The 2024 AGM minutes were provided as part of the Annu81 Report distributed al the meeting., there were no questions or matters arising. There were no dissenting voices to these minutes and they were approved by the meeting. 3.2 Adopt the model constitution from the Scouts Policy? Organisation and Rules IPOR section 5.41 In line with the recommendation from Scout Headquarters, the Group Trustee Board proposed that the group adopt the model conslilulion from Chapter 5 of Policy, Organisalion and Rules. Available on the www.scout.or The meeting agreed this by a show of hands. 3.3 The meeting noted that the Group's financial year runs from January 1st to December 31st 3.4 Approve community members of the Group Scout Council Not Applicable as there are no community members. 3.5 Agree the number of members that may be appolnted to the Trustee Board Following good practice recommendations from the Charity G0Veman Code, POR stsles Trustee Boards should have a minimum of 5, and no more than 12, Trustees in total. This includes ex officio and co-opted Trustees. The Group Scout Council must agree the number of people to be appointed lo the Trustee Board. It was recommended that 8 people should be trustees. We currently have 7 Trustees, Kevin asked if anyone is keen to join to see him or Mark after the meeting or contact us aftenmards. The meeting agreed this by a show of hands. 3.7 Agree the quorum for meetings of Group Scout Council {ex¢luding this AGM) The Group Scout Council must agree ils quorum - the minimum number of Group Scout Council members, (these include all section leaders, members and parenlsl, that must be psent at Group Scout Council meetings. 11 was recommended that the quorum should be set al 10 people. The meeting agreed this by a show of hands. 41 Review of the revious ear 4.1 The Group Lead Volunteer's review of Scouting in the 11th Finchley Scout Group The Annual Report provided detailed information, supported by many photographs, about the activities of the group in 2024. Kevin invited the meeting to ask any questions regarding the infomiation provided in the annual report. There was a question from one of the Scouts regarding why there was the need for another new minibus. Mark answered this explaining that it is old now and not an easy van to drive and reiterated the fact that il will not be compliant with ULEZ by 2027 and excludes drivers with just a driving licence. He also pointed out that our Scout Group is very fortunate to have the fund to gel new tents, equipment and minibuses, which we do also lend to less financially fortunate Groups. Any questions subsequent lo the meeting are welcomed by email. 4.2 Receive and consider the Annual Report ofthe Group Trustee Board. Includlng the annual Statement of the Accounts Kevin asked the meeting if there were any questions on the report and slalemenl of Accounts. The next part of the meeting covered the organisalion of the charity until the next AGM and the reappointment of a Trustee Board lo oversee good governance for the charity over the next year. The Kevin handed the chairmanship of this meeting over to Mark the Group Lead Volunteer. 5.1 Group Lead Volunteer recommends to the Group Scout Council that they reappoint Kevin Doughty as Chair of Trustees The Group Lead Volunteer, Mark Trollope proposed that Kevin Doughty continue in the role. thanking him for his continued commitment lo the role. The meeting agreed this by a show of hands. Mark then handed back lo the Group Chair, Kevin. 5.2 Group Chair recommends to the Group Scout Council that they reappoint Dipali Mehta as Group Treasurer The meeting agreed this by a show of hands. 5.3 Chair recommends to the Group Scout Councll that the followlng should be appolnted as members ofthe Group Trustee Board. This brought the appointments part of the meeting lo a close and Kevin thanked all past and current Iruslees for their help and support. 61 Closin remarks from Mark Grou Lead Volunteer Mark said that the Group only functions so well because of all the Leaderslvolunteers who run the Sections. Zoe, Gill, Catherine, Donny, James, Emma, Benji, Nick, Otto, Harry, Dru, Victoria, Claire and Jeremy and also of course Mark. The meeting spontaneously showed their appreciation for all of the Leaders with a round of applause. Mark reiterated that all the Leaders give up their time for free lo provide all the activities and thanked all the volunteers who have joined the Leadership team in the past year, some of whom are currently undertaking training. Any new volunteers are always welcomed. Mark especially asked if there are any parents with website experience if they could help with our new website. Mark thanked everyone for attending. 16
