with various activities and interventions including a walkabout “hug”. It was unfortunate that the All in the Mind festival could not go ahead due to lack of funding but it offered the opportunity to reflect on the ongoing direction of the company and how to maximise the impact of the work. The future is very promising with the opening of the new Creative Support Hub in Totton. This will provide a base for the work providing ongoing support for the local community which can then become the model for further Support Hubs to open in other communities.

There is still a need to grow reserves in order to ensure more stability for the company. This is something that new paid workshops and training will be able to support and this is a great addition to the portfolio of work.

As the company grows and becomes more complex, the role of Chair also requires more time and dedication. It is with this in mind that I have decided to step down after three years in the role. I know that I leave Fluid Motion at a point of huge growth and possibility and I am confident that the company will continue to grow and flourish well into the future.

lives as inspiration. We want as many people as possible to experience the power of theatre and to be wowed by its impact on their wellbeing.

Fluid Motion is an award-winning organisation based in Basingstoke, Hampshire and a leader in the field of arts and health. We use theatre and creative activities in innovative ways to support and improve health and wellbeing. James Sanderson, Director of Personalised Care at NHS England said of us ‘ Innovative work like yours provides a great opportunity for new relationships between theatre and health’. The organisation was set up by Ali Gill, Executive Director, and Leigh Johnstone, Artistic Director, whose lived experiences of poor mental health issues underpin the focus of our work.

We deliver regular, weekly, free creative community and education programmes across Hampshire and in our own Creative Hub in Totton, New Forest. Our work is predominantly aimed at young people (8+) and adults who have low levels of wellbeing and poor mental health. In addition we deliver a national outdoor touring programme, focused on wellbeing, that brings theatre to some of the most deprived communities across the Country.

The aims, objectives and activities of the charity are reviewed annually within the staff team and with trustees and achievements and learning are assessed and evaluated. This helps inform future plans. When reviewing the aims and objectives of the charity, and in planning future activities, the trustees have complied with the duty in section 17 of the Charities Act 2011 to have due regard to public benefit guidance published by the Commission

Achievements and Performance

The theme for the third year of our three programme plan was ‘Adventure’.

Flourish - Children and Young People

Flourish is an 8 to 10 week creative programme for children and young people that uses theatre as a tool to support the ongoing development of positive wellbeing, confidence and self esteem. Our Flourish Programme is an evolution of our Recovery Project that we developed as a result of the challenges CYP faced as a result of Covid-19. It is underpinned by research and has been developed alongside primary healthcare.

The aim of Flourish is to support children and young people’s mental health by using creative activities to help them explore and understand difficult emotions, develop positive communication skills, test out and adopt positive coping strategies to ultimately empower them so that they can take better ownership of their mental health and wellbeing.

From April 2023 to March 2024 Flourish was delivered in primary and secondary schools across Hampshire as well as during a temporary residency at the Basingstoke Health Hub. It was delivered to a total of 219 young people from years 6 to 11. Data revealed that 83% of participants felt more empowered to talk about their mental health and 63% experienced an increase in their wellbeing. In addition, 19 young people went on to become creative ambassadors in their school, offering support and information to their peers.

The Gathering Project

The Gathering Project was a creative community programme which ran for three years from 2021 until 2023 across Hampshire. It was designed to promote community cohesion, resilience and positive health and wellbeing using theatre and creative activities.

Its aim was to work with participants whose wellbeing had room for improvement, giving them the opportunity to learn how to make healthier lifestyle choices and to reduce harmful behaviours, as well as learning how to access relevant local services and support. In addition, the project aimed to help people speak about their mental health and have an improved quality of life, adopt positive coping strategies, use arts and creative activity as a tool to support wellbeing, and give people more opportunities for ‘lightbulb moments’ using creative activities to improve their wellbeing.

In 2023, following development from the previous two years, the project was designed to run with eight partners for eight weeks. Each two hour session would focus on different topics surrounding mental health & wellbeing and explore these by learning and developing creative skills. The project targeted the deprived communities of Basingstoke, New Forest, Southampton, Rushmoor and Havant and worked with six project partners, Gosport Voluntary Action, Andover Mind, Families Matter – Women’s Wellbeing Group, YMCA, Enable Ability/Inter Activ, and Society of St James – North Lane Lodge. In total we worked with 369 participants.

