The trustees, who are directors for the purposes of company law, present their strategic report for the year ended 31 July 2021, in compliance with s414C of the Companies Act 2006.

Objects and aims

The charity's objective is:- "to relieve sickness and suffering and to promote the spiritual well-being of adults in South East Lincolnshire requiring palliative care by the establishment and maintenance of a hospice and associated services."

Our strategy for achieving our objectives continues to be by developing our organisation and encouraging interaction and activities with the various communities supporting the hospice. This is achieved by networking, consultation with our partners and communities. The Trust and clinical staff and volunteers are encouraged to participate in internal discussions and support the prioritising of various areas of development. The Trust continues to develop partnership working and to encourage multi-service use of the Hospice for the benefit of patients and families.

The ongoing working relationship the Trust continues to develop with the Commissioners is vital to ensure the provision of services most needed to serve our communities.

Fundraising is vital and we have an ongoing wide programme of fundraising activities planned for the next twelve months and these, together with our retail activity and the highly valued efforts of a number of other community organisations and corporate supporters, will continue to increase our funds. We continue to provide speakers to other local organisations in order to widen community understanding and support for our aims and objectives.

Public benefit

The activities undertaken by the charity to further public benefit include the provision of free 24-hour patient care in the hospice for those who need it funded by the income taken from the shops under the control of the charity and the fundraising activities carried out.

The trustees confirm that they have complied with the requirements of section 4 of the Charities Act 2011 to have due regard to the public benefit guidance published by the Charity Commission for England and Wales.

Relationships with related parties

The trust continues to maintain relationships with a wide range of local and regional organisations which include other local third sector organisations, local councils, Lincolnshire NHS Trusts, Clinical Commissioners and others.

Achievements & Performance

The financial year 2020-2021 was a year of continued upheaval given the restrictions placed on the charity. Owing to the intermittent periods of lockdown, our income generating activities were virtually halted. However, the charity did receive substantial income through legacies and government grant support (for retail closures); this helped our financial stability in an uncertain time. The charity continued to utilise the government’s job retention scheme to protect the charity’s staff team, and as lockdowns lifted, all staff were able to return to work; any need for redundancy had been avoided.

The charity made successful changes in the retail division; moving to a larger more prominent location in Skegness and doubling the size of our warehouse. A new shop in Bourne, to add to our family of shops, was secured and opened with great support of the Bourne community.

The hospice itself closed temporarily in the early months of coronavirus, owing to staffing constraints. However, with incredible support from NHS Lincolnshire CCG and our partners Lincolnshire Community Health Services, the Boston Neighbourhood Team and the Primary Care Network, a successful restore of service was met in January 2021. Prior to this, the Butterfly Hospice trialled a phone support service to support advanced care planning for local people living with life-limiting conditions.

A review of the clinical delivery of the hospice service also determined that the Butterfly Hospice would adopt a single-GP Led Medical Cover model in order to further improve and streamline its approach in delivering excellent care. The Sidings Medical Practice, Boston came forward to support us and the Butterfly Board of Trustees are delighted in the making of this new and valued relationship.

The demand for Butterfly Hospice beds has been high and we continue to receive wonderful compliments from those using our service.

Butterfly Hospice – Celebrating and Recognising Our People

At the end of Summer, our annual Butterfly Release was held in the hospice grounds. This was a magical afternoon bringing together families in the safety of ‘family bubbles’ and opened by the Town Mayor, who in his two-year term of office, chose to support the Butterfly Hospice for another year. For the charity, this event ended a warm summer on a positive note. The Autumn and Winter months proved challenging for the events team, so alternative ways to promote and fundraise were identified and virtual events were implemented with a level of success, but not on the same scale as we have previously enjoyed.

Recognising the commitment of our volunteers has been high in our thoughts, as well as paying our respects to those who have died in this year.

As our volunteers gradually returned to support the charity, it was important that we acknowledge their contribution in a Volunteer Celebration event in June. An afternoon tea, with music and festivities was held in our gardens on a warm, sunny day. We were delighted to have one of our patients join us with his family and friends.

