TRUSTEES' REPORT FOR THE YEAR ENDED 31 MARCH 2021

The trustees present their report and financial statements for the period 1 July 2020 to 31 March 2021

The financial statements have been prepared in accordance with the accounting policies set out in note 1 to the financial statements and comply with the charity's memorandum and articles of association , the Charities Act 2011 and "Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)".

Objectives and activities

Our organisation is fully inclusive and welcoming irrespective of cultural background, religion or ethnicity. We have a wide range of ethnicities amongst our services users, these include Bangladeshi, Indian, Nepali, Pakistani and local white people. This helps people from across the area to meet, learn and socialise with each other.

Since 2009, the Asian Centre remains a focal point for the community members which facilitates numerous cultural activities and organises educational and recreational activities with improved links to the wider community.

We provide the following activities to help people progress in their lives and enable them to integrate into local life and activities:

Our endeavour is to create a community that is inclusive, supportive, and involved.

The trustees have paid due regard to guidance issued by the Charity Commission in deciding what activities the charity should undertake.

The charity’s main activities

  1. Advancing education and training in particular, in the arts of music (in particular traditional Asian music), drama and dance, Asian culture by holding annual cultural events such as Holi and Diwali

  2. Protecting and preserving public health by delivering regular health workshops on relevant health topics

  3. Relief of poverty by providing items and services to individuals in need

  4. To provide or assist in the provision of facilities in the interests of social welfare for recreation or other leisure time occupation of individuals who have need of such facilities by reason of their youth, age, infirmity or disability, financial hardship or social circumstances with the object of improving their conditions of life.

Public benefit statement

In setting the charity’s objectives and planning its activities the Trustees have given due consideration to the Charity Commission’s general guidance on public benefit.

Achievements and performance

The highlight of this year is our Saffron Kitchen Community Meals Project which started on 13 July 2020.

A Need for community meals support service was identified

The Asian Association has been planning to support the elderly members of the society who are deprived of healthy and fresh meals due to their medical conditions, limited mobility or other such reasons. The COVID 19 pandemic and the lockdowns added to their miseries. That is when the Association started zeroing in on what our community and the surrounding local area needed most.

With funding acquired from Rural Action Derbyshire via their 'Feeding Derbyshire' project, Saffron Kitchen was born! The user database of Saffron Kitchen consisted of people from all walks of life, who just needed some support whether it was for reasons of limited physical mobility, financial constraints, respite due to various reasons or shielding due to the pandemic. We not only supported the members of Asian communities but also members from the wider community in and around Chesterfield.

Kitchen refurbishment

The Centre has undergone a major change to accommodate the new project. For the operation of Saffron Kitchen, we thought it necessary to refurbish the kitchen area to a commercial standard and thanks to funding from National Lottery – Reaching Communities COVID grant. The kitchen has received a Five Star hygiene rating from the Chesterfield Borough Council. We have recently added a work counter for chopping in the prep-area.

Service users

Saffron Kitchen has provided meals at subsidised rates to medically and socially vulnerable individuals, families struggling with changing circumstances as well as families struggling with stress caused by the loss of subsidised or free school meals to children. This service covers Chesterfield Town Centre, Hasland, Grassmoor, Hady, Spital, Brampton, Walton, Calow and Wingerworth and other areas within a reasonable radius of delivery.

Plastic free packaging

Since the Centre is a plastic free premise, we try not use any single use packaging for Saffron Kitchen meals. It was very challenging to find out plastic-free options of food packaging in the limited budget. It took a while, but we could find solutions and continued to use eco-friendly reusable packaging. We encourage our users to reuse the meal boxes, and paper bags that we use to send their meals in.

Kids baking classes

As part of Saffron Kitchen, we started promoting healthy eating and encourage kids and adults to look at cooking as a basic life skill. We conducted kids baking class on 13 August 2020. The kids enjoyed making cookies and decorating them. They each went home with the cookies they made and a goodie bag.

Cooking classes

Our cooking classes with adults were a huge success too! Participants gave us such lovely feedback about the kitchen, the class and, of course, the food. When it was safe to do so with limited numbers, we started cooking classes every month. Participants learned how to make Samosas, Pakoras and Aloo paratha, all to rave reviews from the proud cooks.