The data from the project feedback form tells us that 100% of participants answered ‘yes’ to the question, ‘Do you feel the project has helped to improve your wellbeing?’. Additionally, against the question: ‘Would you feel more confident now, compared to before the project, asking for support in the future?’ 89% answered ‘yes’. 96% of participants stated that they now have a better understanding of how the arts can help with mental health and wellbeing. Against the question; ‘ Has the project made you feel closer to other people?’ 96% of participants answered ‘yes’ .

Overall the project was a success and fulfilled its aims and objectives and had a clear positive impact in the participants’ lives. For some of the participants, techniques they have learnt will stay with them for life and have an influential impact on their future decisions and coping

mechanisms.

In our Business Plan 2023 - 2026 we stated that due to our new three year focus on setting up a Creative Hubs for children and young people (detailed below), this year marks the end of the Gathering Project in this current format. We will now only offer the project on a commissioned basis.

Creative Support Hubs

Since October 2022 we worked closely with the Hampshire and Isle of Wight ICB, becoming temporary residents at the NHS Health Hub in Basingstoke until May 2023, helping them build a suitable programme of arts interventions that can sit alongside health and community services to provide a well-rounded and proactive offer of support for patients.

The success of this work and its interest from health and community partners, led us to receive investment funds from Arts Council England to scope out what a physical hub programme might look like, working in close partnership with other cultural organisations, local authorities, health and the third sector across Hampshire.

As a result Fluid Motion is establishing a creative support hub in Totton, New Forest, for children and young people (8-18). Starting in the Spring of 2024 the hub will provide an innovative, year round programme of creative activity to children and young people in Totton and the surrounding area, alongside local health services and third sector organisations, to support the delivery of early mental health and wellbeing support

Our programme in the hub offers a carefully curated mix of activities that don’t always need a referral by a doctor or school. This will include regular drop in sessions, holiday club activities, longer creative workshops and art therapy courses.

The creative support hub is the natural progression in our journey as an arts and health organisation and a new way of working for us, as we learn more about how to work alongside health for the benefit of our communities. The hub has emerged as a result of need, the support and appetite of the New Forest District Council plus years worth of hard work developing theatre and creative activities based on the health and wellbeing needs of our communities.

Touring

We have continued to tour nationally this year, developing our connections with national events and festivals that help build our earned income.

We premiered our new performance installation ‘The Greatest Show on Earth’ at the Basingstoke Festival on 24th and 25th June and 160 people took part in the performances. The Greatest Show on Earth is an outdoor performance installation that encourages the general public to look differently at the spaces around them and how immersing ourselves in the natural world can improve our wellbeing. The show incorporated discussions around how local green spaces could be beneficial to mental health and encouraged audiences to think about using the outdoor places near where they live.

We also premiered a new walkabout called ‘Brain Hug’ in Festival Place, Basingstoke on 16th February 2024. This walkabout was developed from the brain puppet we had made for the Basingstoke Parade that opened the Basingstoke Festival and it’s all about encouraging people to spend a few minutes thinking about how they feel and encouraging them to take a moment to ‘give their brain a little love’. A whopping 486 people received a hug!

937 people took part in our popular ‘Take Ten’ installation which toured Bournemouth, Mablethorpe, Newcastle, Rochdale, Rushmoor and Skegness.

‘Take Ten’ is a performance installation designed to slow us down. It’s a space to be present, in the here and now, to reflect and to notice. Audiences can take a moment on our bespoke and colourful swing chairs, guided by a soundtrack that encourages them to sit comfortably, swing gently and breathe deeply. Take Ten is an artistic response, created in collaboration with Lorna Rees of Gobbledegook Theatre, that is centred around the idea of mental wellbeing. It is underpinned by the ‘5 steps to mental wellbeing’, Fluid Motion’s own research with communities across Hampshire and clinical psychologists who helped to shape the audio.

All in the Mind Festival

The All in the Mind Festival was our flagship annual event that ran from 2016 until 2022. It was created for performers to explore mental health themes and personal experience in their work. All in the Mind grew to become one of the UK’s leading mental health arts festivals, with an audience of 6,000 people in 2022. A free, family-friendly day out in the heart of Basingstoke, All in the Mind Festival celebrated the power of the arts to boost mental health, with a jam-packed line up to inspire and delight all ages.

