At the end of the year the membership was 35 with 21 men and 14 women. In undertaking its work, the Charity ￿lieS on the membern of the Shakespeare Lions Club ICIO). All members a￿ volunteers., their time is given freely and WFthout Gharge and without this support the charity would not be able to function. Family, friends, and other volunteers also assist with fund raising, giving freely of their ts'me. Shakespeare Lions Club (CIO) is managed by its members and meets monthly at "Business Meeting.. The CSub elects and appoints annually, Trustees meet as reuired to discuss strategic or important issues. Detailed affairs relating to fund raising and decision8 on Communty Seniice proposals and donations are Considered at regular monthly commfftee meetings. Club members paid an annual subscription of £60 These 8ub8CriPtion8 together with fundraising social events for members, furKI the members. dues which are paid to support Lions District, Lions Muttiple Dislrict and Lions Club Intemational administration and for the administration of the Club. These monies. relating to the administration of the club, are accounted for entirely separately from the charitable and Chanty fund-raising monies. Trust Compo8itlon In accordance with the Trust Deed. the Charity is currently managed by seven Truslees of whom, the Club President, Secretary and Treasurer are exThofficio plus four elected Trustees. One new Trustee is elected each year to sepie for a threethyear period. Trustees may be re- elected to serve. The Trustees are elected at the same time as the Lions Club Officers and Directors by the members of the Lions Club in March each year and take office on 1st July following. Trustees are made aware of their roles and responsibilrties and are provided with copies of the Charity Commission guidance CC3 'The Essential Trustee" Trustees are also encouraged lo attend the Lions Di8trid 105CW Forum where guidance is given on the role of Trustees. The Club'8 charitable work and donth'ons are administered through the Trust. Donations and grants are considered in accordance wrth the Lions Club l Trusfs Grant Making Policy. All financial expendrtures and donations are individually approved by a majority of the m8mb8rs present al the monthly business meeting, subject to the￿ being a quorum of four trustees in attendance. Members and friends of the Club undertake a variety of fund-raising activities throughout the year. The main income streams of the dub during the year were derived from.. Grants Recelved Stratford upon Avon Municipal Charities £800 Programme Lucem Solar Fams Ltd £1000 to support Lrfe Skills Training Gffts & Oonatlons Gift Aid on Charity Funds £1096 and Members subscriptions £210 Fund Ral•lng During December 2023 our Santa Sleigh visited housing estates in Stratford upon Avon collecting public donations with static co118Ctions at supermarkets and street mark8t. Thes8 collections arranged under licence from Stratlord on Avon Distnct Council raised a net income of £4033 Easter Eggs placed with schools and pubs by both Shakespeare Lions together with an Easter Hamper raffle and Alcester ￿n8 raised a net income of Shakespeare £1256 and Alcester £273 Members volunteered to help marshal Shakespeare Marathon in Apr 2024 and their fee of £800 was posted to the charity account Miscellaneous fund raisers Shakepeare Lions £508 Alce8t8r £1478 The above amounts are after deduction of valid expenses. the said fund8 only being donated to service activities or to worthy causes on the recommendation of the Club's Community Services Committee and the Lions Club members. These are approved by the Trustees in accordance wrth the Charitable Trusvs Grant Making Policy. A separate income stream in the fwm of subscrimions paid by members supports the administration of the club. Social events and 100 club designated as being for administration rather than chanty, supplements the administrats'on of the ¢lub. Training is undertaken by Lion members in conjunction with Strafford Ambulance Association. Since 2016 we have trained 1712 School Leavers and 231 Adults Recycllng each month we recyde about 1,500 pairs of spectacles for use in developing ¢ountrie8 via Lions Intemational. Youth we are involved in various Lions youth initiatives. This last year we supported ROAR which is a UK Lions project where primary Schools throughout the nation are invited to participate. Bridgetown Primary School in Stratford entered the ¢ompetrtion At Christmas we provide gifts and cheer for Ihe patients and nursing staff at Stratford Hospital Page 5

8hako8peare Llon8 Club ICIOI Trustets Annual Roport 2023-24 Reserves Policy Given the chartty's scale of operation and the fact that it only dispenses grants I donations within the limit of its furKls at any given time rt is not considered that there is a need for significant reserves. However, the Charitable Trust looks to maintain a minimum balance in its account of £1,000 to pre-pay for fvndraising initiatives and to cover any urgent needs or requesls for financial grantsldonations. Rlsk Pollcy Not having propety interests or employees, the Charity's exposure to risk is relatively low. The Trustees are covered to the level of £5 million by the Trustees, indemnity element of the Lions Multiple District Insurance policy. Due diligence in checking the insurance details of any organisation employed at events is essential. The main Per￿1ved risk is insolvency. This is addressed by the trustees ensuring that grants I donations do not exceed the available funds held by the Charrtable Trust Fund at any given time. The Risk Policy of Ihe Trust is subject to annual review. Review of Financial Activities and Affairn The financial accounts of the Shakespeare Lions Club (CIO) for the year ended 30th June 2024 are attached to this report. These have been independently examined and approved. CIO R•gistration It should be noted Ihat in December 2017 Shakespeare Lions Club applied to the Charity Commission to reglster as a Charitable Incorporated Organisation (CIO) On 3rf Apnl 2018 the Charrty Commission approved the registration of Shakespeare Lions Club (CIO) and entered it onto the Register of Charities wrth the Registered Charrty Number 1177788. The CIO has sought and obtained a Section 105 Order from the Charity Commission to transfer the assets and liabilrties of Shakespeare Lions Club la non-registered Lions Clubl to th8 cio. The fomiation of the CIO involving the adoption of the CIO Constitution, Lions Club By-law8 and Grant Making Policy took plarA on 11th October 2018. The assets of Shakespeare Lions Club were then transferred to the new CIO. It should be noted that these actions hav8 been taken be¢au$e the Charity Commission have advised that the most appropriate entity for a Lion8 Club 18 a CIO.