Other activities Exclusive talk on COVID and US by Dr. P . Pobbathi

Throughout the lockdown, we have made our best effort to provide befriending, mental health first aid and any physical and emotional support to you, our members. Dr. Pobbathi, a member of the Association, made a timely talk on the vaccine and the efficacy of its different variations. He also answered questions towards the end of the talk. Not only Asian Association members but members from other BME community groups also attended in this talk.

Cyber Security Workshop

We also conducted informational workshop on Cyber security that our participants found useful. Sarah Dufton from the Police Commissioner's office made a presentation on how to secure your activities online. Many of our members have been victims of cybercrime and this workshop helped them to understand how they can be more careful and safer in the online world.

Kids cultural exchange programme

Through this programme we hoped to keep children creatively engaged, learn something and make new friends. Due to the restrictions on meeting face to face, we decided to adapt to the possible alternatives and trained ourselves with a broadcast platform of Streamyard and over these three wonderful sessions with kids from UK and Fun Learn School, Kolkata, India we had an amazing cross-cultural exchange of information, fun and friendship.

This first programme of the series included three cultural performances from UK and India followed by a Q&A session for the kids to interact with each other.

In this second session of our three-part Kids Cultural Exchange Programme, kids in the UK learnt about Diwali and Children's Day in India and kids in India learnt about Halloween and Remembrance Day. There was also a craft session by our creative member Megan Elley.

The Third session in the series included a Cross Border Nativity Play! The children from Fun-Learn Pre School & Day Care in Kolkata, India and the kids here in the UK had been meeting for zoom practice sessions for more than a month! This novel nativity play was a loved by everyone across the two countries and our other supporters across the globe.

Storytelling session on Holi for kids

We organised this lovely story telling session for children (and grown-ups too) - The Story Behind Holi. To understand more about why we celebrate Holi, how it is celebrated and how you can celebrate Holi in your own home. This lively session was conducted by Tejaswini Menon, a professional and passionate storyteller based in the USA.

Care for carers

The Association has been recognised as a key partner to work with carers and provide help and support to the mainstream services. To celebrate the efforts of all the carers we organised a series of events called ‘Care for Carers’ through some mesmerising performances which were attended by people from all over the world. Care for Carers was a series of events dedicated to all carers - whose lives and responsibilities have been made further complex by the past year and its challenges. This series of events was also to spread awareness of who a carer is, how to register as a carer and to make people aware of the kind of support available to them.

Event one: Journey into Odissi

The first event in this series was a mother-daughter duo by Sonalika and Shrinika, based in Bangalore, India, who performed on livestreaming an exclusive performance in one of the oldest the dance forms - Odissi.

Event two: Kathak: Fusion and Immersion

The second event in our series of Care for Carers – Kathak: Fusion and Immersion was held on Saturday, 27 March 2021. In this event, Kathak Rockers, a professional dance troupe from India, performed Kathak classical dance performance with a fusion.

Both the events were free and open for donations.

Each of these performances were interspersed with interviews by the Asian Association staff of integral figures in public health and pertinent organisations. They covered topics such as the importance of unpaid carers signing up to their GP, the support services available to them, their access to early vaccinations and more!

Special Christmas meals

Instead of taking a day off on Christmas the team Saffron Kitchen decided to cook meals together for all its users to bring smiles on their faces in such a difficult time. The Centre's kitchen was buzzing on Christmas day, with freshly made meals going out to people on the day of! The menu was a choice between paneer kebabs, green chutney, naan or roast turkey with veg. Christmas is always better when spent with family and friends and we were lucky to have been able to spend it with friends and colleagues for a good cause. We received many calls and written feedback full of emotions on our Christmas meals. It made the work we have been doing even more rewarding.

Yoga sessions

During the pandemic, to support members looking after their physical as well as mental health we started Yoga classes on Zoom. By May 2020, we trained most of our members on Zoom, so they welcomed this idea. Many others from the wider community joined in. These Yoga sessions started on 9 May 2020 on twice a week basis. Our instructor Anton Geoffrey Rosareo is a qualified Yoga instructor with over eight years of training and several Yoga state-level championships. The sessions are now held every Saturday from 9 am10 am.

Networking and collaborations

Throughout the lockdowns of 2020 and early 2021, we made sure to keep connected through various networking activities with organisations, causes and charities across Chesterfield and North Derbyshire. Here are a few events and activities that kept us connected.