The festival featured music, dance, theatre, spoken word, comedy and interactive activities to try. All in the Mind Festival had something for everyone, while giving performers a safe, supportive platform to try new ideas and reach new audiences.

Due to funding constraints we were unable to run the festival in 2023 and the Trustees made the decision that we would no longer run the festival in its current form. The branding and ideas will still continue though and it is our intention that small ‘pop-up’ All in the Mind’s will still form part of our work in some capacity.

Basingstoke Parade

We were commissioned by Basingstoke and Deane Borough Council to run the Basingstoke Parade, which opens the Basingstoke Festival and is held each year. We held pre-parade workshops with community groups, local businesses and primary schools in Basingstoke. These workshops included discussions around mental health and what makes our brains happy. Every group made something that reflected their current mental health such as lightbulbs on sticks, brains on sticks, lifesize walkabout puppets and banners. In addition the workshops offered light touch information on understanding support services locally and how they can access other activities (including arts activities) to support their mental health and wellbeing.

Local businesses took part in the parade, helping to share and spread the sense of connectivity amongst the community around the importance of talking about your mental health. Employees wore colourful costumes and carried wellbeing banners and messages. The parade took place on the 23rd June 2023 and started outside Willows Cafe in Church street and ended at the Amphitheater where audiences and parade participants watched a short performance by Basingstoke dance group The Pop Star Academy, and were invited to dance to the music of the London Brass Roamers which was followed by a positivity rave led by a DJ.

We had 490 participants who took part in the workshops and in the parade itself, 19 external staff, 4 volunteers and 27 creatives.

Training Package

Over the last few years we have delivered training sessions on how to use creative activity to support people’s mental health and wellbeing. Due to the success of these CPD sessions it is our intention to create a training package that can be delivered from our Creative Hub in Totton, focussing on arts based practice with children and young people. These will be chargeable workshops that will start to build an earned income stream to ultimately support the running of the hub.

Financial Review

Review of the charity’s financial position at the end of the period

As at the balance sheet date unrestricted reserves stood at £77,091 (2023 - £61,029), of which £59,591 (2023 - £46,411) is held as designated by the Trustees in accordance with the policy below. Where grants are received in respect of a specified project, all income and related expenditure is treated as part of restricted reserves. The accumulated restricted reserves at the

balance sheet date were £41,291 (2023- £36,560).

Designated Fund Note: The designated fund represents funding that has been allocated to rent and overhead costs for the new Creative Support Hub that will open in Totton in May 2024 and all designated funds are expected to be spent within the 2024-25 financial year.

Reserves

It is the policy of the company to maintain free reserves at a level which balances our objectives to develop and support services with our need to remain financially stable. The Trustees agree and will work towards acquiring a minimum level of free reserves equating to at least four months of unrestricted expenditure which is considered sufficient to cover management, administration and support costs and to respond to emergency needs which arise from time to time. In addition, there is also a need to designate certain sums from free reserves for anticipated expenditure in the short to medium term.

At the point of writing this report there are no uncertainties about the charity continuing as a going concern.

Structure, Governance and Management

Governing Document

The charity is controlled by its governing document, a deed of trust, and constitutes a limited company, limited by guarantee, as defined by the Companies Act 2006.

Recruitment and appointment of new trustees

Trustees are recruited through an open call out to ensure that we reach a wide and diverse audience. Applicants have to formally apply by either written or video application together with a curriculum vitae. Applicants are selected in conjunction with the aims of the charity and their suitability to fit the roles that we require to be filled. The selected applicant is then invited to have an informal meeting with the Chair of Trustees, a Trustee and the Executive and Artistic Director. Following this meeting if the applicant deems suitable they are then invited to attend a board meeting as an observer. The current Board then discusses whether they wish to invite the applicant to join the Board and a formal offer is then made subject to relevant checks being carried out successfully.

Risk management

The trustees have a duty to identify and review the risks to which the charity is exposed and to ensure appropriate controls are in place to provide reasonable assurance against fraud and error. The risk register is reviewed quarterly as a minimum by the Trustees.
