Board of Trustees Report Tlie ti'ustees present their financial statements of the charity for the year ended 31 Decembei" 2024. The Aniiual report and Accounts have been pi"epared in accoi'dance with tlie charitys trust deed, the Cliarities Act 2011 and tlie Statement of Recommended Practice: Accounting and Repoi'ting by Cliarities published in 2005. Structure, governance and management The Trust is a registered charity, number 1136844, and is constituted undei" a li'ust deed dated 9 Noveinber 2009 and subsequently amended 13 June 2010. Tlie Trust was established to organise fuiid raising eveiits aiid distribute sui'pluses to tlie benefit of tlie local comniunities of Haddenham and suri'oundiiig Comiiiunities. Currently eight trustees constitute the Board of Tiustees. New trustees al'e appointed by the existing ti'ustees and serve for five years after wliich tliey niay put themselves forward for re-appointment. The Trust Deed provides foi. a niiniinum of 5 trustees. Tlie Ti"ustees nieet foiir tinies per year. At these nieetings the trLlStees agree the strategy and ai.eas of activity foi. tlie Trust, including considei"atioii of graiit makiiig, ii)vestnient, reserves aiid risk manageiiieiit policies and performance. A separate larger conimÉttee plans and operates tlie fundraising events; sonie trustees are also iiienibers of this committee. How the Charity achieves Éts objectives This yeai, oui" largest fund raising lamily event, Sunimerfest24 was badly affected by inclemei)t weatliei" and atteiidaijce tinie was liiiiited resiiltiiig in significaiitly lower funds i'aised compared to previous years wliilst Wintei"fest24, our sinaller event, was relatively successful but was Iiot able to inake up foi" the fuiid i"aising slic>rtfall at the Suniiiier event. This lias resulted in lowei" funds available foi" grant disti'ibutioii in the fiiture. The Chai'ity raises funds by holding two coiiimunity aijd faniily frieiidly festivals eacliyear in tlie village of Haddenliani in Bucks. Tliese festivals are fuiided through donatioiis froni local busi)iesses and sales on the day of each festival. The overheads of tlie Cliai'ity are kept to a minimum, which allows the Iiiajority of the surpluses froni the two festivals to be distributed to good causes in tlie local coinmunities.
Tlie largest of the festivals is held in the suminer and iioi'mally attracts in excess of 3,500 visitors who enjoy tlie varied choice of ales, lagers, wikies aiid ciders aloiigside music, food and cliildren's entertaininenL The secoiid festival is in Winterwhich attracts IOOO+ visitors to saniple tlie winter ales, ciders aiid wines on offer as well as street food, children's eiitertainment and iiiusic. Each of tliese festivals al'e organised by a voluiitaiy committee froiii the village and siii"i'ouiidiiig areas wlio call upoyi a gi.eat deal of assistance fi.om the locality tliemselves. Tlie events al'e staffed by voluiiteei"s froni tlie local communities. Heiice our charity motto "For the Conirnunity: By the Coiiimunity" Tlie Board OF Trustees iiianages the Charity; many of whom are also involved in the oi.g2nisiiig of tlie events. The Trustees hold theii" njeetiiigs separately from tlie orgaiiisiiig coniniittees aiid the Ti'ustees agree all festival plans and expeiiditui'e before coniniitnient. Tlie surpluses from these events less the Cliarity overheads create the fiinds tliat are made available to distribiite to the Comniunity. This disti'ibutioii takes the foriii of Grants that al'e applied foi" by comnliiiiity gi'oiips on belialf of tlieir iiien)bei"s. Applications are welconied fi'oin all coniiiiuiiity groiips and submitted for coiisidei'atioii thi"oiigli a standai'd applicatioii process accessed tlii"ougli the charity website. All applications al'e reviewed and decided upon at one of foiir Triistee Ineetings per year. The availability of these Graiits is piiblicised thi'oiighout tlie commiinities covered by the Charity via newspapers, local publicity, the CharlS website and at the festivals tl)emselves. Tlie Grants are available to all cominunities within the Charity's catclimeiit area of Haddenhaiii and surrounding areas as long as they iiieet the critei.ia described in the Chai'ity's Objects and tlie Charity lias the i'esources available at that time, Once Gi"ants have beeii agreed or rejected by tlie Ti"iistees, the TreasiiI"ei' advises all applicants, in writing, ol the oiitconie. Tlie fuiids are reserved foi. twelve nionths within the Chai'ity awaiting the successful applicants to claiin. The Ti"ustees aiill to ensiire tliat all sectoi's of the local coinmiinities beiiefit froni tlie Grants tliat are niade. The year ending 31 December 2024 Tliis is the fifteenth full year of the Chai'ity's existence, and the Trustees al'e very pleased to I"eport the following summary of activities:
Fund Raising and Expenditure (all figures in thousands) As previously repoi'ted Tlie Charity were able to liold two fund raising events following the Covid pandemic albeit less funds were raised than in precious years. The Charity does not employ any staff and relies completely 011 volunteer Trustees, Coinniittee Meinbers aiid third party Staff, helping plan, prepare aiid work oil tlie day. The only paynieiits niade to individuals ai"e the reiinbursement of direct expenses paid out in carryiiig out their duties. Net incoine from the Fund-Raising Events £35,8k in 2024 (LY £49.3], charity expeiises wei"e £4.7k (LY 2.6k) and Grants of £30.2k (LY £25.8k) wei'e paid out foi" Grants agreed. Gi"ants agreed but not paid byyearend totalled £21.6k (LY £23.7k). Tlie above activities duriiig the year resulted in a decrease in cash balances of £5.4k CLY E20.4k) to £67.Sk (LY £72.8k). Cash in Bank is the only asset of tlie Cliarity as a cash accoiinting policy is einployed to I'ecoi'd the financial transactions aiid all acquisitions are written off in the year of purcliase. Aiiiouiits owed (incl. unpaid grants) total £25.5k (LY £25.9k) leaves £42k (LY £46.9k) of fuiids available to cover future events reserves, grants and overlieads. Each oloui. festivals has a significant eleineiit of outside activity and therefore the weatliei" is an iiiipoi.tant factor in tlie success of each evenL Tlie oi'ganising comiiiittee take significaiit steps to niitigate tlie effect of bad weather but even so tliere is a high likeliliood of i"educed income if the weathei" is not kind. Tliis was tlie case for Suiiimerfest24. Grant Maliing Each of the applications for Grants was i-eviewed against tlie criteria set out in the Chai'ity's Objects and oli ali equal footing. The Ti'ustees paid 32 individual Gi'aiits during tlie year. These Gi"ants totalled £30.2k (LY £25.8k). Winterfest 25, To be held on the 13 Decenibei" is in the planning stages and we hope to hold a successful event.
Risk Management All major third-party risks are insured, and any conti'actual risks ai"e reviewed before being entered into to assess whether they significantly impact upon the Cliai'ity's ability to fulfil its objectives. A formal Risk Aiialysis is undertaken iii line with Healtli & Safety requirements befoi'e each festival by tlie Trustees aiid Organisiiig Comiiiittee, volunteers are briefed before each festival on areas of risk and procedui.es to initigate. Related Transactions Dui'ing the year tlie Cliarity entered related party transactions with Oxlinlc Ltd £6,504 of this £6,378 was for oi"igiiial artwork and design and £126 reimburseiiieiit of costs. The company provided marketiiig and design sei'vices to HBFT. David Finch, a Trustee was at that lime owner aJ]d director of Oxlink Ltd, lie sold Iiis investment in Oxlink Ltd and ceased to be ownei"/dii"ectoi" on 4 September 2024. Tlie services were pi"ovided at less than market value. Paynieiits were made to On The Boundary Fence for site services at Winterfest of £600. Kirsty Towersey( Trustee) is married to the owner. Statement of Trustees Responslbilities Charity law requires the Trustees to prepare accounts for eacli financial year that give a ti.iie and fair view of the state of affairs of the Cliarity aiid of the profit and loss of the Charity for that period. In pi'eparing these accounts, the Trustees ai"e I'equired to.. Select suitable accounting policies and then apply theni consistently. Make adjustiiients and estiinates that are reasonable and prudent. Pi"epare tl)e accounts on tlie going concern basis unless it is inappi'opi'iate to pi'esume tliat tlie Charity will continue in operation.