The goal of the Asian Association throughout the peak of lockdowns was to maintain the momentum of staying connected. We hope that we have achieved this during this time. We have been regular participants in Leadership and general meeting of the Derbyshire BME Forum organised by Links CVS. Through these Forum meetings, we have had the opportunity to discuss racial inequality, provide input on racially motivated crime in Derbyshire, make links with other community groups to provide any assistance we could and more valuable inroads into better communication and representation of our communities in local and wider issues.

We attended and contributed to the Children and Young People's Network Meetings also held by Links CVS to see how we could better equip ourselves with information and contacts to run suitable and useful events and activities for younger members of our community.

1 Accounting policies

1.1 Accounting convention

The financial statements have been prepared in accordance with the charity's [governing document], the Charities Act 2011 and "Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)". The charity is a Public Benefit Entity as defined by FRS 102.

The charity has taken advantage of the provisions in the SORP for charities applying FRS 102 Update Bulletin 1 not to prepare a Statement of Cash Flows.

The financial statements are prepared in sterling , which is the functional currency of the charity. Monetary a mounts in these financial statements are rounded to the nearest £.

1.2 Going concern

At the time of approving the financial statements, the trustees have a reasonable expectation that the charity has adequate resources to continue in operational existence for the foreseeable future. Thus the trustees continue to adopt the going concern basis of accounting in preparing the financial statements.

1.3 Charitable funds

Unrestricted funds are available for use at the discretion of the trustees in furtherance of their charitable objectives.

Restricted funds are subject to specific conditions by donors as to how they may be used. The purposes and uses of the restricted funds are set out in the notes to the financial statements.

1.4 Income

Income is recognised when the charity is legally entitled to it after any performance conditions have been met, the amounts can be measured reliably, and it is probable that income will be received.

Cash donations are recognised on receipt. Other donations are recognised once the charity has been notified of the donation, unless performance conditions require deferral of the amount. Income tax recoverable in relation to donations received under Gift Aid or deeds of covenant is recognised at the time of the donation.

1.5 Expenditure

Expenditure is recognised on an annual basis as a lability is incurred. Expenditure includes any VAT which cannot be fully recovered, and is reportable as part of the expenditure to which it related.

1.6 Tangible fixed assets

Tangible fixed assets are initially measured at cost and subsequently measured at cost or valuation, net of depreciation and any impairment losses.

Depreciation is recognised so as to write off the cost or valuation of assets less their residual values over their useful lives on the following bases:

1.7 Impairment of fixed assets

At each reporting end date, the charity reviews the carrying amounts of its tangible assets to determine whether there is any indication that those assets have suffered an impairment loss. If any such indication exists, the recoverable amount of the asset is estimated in order to determine the extent of the impairment loss (if any ) .

1.8 Cash and cash equivalents

Cash and cash equivalents include cash in hand, deposits held at call with banks, other short-term liquid investments with original maturities of three months or less, and bank overdrafts. Bank overdrafts are shown within borrowings in current liabilities.

1.9 Financial instruments

The charity has elected to apply the provisions of Section 11 ‘Basic Financial Instruments’ and Section 12 ‘Other Financial Instruments Issues’ of FRS 102 to all of its financial instruments.

Financial instruments are recognised in the charity's balance sheet when the charity becomes party to the contractual provisions of the instrument.

Basic financial assets

Basic financial assets, which include debtors and cash and bank balances, are initially measured at transaction price including transaction costs and are subsequently carried at amortised cost using the effective interest method unless the arrangement constitutes a financing transaction, where the transaction is measured at the present value of the future receipts discounted at a market rate of interest. Financial assets classified as receivable within one year are not amortised.

Basic financial liabilities

Basic financial liabilities, including creditors and bank loans are initially recognised at transaction price unless the arrangement constitutes a financing transaction, where the debt instrument is measured at the present value of the future p aymen ts discounted at a market rate of interest. Financial liabilities classified as payable within one year are not amortised.

1.10 Employee benefits

The cost of any unused holiday entitlement is recognised in the period in which the employee’s services are received.

Termination benefits are recognised immediately as an expense when the charity is demonstrably committed to terminate the employment of an employee or to provide termination benefits.

1.11 Retirement benefits

Payments to defined contribution retirement benefit schemes are charged as an expense as they fall due.

1.12 Leases

Rentals payable under operating leases, including any lease incentives received, are charged as an expense on a straight line basis over the term of the relevant lease.
