AGM Minutes 10/2/22

Resignation

Simon has resigned as a Trustee and Volunteer – ACTION BECCA to remove from Charity commission

Incident in large hall

Mark explained he had been to the VH to apologise, and this was accepted. The damage was minimal and repaired at no cost. It was identified that the person that caused the damage was from MMA not CYC but done in CYC time

Review of 2021

Despite Covid the CYC performed exceptionally well, and membership grew slightly.

The tuck shop was formed and is now well established and helps towards the income.

We are in a good financial position, and it was agreed Heidi would provide an end of financial year report by the 31/3/22 – ACTION HEIDI

More equipment was added such as the air hockey and items such as table tennis balls re stocked.

A big thank you to all volunteers for all your efforts in 2021

Plans for 2022

Mark gave his suggestions for 2022, which involved returning the CYC to what it was set up for, main points as follows

After a discussion it was agreed this was the best way forwards

Secretary – Becca – big thanks to Cara for doing this since we started

Purchase of tuck/drinks – Tracy (1) Heidi (2)

Garden upkeep/planting – Cara (1) Mandy (2) – weekly check of grounds bear in mind the large bed on the right and step style on the right is pre schools

Equipment upkeep /replacement – Mandy (1) Nicola (2)

Safeguarding - Mandy (1) Cara (2)

Social – Angela (1) Cara (2) – Posts to go on Tuesday/Thursday/Friday

Events (if we decide later in the year, we want to do them) – Jayne (1) Nicola (2)

Mark stressed that each person needs to ensure they do the task and report when done so we know we are “on top” at all times

Monitoring/development

We should all step in if a member is likely to damage equipment/behave in an inappropriate manner

The “rota” will now come out with an L next to one name – they are the “lead” that night to ensure smooth running

It was agreed the younger volunteers should be getting more of our support to develop their skills and the “lead” will be responsible for this

Heidi to supply details of online Hygiene course and all member to complete this before the end of March – ACTION HEIDI THEN ALL

Consideration for extra events at the CYC around either Easter or Summer – ACTION MARK ONGOING

First aid certificates to be given out and contact to be made with CO OP to see if they want to hand them out – ACTION MARK

New table tennis bats are required – ACTION MARK

Audio equipment and air hockey need PAT testing – ACTION TRACY

Cancel the ART class – ACTION BECCA DONE

The “lead” to ensure members (especially quieter ones) are not sitting on their own and have a good opportunity to participate – ACTION “LEAD” EACH WEEK

New recruits from primary school to be approached wc 13/6 – ACTION ANGELA

Should a senior wish to bring one or two friends from outside of the area they can, one week “taster” free of charge or if they have a “sleep over” – then if they want to come back, they join

Mark to contact CO OP re the current funding to see if it can be used for something other than music – ACTION MARK – DONE, SIMON REMOVED, BECCA ADDED AND ASKED IF FUNDS CAN BE USED FOR GARDEN/EQUIPMENT

New “pack” to be developed for the “lead” each week. Kept in the locked cupboard – ACTION BECCA
