Introduction
2021 was a significant year for the Eyam Sports Association (ESA) as we moved from a charitable limited company to a charitable incorporated organisation (CIO) during the time of restrictions, caused by the COVID pandemic. In effect, the activities of the Eyam Sports Association Limited were curtailed through the first half of 2021 by the COVID pandemic although as lockdown restrictions eased the Trustees of the Eyam Sports Association Limited called an AGM that took place on July 22[nd] , 2021. At that AGM most of the exiting Trustees expressed their desire to stand down from office and a new Committee was elected, including some of the original Trustees.
Trustees
The following is a listing of Trustees that served the Eyam Sports Association Limited for the period January 1[st] , 2021 to July 22[nd] , 2021:
Diana Cameron, Judith Hancock, Sangat Campbell-Bans, Paul Humphries, Peter Jackson, Stafford Rowland.
The current Trustees thank the abovementioned Trustees for their work in maintaining the Eyam Sports Association Limited through a difficult period.
The AGM of July 2021 elected additional Trustees and additionally agreed other members join the ESA committee. The Trustees elected to the Eyam Sports Association Limited at the July 2021 AGM were: Diana Cameron, Judith Hancock, Matt Killingley, Julian Wright
Additionally the following agreed to join the ESA committee, Elaine Drake, Alan Nicholls, Rachel Wright, Peter Silley, Penny Raybould, Susie Brooks.
An Extraordinary General meeting held on November 18[th] , 2021 approved the conversion of the Eyam Sports Association Limited to a Charitable Incorporated Organisation accepting the Charity Commission Model Constitution for a members based organisation. The conversion was accepted by the Charities Commission on December 17[th] , 2021. The Trustees elected to the Eyam Sports Association at the November 18[th] 2021 AGM were: S Brook, D Cameron, E Drake, J Hancock, M Killingley, A Nichols, P Silley, J Wright, R Wright.
Objectives and Activities
To promote for the benefit of the inhabitants of Eyam, Derbyshire and the surrounding area the provision of facilities for recreation or other leisure time occupation of individuals who have need of such facilities by reason of their youth, age, infirmity or disablement, financial hardship or social and economic circumstances or for the public at large in the interests of social welfare and with the object of improving the condition of life of the said inhabitants.
In essence this is the provision and maintenance of sport and recreation facilities for Eyam village and surrounding area. The village has a cricket field, pavilion, football pitch, a children's play area and a multi-use games area. A cycling pump track started construction in December 2021.
Review of Achievements and Performance During the Year
- Progression to build of the Pump Track has been a massive achievement and much thanks must be made to the Pump Track sub-group of the ESA.

Use of the ESA facilities has shown growth throughout the latter half of 2021 as COVID restrictions have eased. Alongside this a maintenance programme has been put in place and managed by Alan Nichols. Alan has recruited an enthusiastic group of volunteers who have helped to greatly improve the maintenance of the ESA facilities.

The significant move from a charitable limited company to a CIO will help to streamline the operation and management of the ESA and we look forward to the election of a new Board of Trustees in early 2022 to move this forward whilst maintaining the objectives of the ESA.

Modernisation of the ESA systems has also allowed a more efficient administration, eg electronic banking, online memberships and an automated facilities booking website.
Structure, Management and Recruitment of Trustees
The ESA is made up of a Board of Trustees, nominally 9 Trustees that meet monthly to manage the charity. Currently there is a Chair, Secretary and Treasurer, additionally one Trustee has responsibility for maintenance of facilities, one for Governance and one for management of the Play Area. Additional persons with required interests/skill sets can be co-opted to Trustees monthly meetings to provide management expertise to the Trustees.
Recruitment of Trustees is an ongoing process through personal contact and a call for potential new Trustees through a village ESA newsletter, delivered to homes in the village, as well as a call through the ESA Facebook page. Future management will focus on setting up of appropriate sub-groups, each with at least one Trustee, reporting back to the Board of Trustees

Get Eyam ACTIVE!

The ESA wishes to work closely with all organisations within the village and will in 2022 be reviewing all activities and its structural operation so that we can best support the people of Eyam, maintain traditional events and build upon these events.

Improve the Pavilion so that it is fit for purpose and can be used in conjunction with other sports activities.

Improve the MUGA lighting controls, carpet and drainage.

Strongly support the Village in bringing about a series of teams, eg football, cricket.

Build on the existing activities of tennis, 5-a-side, pump track, netball, shooting, running and cycling.

Help older residents to be involved as much as possible.

Get the Carnival up and running again.

Develop a robust finance policy to work against. Develop a Risk Register. Develop other policies as necessary.

Get a new logo and consider a more functional website.

Financial Review
See Receipts and Payments Accounts Form CC16a, attached as a separate file.
The current ESA Trustees have received no payments throughout the reporting period and do not hold any ESA funds.
A reserves policy will be agreed within 2022 but it is clear from the financial assets that the ESA has sufficient funds to maintain operation at the current rate of spend, throughout 2022. As part of the reserves policy we will detail the fundraising objectives of the ESA moving forward.
