Report of the Trustees for the year ending 31 August 2024 Introduction The Trustees are pleased to presenttheir Annual Report togetherwith the Financial Statementsof the Charity for the year ending 31 August 2024. The financial statements have been prepared in accordance with the accounting policies Set out in note I tothe accounts and comply with the chariws trust deed, the Charities Act 2011 and Accountin and the Charities Statement of Recommended Practice (second edition) and Financial Reporting Standard FRS 102. Our purposes and activities The purposes of the Charity are: to raise funds to support the school in providing facilities and equipment which advance the education of the pupils; to develop effective relationships between the staff. parents and others associated with the school, whilst providing eng3ging events for pupils, parents and staff as part of the fundraising activities. The Trustees complied with their duty to have due regard to the Charity Commission's Public Benefit Guidance when exercising any powers or duties to which the guidance is relevant. To fulfil the charity's purpose of the betterment of the School's community, the Friends raised £21,457 through 3 number of events with the help of the wider school community. The biggest fundraisers were the May Butterfly Ball, Butterfly Quiz and the Family Fireworks. As well as this individual donations of £8,189 were received. This is a tremendous achievement for such a small single-form entryschool, Our contributions to the school for the academic year 2023-2024 totalled £5,101. The Friends, mai n contributions were £2,400 towards classroom resources and £1,300 class trip contributions. We also contributed funds towards a visiting theatre totalling £799 and various other small initiatives. Friends of Coulsdon C Df E Schod Page 3
Report of the Trustees for the year ending 31 August 2024 Structure, Governance and Management The Friends of Coulsdon C of E School {"the Charity ) is registered wtth the Charity Commission, registered number 1136580. The Charity is governed by its Constitution document. In line with best prattice, on 8June 2022 we adopted the latest Model Constitution for Parent Teacher Associations in England and Wales {March 2021} from Parentkind, the PTA membership association. The Trustees of the Charity who seNed during the year covered by this report and the period up to it being signed are listed on page 2. The power to appoint new Trustees is held by the Committee. Trustees are appointed for a two-year period and may subsequently be re-appointed for a further term. Recently appointed Trustees are provided with guidance to ensure they have sufficient knowledge to exercise their duties as Trustees. Trustees are selected via an election process, with the positions being filled by those with the majority vote. Elections take place annually at the AGM and if and when Trustees resign. The Trustees met as required during the year ended 31 August 2024. The Charity does not have any directly employed staff or management, all Trustee5 are volunteers who are not remunerated fortheir time. Reserves Policy Funds raised are kept in the charity bank account until the school request funds to purchase resources. Report of the Chair The Friends have continued to support the school through a number of initiatives includi ng our 2nnu21 contribution to classroom resources and class trips. In addition, the Friends funded a theatre production company visit to the school for a production of Alice in Wonderland. The focus of the Friends fundraisin8 activities this year has been to raise funds for the Butterfly Project. A projett that will allow for an additional learning space to be built as well as provide space for a sensory room to be installed. The project will be a lasting memory to our former head teacher Mrs Mitchell. For the project to commence a total of £45,000 needed to be raised. The trustees agreed to pledge £23,771 from resources in hand with the remaining amountraised from a number of activities through the tremendous support of the school community. The May Ball was renamed the Butterfly Ball in 2024 for this year and raised £7,880. A quiz night was held for staff and former staff and sUPPOrters and raised £2,223. Generous individual donations of £8,189 were also received towards the projett. By March 2025 total funds raised by the Friends towards the Butterfly Project amounted to £46,952. The Butterfly project was officially opened in March 2025. LookinE to the future the Friends will continue to support the school and is currently looking at is next major fundraising attivities as well as it's continued to support to the school through its annual la55room resource contributions and class trips. We would like to thank the current Friends Committee. parent class representatives, Mr Garratty, all the staff and our dedicated parent volunteers for all their sUPPOrt. Respertive responsibilities of the Trustees and the Exarniner TFte Charlty'5 Trustees are responsible for the preparation of the Financial Statements. The Charitvs Trustees considerthat an audit is not required for this year under settion 144 of the Charities Att 2011 I'the Charities AcV'} and that an independent examination15 needed. It Is my responsibillty to.. examine the FinancS3l Statements under section 145 of the Charities Act, to follow the procedures laid down in the Rener310irections given by the Charity Commission {under section 14515llbl of the Charities Act). and to state whether particular matters have come to my attention. Basis of independent examlnerfs statement My examination was carried out In accordance with general Directlons given by the Charity Commission. An examination includes a review of the accounting records kept by the Charity and a comparison of the Financial Statement5 presented with those records, It also includes consideration of any unusual items or disclosures in the Financial Statements, and seeking explanations from the Trustee5 concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit. and consequently no opinion is given as to whether the Financial Statements present a 'true and fairf view and the report is limited to those matter5 set out in the statement below. Independent examiner's statement In connertion with my examination, no matter has come to my attention: which gives me reasonable cause to believe that, in any material respect, the requlrements.. to keep accounting record5 in accordance with section 130 of the Charities Act; and to prepare Financial Statements which accord with the accounting records and comply with the accounting requlrements of the Charities Act have not been met: or 2. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the Financial Statements to be reached. Notes to the Financial Statements l Accountlng policies 1.1 Basis of preparatlon The Friends of Coulsdon C of E School 15 3 public benefit entity and a registered charity. The registered ofjfice addre55 is given on page 2. These Financial Statements have been prepared under the historical c05t convention historical cost onvention with items recognised at cost or transaction value unless otherwise stated in the relevant notels) to these accounts. The financial statements have been prepared in accordance with the second edition of the Charities Statement of Recommended Practice issued in October 2019, the Financial Reporting Standard applicable in the United Kingdom and Republic of Ireland IFRS 1021 and the Charities Act 2011. 1.2 Going concern Having reviewed the financial position the Trustees have a reasonable expectation that the Charity has adequate resources to continue its activities for the foreseeable future. Purchases and donations to Coulsdon C of E Primary School are only made on the basis of having available funds. Accordingly, they have adopted a going concern basis in preparing the Financial Statements. 1.3 Change in basis of a¢countln8 There has been no change to the accounting policies since last year. 1.4 Recognitlon of Income Income is included in the Statement of Financial Activities {SoFA) when: the charity becomes entitled to the resources; it is more likely than not that the Trustees will receive the resources; and the monetary value can be measured with sufficient reliability. 1.5 L6ability recognition Liabilities are recognised where it is more likely than not that there is 3 legal or constructive obligation committing the charity to pay out resources and the amount of the obligation can be measured with reasonable certainty. 1.6 Grants and donations Grant5 and donations are only included in the Statement of Financial Activities when the general income recognition criteria are met15.10 to 5.12 FRS102 SORPI. Notes to the Financial Statements 1.7 Taxation The entlty is a registered charity and does not trade fortax purpose5. It is not liable to tax on its surplus derived from charitable activities. 1.8 Tax reclaims on donations and gifts Gift Aid receivable 15 only included in income on receipt of monies from HMRC. Any Gift Aid amount recovered on a donation is considered to be part of that gift and is treated as an additionto the same fund as the initial donation unless the donor or the terms of the appeal have specified otherwise. 1,9 Donated service5 The value of any voluntary help received from the Trustees and individuals supporting events throughout the year is not reported in these Financial Statements. 1.10 Funds Unrestrlcted funds, represented by the balance of the assets, may be used at the Trustees, discretion for either capital or revenue purposes on any of the activities carried out by the Charity. 1.11 Costs of fundralsing events Charitable expenditure includes all costs which are directly attributable to furthering the objects of the Charity.
