Annual Meeting of Trustees On-line 31 January 2024

Minutes of Meeting

2. Minutes of previous AGM, 13 February 2023, were accepted

3. Trustees

Katie Holmes was confirmed as a new trustee, having joined on 22 June 2023. Neil Carter was confirmed as the new administrator and the charity’s new point of contact.

Tom McNab had resigned his position as a trustee in 2023. Peter Radford remains as a trustee

4. Financial position, 2023

Athlos’s bank balance with Barclay’s, dated 29 December 2023, is: £14,689.36 It was stated that no money had been paid in during this period, with £460.53 paid out.

Peter Radford had paid off one bill with einfinity, but had refused reimbursement as per e-mail 23 January 2024.

NC now has sole control over the charity’s bank account with Barclays. This had been a protracted process with the bank. It had been assumed that KH would have joint control, but this has been difficult to achieve due to issues with Barclays. It was decided that both the trustees present should have joint control over the finances and that this matter needed further investigation.

It was also re-affirmed that the Athlos funds were solely for the maintenance and development of the website, in line with the charity’s aims and objectives.

5. Website

KH reported on her correspondence with einfinity regarding the website. It was reported that one book, the Athletics Literature Compendium, cannot be accessed due to a software issue.

There had been some unresolved issues over the software for Flipping Books and the licences needed.

KH to contact einfinity again over the charges to fix software glitches. It was agreed that sorting out the website was the most important task for the trustees in 2024.

6. Athlos – 2024 strategy

This point was divided up into a four-part strategy for 2024.

1. Website

As per number 5, it was decided that this was the most important task for the coming year, and needed sorting out before consideration could be given to other parts of the strategy.

2. Promotion of Athlos

KH showed a data via Google Analytics on the number of people visiting the website and which parts were being accessed.

There was discussion over how to increase usage, especially with regard to social media platforms, including twitter (X) and Instagram, and the use of images at our disposal.

NC proposed scheduling tweets during the Olympics to publicise the website’s contents.

KH noted that Athlos can’t tweet out images linked to the website; images have to be added manually to tweets. KH to try and make this change.

NC brought up the idea of Athlos giving a prize for best article on athletics’ history. It was agreed not to pursue this idea at this time.

3. New Trustees

It was agreed to recruit a new trustee was an objective for 2024 Three names were suggested.

4. New books

Discussion took place over what if any new books should be included on the website, and how new inclusions would or would not match the charity’s aims and objectives.

KH noted that as a new member of NUTS they may have relevant texts.
