Trustees’ Report For the Year Ended 31 March 2023

What another extraordinary year it has been for us all. For the third consecutive year our volunteers completed over 2,000 tasks as 2022 became our busiest year yet with 2,466 runs. This milestone was quickly followed by us completing our 15,000th task. To put that into perspective, it took us 8 years to get to 8,000 tasks; 4 years later we have almost doubled that figure.

We have approximately 154 active volunteers including riders, drivers, controllers and fundraisers, 13 of whom are also Trustees. Colin Mitchell became the first of our volunteers to complete 500 tasks, closely followed by Mick Thurman and then John Millard. Caroline Stanger became the first of our controllers to receive her 1,500th call. Our volunteers completed 170,000 miles in 2022, the equivalent of 7 times round the globe.

Since our last AGM, the number of donated human milk collection and delivery tasks we do has increased significantly and is now on a par with the number of medicine deliveries. The most frequently requested task has now become delivering Platelets, although, if you add the blood and air ambulance deliveries together, blood is still the main product we deliver. Two thirds of our tasks are now carried out during the day. This doesn’t mean we do less at night, these calls have remained at a similar level to that prior to our increase in hours to 24/7. However, we do notice that hospitals no longer wait for the clock to turn to the witching hour of 7pm as they will now often call us once the NHSBT service has finished after 5pm which means our volunteers can complete tasks a little earlier and in safer daylight hours.

We have provisionally agreed to take on a new scheduled and regular delivery to MAGPAS and we continue to look at ways we can ensure our activities are resourced effectively. Despite a significant drop in the number of medicine deliveries, we still complete around 180 - 200 tasks per month and we are on track once again to complete over 2,000 tasks.

Our Events, Fundraising and Donations

With our events diaries filling rapidly, we decided to expand our events management team and have welcomed Frances Larke onto the Board of Trustees. This has allowed us to focus in areas we have not been so prevalent and, in turn, it has led to more opportunities to spread the SERVSC word.

The events we attended in 2022 raised £18,500. So far, our events in 2023 have raised £7,000 which excludes any additional donations we may receive after attending an event.

Funds from donations, events and third-party fundraisers have remained strong despite the financial difficulties many are experiencing due to the pandemic, fuel shortages and now, soaring cost of living.

Our Liveried Fleet of Vehicles

During 2022, we were in a fortunate position to be donated a used van by Chassis Cab which has gone into service to support the new events area and is also being used for deliveries whenever possible. And, due to some incredible donations, we replaced two of our livered Yamaha motorcycles with BMW 1250 RT’s and increased our number of liveried motorcycles from 4 to 5 with an additional BMW 1250 RT. These generous donations have also given us the funds to cover the running costs of all vehicles.

Earlier this year, we were shocked to discover our charity Toyota Auris had its catalytic converter stolen from outside a volunteer’s house. Following this news being shared we received some incredible support both in donations to cover the cost and in coverage by press, radio, Yahoo and even BBC TV!

With all this incredible help, it meant we could use the donations we received to get catalytic convertor protectors fitted to all our vehicles to help prevent this ever occurring again.

Our Operational Procedures & Policies

From an Operational perspective, we spent a lot of time reviewing our processes and policies to ensure they were relevant, risk efficient and refreshed. I’d like to thank all our Trustees who were involved in ensuring SERVSC continues to be the group others aspire to be. All our volunteers are now DBS checked, we have reviewed our insurances and increased cover where needed as well as reviewed, shared and asked all our volunteers to acknowledge the information we give them with regards to weight loading and their own vehicle insurance cover.

1. Basis of preparation

1.1. Basis of accounting

These accounts have been prepared under the historical cost convention with items recognised at cost or transaction value unless otherwise stated in the relevant note(s) to these accounts.

2. Accounting policies

2.1. Income

Recognition of income

These are included in the Statement of Financial Activities (SoFA) when:

Offsetting

There has been no offsetting of assets and liabilities, or income and expenses, unless required or permitted by the FRS 102 SORP or FRS 102.

Tax reclaims on donations and gifts

Gift Aid receivable is included in income when there is a valid declaration from the donor. Any Gift Aid amount recovered on a donation is considered to be part of that gift and is treated as an addition to the same fund as the initial donation unless the donor or the terms of the appeal have specified otherwise.

Donated goods

Donated goods are measured at fair value (the amount for which the asset could be exchanged) unless impractical to do so.

Goods donated for on-going use by the charity are recognised as tangible fixed assets and included in the SoFA as incoming resources when receivable.

Gifts in kind for use by the charity are included in the SoFA as income from donations when receivable.

Donated services and facilities

Donated services and facilities are included in the SOFA when received at the value of the gift to the charity provided the value of the gift can be measured reliably.

Volunteer help

The value of any voluntary help received is not included in the accounts but is described in the trustees’ annual report.

Income from interest, royalties and dividends

This is included in the accounts when receipt is probable and the amount receivable can be measured reliably.

2.2. Expenditure and liabilities

Liability recognition

Liabilities are recognised where it is more likely than not that there is a legal or constructive obligation committing the charity to pay out resources and the amount of the obligation can be measured with reasonable certainty.

Governance and support costs

Support costs have been allocated between governance costs and other support. Governance costs comprise all costs involving public accountability of the charity and its compliance with regulation and good practice.

Support costs include central functions and have been allocated to activity cost categories on a basis consistent with the use of resources, e.g. allocating property costs by floor areas, or per capita, staff costs by the time spent and other costs by their usage.

Creditors

The charity has creditors which are measured at settlement amounts less any trade discounts.

Provisions for liabilities

A liability is measured on recognition at its historical cost and then subsequently measured at the best estimate of the amount required to settle the obligation at the reporting date.

2.3. Assets

Tangible fixed assets for use by charity

These are capitalised if they can be used for more than one year, and cost at least £100.

They are valued at cost.

The depreciation rates and methods used are disclosed in note 5.2.

Stocks

Stocks held for sale as part of non-charitable trade are measured at the lower of cost or net realisable value.

Debtors

Debtors (including trade debtors and loans receivable) are measured on initial recognition at settlement amount after any trade discounts or amount advanced by the charity. Subsequently, they are measured at the cash or other consideration expected to be received.
