Swaythling Neighbourhood Centre AGM 2022-2023 1[st] October 2024

Present: Margaret Kelsey (SNC Trustee), Jennie Rawles (SNC Trustee), David Beckett (SNC Trustee), Alice Rawles (SNC Trustee), Ian Elsey (SNC Trustee), Avril Stilwell (SNC Trustee), Debbie Cooke (Bingo, Cllr Lorna Fielka, Elaine Buckland (Playlink), Cllr Matt Bundy, Jamil Muhammad (Muir Group), Cllr Thomas Gravatt, Michael Rawles (SNC Volunteer), Vicki Rawles (SNC Volunteer), Hayleigh De Vaux (SNC Volunteer), Abidon (Christ Massiah Church)

Apologies: Sam Townsend (SNC Volunteer), Marion Parr, Dot Capes, Pam Walker Meeting Chaired by David Beckett – Welcome David explained that this AGM was for 2022-2023 and there will be a further AGM in Feb to cover the time period of 2023-2024 Minutes of last Annual General Meeting 20-2022 (held 3[rd] March 2023) Minutes were presented and agreed as being correct. Agreed by Ian Elsey and Seconded by Vicki Rawles Matters Arising No Matters Reports were provided by user groups including: Chairs Report provided by Avril Stilwell (Vice Chair) on behalf of Gloria Ball (Chair) Bingo Report Provided by Debbie Cooke Over 50’s Report provided by Alice Rawles Maintenance Report provided by Ian Elsey ACCOUNTS presented by Margaret Kelsey Since Covid, we have been running at a loss. This is due to losing some small group bookings, being unable to host late night party bookings and increases in utility bills.

Plans for the Future

The Centre will host a Love Where You Live Event in the summer of 2023 Trustee Elections

Election of Trustees : David explained that the governing documents require trustees to serve for a three-year term before stepping down, trustees can put themselves forward for re-election.

David Beckett and Alice Rawles stepped down Ian Nominated Alice seconded by Vicki David was nominated by Debbie and Seconded by Vicki Hayleigh said she would like to become more involved in the Management of the Centre Nominated by Vicki seconded by Debbie.

Chairs Report 2023-2024

I start my report with the sad announcement of the death of the former chairperson Gloria Ball who served as Chair for 6 years.

Firstly, I would like to thank the Trustees and volunteers for all their hard work keeping the centre up together and functioning. I would also like to welcome Hayleigh De Vaux, our newest Trustee, who has been coming along to our monthly meetings and helping at events.

On the 18[th] April 2023 we hosted and organised a community event called ‘Love Where You Live’. This is a City Council Strategy that brings a host of organisations, agencies, groups, clubs and local people together to celebrate everything that is happening in the area and to give local people the opportunity to find out about and talk to agencies and organisations that can help them.

The event was very well attended, lots of fun, and feedback was that everybody who came along enjoyed the day.

We have had to increase the rent of our resident organisations and hall hire due to ever increasing utility bills. Unfortunately, we are still running at a deficit, although we are lucky to have enough in our reserves to cover this at the present.

The Christmas and Summer Fairs were well attended and brought in much needed funds to help to keep the centre going. Volunteers have continued to support the centre by organising the popular 6 weekly jumble sales and several Book/DVD sales.

In May we held a Volunteer Gardening Day, which helped to keep the centre looking nice and tidy.

We ran a pilot warm spaces drop in session on a Tuesday evening, this wasn’t well attended, with only a couple of people coming each week. The time wasn’t wasted as the Trustees and volunteers used the time to organise the jumble cupboard and prepare things for the events.

SNC AGM 2023-2024

Maintenance Report

Routine Monthly testing is done for: emergency lighting and lift. Routine sixmonthly tests are done for fire alarms. Routine Annual checks or services are carried out for: Roller Shutters, lift, emergency lights, fire extinguishers, Asbestos and boiler.

Repairs to the building: Boiler

Heating wasn’t working, boiler repaired, and heating is back working. Radiator in the main hall came off the wall, this is now secured back on the wall.

Motor replaced in the boiler room shutter. Shutter in main hall repaired. Lift

Phone and light inside the lift have both been repaired Plate on the floor of the lifted and re-screwed to stop it dragging. Lighting

We’ve started to replace the old lights with LED lights this includes the strip, bulkhead and round lights and will be on-going rolling programme until all lights have been upgraded. Toilets

Leak in upstairs Ladies toilet fixed. Cistern in the disabled toilet replace. Replaced old toilet seats Kitchen

Door handles replaced Dishwasher Installed Roof Terrace

Drain on the terrace above PlayLink was cleaned and repair with new roof sealant. Gutters and Drains Drains in the carpark have been cleared and cleaned. Equipment New wiring in Candy Floss Machine Outside spaces Regular grass cutting and paths cleared.

Maintenance is always going to be an ongoing issue; we repair as much as we can in-house and have contractors in to carry out any other essential works.

Over 50’s Report for the AGM 2023 – 2024

For our annual outing this year we split and offered a choice of venues. The majority of members went to Windsor, and others went to Furzey Gardens in the New Forest for a cream tea. Offering a choice meant that those less able or not wishing to walk far could still enjoy a day out.

The over 50’s have had a very sad loss this year with the death of Gloria Ball, a larger than life character, who was a popular member of the group and also the Chairperson for the centre for many years. She will be sadly missed by everyone.

In May we celebrated King Charles III Coronation with a party. We held the Christmas party in the afternoon instead of the evening, which worked out well, and will be our time of choice for the future. We have a weekly bring and buy table and occasional raffle to raise funds for the group. This year we raised £503.00. We also raised £64.33 from our loose change box, that members add to throughout the year. This was donated to Dylan’s Quest Charity, this will benefit families using Naomi House Hospice. I would like to take this opportunity to thank Pam for collecting the Subs every week.

I would also like to thank our Auditor Steve Frost for keeping our books in order.