The Butterfly Hospice has mourned the loss of some truly wonderful people from our charity. June Whitelam and Ian Jude both volunteered in the Charity Offices for many years, supporting our volunteering and administration activities. They are greatly missed by the team.

We were also immensely saddened when Yvonne Slater, Vice Chair of the Board of Trustees died following a period of illness in November 2020. Yvonne had been an incredibly loyal and committed supporter of the Butterfly Hospice, from its inception to the incredible facility it has become today. Much of where we are today is testament to Yvonne and her rallying of family, friends and supporters across Boston.

It was important that we take this opportunity to remember friends of the Butterfly Hospice in this year’s annual accounts. Our thoughts also go to all those who have lost loved ones in the challenging times we continue to face.

Our deepest thanks go to all the people past and present, who have contributed to The Butterfly Hospice Trust. Making a difference for local people living with lifelimiting illness.

FINANCIAL REVIEW

Policy on reserves

During the year, the board of trustees conducts an annual review of the level of unrestricted reserves not committed or invested in tangible fixed assets ("the free reserves") in the general fund, by considering the risks associated with the various income streams, expenditure plans and balance sheet items. This enables an estimate to be made of the level of reserves that are sufficient: i) to allow for reorganisation in the event of a downturn of income or asset values ii) to protect ongoing work programmes Under the constitution, the charity has the power to make any investment which the trustees see fit provided appropriate advice is taken from a professionally qualified person under the Financial Services Act 1986.

Principal funding sources

The principal ongoing funding sources for the charity are currently by way of donations, fundraising activities and our retail division consisting of premises in Boston, Spalding, Skegness, Louth, Bourne and Wisbech.

Investment policy and objectives

The trust seeks to maximise income without putting funds at risk. The trustees will continue to monitor the needs for investing funds on a regular basis.

Risk management

The trustees actively review the major risks which the charity faces on a regular basis and, combined with an annual review of the controls over key financial systems, they believe the charity could provide sufficient resources in the event of adverse conditions.

STATEMENT OF TRUSTEES RESPONSIBILITIES

The trustees are required by law to prepare financial statements for each financial year which give a true and fair view of the financial activities of the charity and of its financial position at the end of that year. In preparing those financial statements, the trustees are required to:

I report on the accounts for the year ended 31 July 2021 set out on pages nine to seventeen.

Responsibilities and basis of report

As the charity’s trustees of the Company (who are also the directors of the company for the purposes of company law), you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 (“the 2006 Act”).

Having satisfied myself that the accounts of the Company are not required to be audited for this year under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity’s accounts as carried out under section 145 of the Charities Act 2011 (“the 2011 Act”). In carrying out my examination, I have followed the Directions given by the Charity Commission (under section 145(5) (b) of the 2011 Act.

1.

STATUTORY INFORMATION

The Butterfly Hospice Trust is a charitable company, limited by guarantee, registered in England and Wales. The charitable company’s registered number and registered office address can be found on the Company Information page.

2. ACCOUNTING POLICIES

Basis of preparing the financial statements

The financial statements of the charitable company, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2016)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Companies Act 2006. The financial statements have been prepared under the historical cost convention.

The financial statements are presented in sterling which is the functional currency of the charity and rounded to the nearest £.

Income

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably.

Expenditure

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources.

Tangible fixed assets

Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life.

Taxation

The charity is exempt from corporation tax on its charitable activities.

Pension costs and other post-retirement benefits

The charity operates a defined contribution pension scheme. The pension cost charge for the year represents contributions payable by the charity to the scheme and amounted to £5,512 (2020 - £5,685).

Fund accounting

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.

Purposes of restricted funds

The restricted funds all relates to income received from third parties which all have a specific pre-determined use within the charity.

15. SHARE CAPITAL

The company is incorporated under the Companies Act as a Guarantee Company. No share capital has been issued. In the event of the company’s winding up each member may be required to contribute an amount not exceeding £1 as a contribution towards the debts and liabilities of the company.

16. COVID

The charity has been in receipt of income under Covid grants amounting to £99,030 and £56,330 in respect of the job retention scheme. These have been included within income from charitable activities.
