B. Structure, governance, and management
The charity is governed by its Constitution and is an unincorporated association governed by a Committee of Trustees. Any new Trustees are appointed by the Committee of Trustees, having been nominated by an existing Trustee and seconded by another Trustee. All Trustees understand and have regard to the Charity Commission’s guidance on public benefit whilst carrying out their activities.
The Committee of Trustees meets every 2 months to:

set the strategic direction of the charity, including its ongoing activities

monitor and oversee the charity finances and current balances
-
support the Development Officer, Charity Administrator and Club Leader including assisting with fundraising and other activities
-
take whatever decisions are necessary for the ongoing benefit of the Club
Reserves Policy
Bath Gateway Out & About’s current reserves policy is to retain 6 months’ worth of operational expenditure in hand – to cover all essential core running costs including current salaries for paid employees, plus other additional core running costs, as appropriate. We consider our essential running costs as for those things we would have to do, even if we were to be in the unfortunate

situation of not being able to deliver our usual programme of activities for our club members. At the current time, this equates to at least £20,000 that the charity must keep in reserves.

C. Objectives and activities
Our objectives as a Charity and for our two Clubs are

➢ The relief of people with a learning disability by the provision of help and support for them and for their families, dependants, and carers, and to promote public awareness of learning disabilities and to advance independence amongst persons with a learning disability
-
➢ To provide or assist in the provision of facilities for the recreation or other leisure time occupation for people who have need thereof because of learning disability with the object of improving their conditions of life.
Summary of the main activities
Our club provides social and leisure activities for individuals 18 years and over who either have learning difficulties, are disabled, or both. Activities are undertaken out and about in the community and enable our members to take part in a range of age-appropriate experiences helping them with their life skills, raising
their self-esteem, building their confidence, and developing their friendships; and in addition, providing exposure to, and integration with, the local community in Bath and the surrounding areas.

Sam: “I really enjoy all the activities, the company, nice to be part of the activities and I feel appreciated.”
Debbie: “I feel happy when I’m at club, meet new people who are friendly including volunteers.”
Missy: “I enjoy the activities like dancing and bowling.”
The activities take place in general in the Bath and NE-East Somerset area with occasional holidays or day trips arranged outside the area. The Club nights take place on a weekly basis with other activities taking place on an intermittent basis as arranged.

Contribution made by volunteers
A major contribution to the Club is made by our 13 volunteers who give their time willingly and selflessly, without whom the Club could not function, and we would like to thank every one of them all so very much for their magnificent and astounding contributions during the past year.
Without the help of our amazing volunteers, we would not be able to run our regular weekly evening Club sessions, let alone occasional holidays and day trips that the members also enjoy.
Libby : “I started volunteering with the group in February 2024. I am a young adult carer to my brother who has severe disabilities, and when I started university in Bath I was keen to get involved in supporting adults who had similar needs to my brother. The two hours I spend a week at the club is always full of positivity; I always leave the sessions feeling so uplifted and looking forward to the next week! I have loved getting to know everyone's personalities and hearing about their lives, and I would certainly recommend the club to anyone who wants to be involved in putting a smile on people's faces and making peoples weeks even a little bit better.”

D. Achievements and performance
During the year starting in September 2023 and finishing near the end of July 2024, we have managed to run many fun, exciting and rewarding Club activities and events for our members.
January 2024 Pantomime Day Trip
In January the members visited the Theatre Royal for a fun evening watching Sleeping Beauty. Some members even got to meet the cast afterwards.
We were able to raise £1697 from fundraising at another performance.
October 2023/March 2024 Bath Half Marathons
This year we had several people take part in the Bath half for us including one of our members Uriel. The sun was out on a crisp Autumn day and everyone did really well with a total of £4272 being raisid for the charity
End of Term BBQ July 2024
On Monday 22nd July, we enjoyed an outdoor BBQ for our members at a local venue in Weston, Bath.

Fundraising
Our charity is completely self-fundraising ; thus, fundraising is essential to enable us to keep the club running, so we try to make it a fun experience for everyone who takes part….
Sponsored Walks
In June, we ran two sponsored walks for the two club nights.
Overall, we raised over £845 from our Monday Club and Wednesday Clubs sponsored walks – so many thanks and congratulations to everyone who took part and raised so many funds for us!

E. Financial Review
Our finances have reduced this year due to resourcing issues. However, despite this we still manage to retain a healthy reserve in our account.
Our total income this year has fallen by 33% to £38,239 .

➢ The main contributing factor has been our loss of our bid writer in year which has resulted in less funding from grants. This has dropped to just over half of the value we had last year to £23,140.

➢ We have managed to vary our fundraising sources this year which was benefited by 2 Half Marathons 6 months apart in the city.

➢ Member subscriptions remain stable with our clubs running at full capacity.

Our total expenditure has increased by 8% to £56,697.

➢ The salary and pension costs are the biggest expense for the charity. This year we have seen a 22% increase in these costs due to high turnover of staff during the year. These costs should stabilise now that we have new staff in place moving into the new financial year.

➢ Other costs have remained stable compared to the previous year, with the exception of the costs involved with our Summer event, which was not held this year.

As a charity, we are aware that we will not always be able to raise the same amount of money
each year . We are hugely dependant on the performance and willingness of grant makers, companies and individuals to donate their money and time.
As mentioned, our restricted funds have been significantly lower this year due to the loss of our volunteer Fundraiser/Bid Writer. We have a new volunteer to help with this and also our Administrator is learning more about this process to enable us to pick this up again in the new year.

We were very fortunate to receive some unrestricted funds from the Will Charitable Trust (£5,000) and the Denman Charitable Trust (£1,000) this year. Along side these we managed to raise a very significant amount from the Bath Half sponsorship across the 2 events (£4,272). We were also recipients of fundraising from collections during the Panto season at the Theatre Royal in Bath.
We are continuously looking for new potential income streams to diversify the sources we draw from. We are building relationships with local businesses with the hope that these will develop into donations or reductions in costs for our members.
Below is some information about some of the grant awarders that have helped us this financial year.
The Baily Thomas Charitable Fund is a grant making registered charity which was established primarily to aid the research into learning disability and to aid the care and relief of those affected by learning disability by making grants to voluntary organisations working in this field.
Quartet Community Foundation: “We want to see a West of England where communities are well resourced, confident and strong, where grassroots community and voluntary groups can respond to the needs and aspirations of all who live there, now and forever. Quartet is here to inspire local philanthropy, channeling people’s generosity to help our region become fairer, greener and a place for all to thrive.”
All contributions (large and small) have contributed to ensuring that we can continue to provide the members with fun and interesting activities.

F. Our plans for 2023/2024
We have had an unsettled year with changes in the Committee and planning for the Club
Leadership handover. We are in the process of rebuilding the committee and hope that this will settle shortly.
We have hired new staff to enable the retirement of our founder which should ensure the charity is able to continue to function efficiently whilst still providing the varied and interesting activities that the members enjoy.
Over the next year we will focus on the following areas:

Provide the members with a holiday and possibly a few day trips
-
Plan to incorporate some new and varied activities/venues
-
Establish wider contacts in the Bath area for further fundraising/partnership activities
-
Consider finding a patron for the charity to help improve awareness
-
Continue to develop and formalise internal systems and processes
We are eternally grateful to our founder Becky Morgan who has tirelessly given her time and energy to run and grow the club over the years. We wish her all the best in her retirement.
