Dear Board Members,

We are pleased to supply final copies of your accounts for the period ending as above. Please either print a copy, sign and date in black ink, and return to us by post or, email a signed pdf back to your Accountant. You should already have received our invoice for the work. Once we have confirmed receipt of your payment, we will then sign and return the final accounts to you.

On completion of the work we have the following recommendations to make regarding the financial management of your organisation:

• All groups are required to have their financial procedures written down and agreed;

• The financial procedures should cover cash handling which could be improved - we recommend daily cashing up to check the records and cash held reconcile;

• Many large expenses are being reimbursed – it is worth considering a charity bank card or credit card for daily costs or an expense top up card such as Soldo which we understand gives good reports and works well. There are other options to consider, such as Pleo, as well;

• We see that there are some historic balances on the QuickBooks file and we could support you to get these corrected (probably about half an hour’s work). This is surplus to the accounts production and chargeable at a rate of £85 + VAT per hour charged to the nearest 15 minutes.
