Structure, Governance & Management

ORCHYD is governed by its Trust Deed.

The Charity structure is such that the Trustees safeguard the interests of ORCHYD.

The Trustee Structure is currently made up of seven members. This includes four nominated Trustees from various Churches in Ruislip, the other three are the representatives on the Holiday Management Committee. A further long serving Trustee was due to retire from the Board in 2020, however due to the COVID-19 Pandemic we have delayed the retirement date.

The Trustees appoint a Holiday Management Committee to organise and run the annual holiday. Three representatives from the Trustees sit on this committee. The minutes from these meetings are circulated to the Trustees on request and any items escalated by the Holiday Committee to the Trustees are duly discussed and resolved where appropriate. The Holiday Management Committee Chairperson provides a report at each Trustee meeting which is incorporated into the Trustee Minutes.

Objectives & Activities/Achievements & Performance

The predominant objective of the Charity is to provide an annual ten day holiday for twenty children with physical disabilities. The children are often selected from disadvantaged families who could not otherwise afford to have time away. This also provides much needed respite for the child’s main carer.

The scope of the Trust Deed is such that it can also facilitate donations to children/charities that fall within the remit of ORCHYD.

Reserves Policy

The Reserves of the Charity at the end of any one year are required to be sufficient to cover the cost of the following year’s annual holiday with a contingency excess to cover rising costs.

The Trustees are pleased to report the following on the ORCHYD reserves policy for 2020:

  1. To continue to develop links with another small charity, The Myosotis Trust, who are based in Romania and run a scheme aimed at children of a similar need to ORCHYD. A regular helper exchange programme has been running since 2010 with two Myosotis representatives attending the ORCHYD holiday each year. ORCHYD have sent volunteers to Myosotis in 2011. There was no exchange programme during 2020 due to the ongoing Pandemic.

  2. To provide funds/grants for children that are unsuccessful in their ORCHYD holiday application enabling them to attend other holiday schemes where appropriate. Or to donate on a request basis for specialist equipment. These are assessed on a case by case basis by the Trustees. The total budget for donations for 2020 was for £10,000. The amount is reviewed and agreed annually. The majority of the budget was utilised in 2020.

  3. To continue a day trip scheme with four day trips scheduled for each year aimed at between 8-12 children. Due to the COVID-19 Pandemic, only one such day trip was held early in 2020.

  4. To hold ORCHYD weekends for eight children. Due to the COVID-19 Pandemic, no such activity was held during 2020.

  5. An amount of £20,000 continues to be ringfenced for potential storage enhancement costs.

  6. An amount of £15,000 has been ringfenced for a trip to Disneyland Paris for 8 children and 16 volunteers. This was scheduled for 2020 but due to the COVID-19 Pandemic the trip was cancelled and will be rescheduled for a later, safe date.

  7. A separate amount of £2,500 was agreed by the Trustees to spend on assisting families for equipment requests specifically as a result of the lockdown rules enforced on families during the COVID-19 Pandemic.

On an annual basis, the Trustees will continue to monitor the balance in Reserves and ensure it is properly utilised in line with the Trust Deed of ORCHYD. A small of amount of funds raised are currently restricted to spend on the Disneyland Paris trip as they were raised specifically for that objective. It was agreed to hold these for two years at which point they will be released into general funds if a Disney trip has not taken place. It should be noted that no further restrictions have been placed on any of the donations received by ORCHYD.
