Minutes of the 2019-2020 AGM

Welcome and Introductions

Jonathan welcomed everyone to the meeting which this year was being held via Zoom due to the Covid-19 restrictions on gathering sizes being in place.

The previous minutes having been circulated, Jonathan asked if there was any questions or objections from those in attendance at the zoom meeting as he had no questions or objections prior to the meeting.

Treasure’s Report

The Treasurer’s report along with the annual accounts were distributed by email before the meeting. Sara give a brief overview of the current balances in the accounts and gave a short explanation, on the “fraud” which had occurred on the Beaver account this year, the reporting of it to the Charities Commission and confirmed that all the money taken from the account had been returned. Sara made some further comments on the auditor’s report and actions the group was taking to act upon them.

GSL & Chairman’s Report

Jonathan thanked the leaders and committee for all their support and highlighted some of the big achievements form the last year all further details of which can be seen in the annual accounts were distributed by email before the meeting. Community - Community Defibrillator Fundraising - Beer festival, Co-op Community fund Equipment - New kitchen, Air Rifles. Land next door.

Treasure’s Re ort 2020~2021 p

Community Account

The account started with a balance of £5282.31p ended the year with a balance of £3185.93. We successfully got a grant to purchase Archery Equipment in October 2020 which will be of great benefit to the group moving forwards. We were also awarded a Co Op grant for the next round of funding which ends in October 2021.

Savings Account

We have opened savings account where we can transfer fund raising money to build up a fund for items. All the leaders get the opportunity to discuss any equipment requests with the Executive team.

We started the year with having £500.00p in the account and ended with a balance of £46110.88p. This balance includes the balance from the Business Investor Account and additional funding that we were able to obtain during the year.

Business Investor Account

We received notification that the bank was closing the account therefore we currently have it in the savings account until we can open another account with it.

Scouts

The account started with a balance of £1541.74p and ended with a balance of £500.00p.

Cubs

The account started with a balance of £929.41p and ended with a balance of £500.00p

Beavers

The account started with a balance of £544.17p and ended with a balance of £501.08p.

Feedback

I would like to thank Section Treasurers for their continued support.

We have to be aware hall income and Subscriptions have been significantly reduced this year due to Covid and all the restrictions that were in place last year.

Fundraising didn’t happen in the year due to restrictions and we are unsure as to when we will be able to restart this.

It is recommended that we look at getting the property valued as we have no record of it being completed.

I am happy with Nicolas’ review of the accounts and would like to thank her again for her support.

The primary focus for any executive group is to provide a support structure for the Scout Group in the forms of funding etc. so the leaders could focus on providing the wide range of activities and 1[st] Priorslee and St Georges is no different. The group continues to provide a wide range of activities and opportunities to nearly 70 young people which they may not otherwise have been able to experience.

This year has been different but there have still been many developments at HQ.

Work at HQ

Jonathan and Jason have spent most of lockdown at HQ doing numerous tasks around headquarters, such as putting in hot and cold taps outside, so we can all wash our hands before starting activities. Also stores have been reorganised, along with the Scouts Own room upstairs. Fruit trees and bushes have been planted with over 400 daffodil bulbs. The main hall now has a blue band painted around the walls to stop the mucky marks we get on the walls showing so much. Also flags have been put up, and new projectors installed. There are many more jobs, and lots of people have helped along the way, so thank you to all involved.

Beer Festival

Due to COVID restrictions we were unable to run our Beer Festival last year. This was a disappointment as we were just getting the message around the community.

Archery and Rifle Shooting

We were able to apply for a grant from Staffordshire Council to help fund archery equipment. This has enabled us to do archery with sections, while keeping them safe from spreading COVID. By having such a large number of bows and arrows, the archers didn’t need to share arrows or bows. We also have some Crossbows on order but these will not be arriving until the summer.

The Rifle Club have been able to purchase a pistol with funds they have raised. Which gives the club another dimension, and further experience for our older members.

Co-op Community Fund

We have been fortunate in being selected for the local Co-Op community fund, which makes donations to local groups. With this funding we have been able to purchase cooking and gardening equipment, along with ingredients and plants to support both those activities.

Land Next Door

After a lot of meetings and communications the land next door, or ‘New Area” has now been officially sorted . Not only that, a lot of work has gone on the make it a useable area for all our sections. Well done to Jonathan, Sara, Jason and Colin for all their hard work.

Covid Impact

There has been an impact on all of us, including scouting. But I have been really impressed with how each section has found a way to continue scouting. For a lot there has been new skills learnt, flexibility, but the young people have benefited from this dedication and for that I would like to applaud all the leaders for their dedication.

Closing thoughts

I would like to thank the leaders in every section for all their hard work over the year. The strength of the group is a tribute to the time and thoughtfulness with which all the leaders in every section commit to every week and is why Priorslee and St Georges Group is a much sought-after group.

Last but not least I would like to ask parents to come and join the Executive Committee. Although it may sound like a highly informed committee making complex decisions - it’s not. Having parents on the Exec will provide us with more feedback on how your children are enjoying their time with us, insights into what we can do better and provide input on events which we are running.

Group Scout Leaders Report 2020~2021

AGM for 1[st] Priorslee and St Georges Scout Group Meeting Date – 10[th] June 2021 Covering the period 1[st] April 2020 – 31[st] March 2021

Well that was anything but a normal scouting year. As the chairperson commented last year Covid and its restrictions on scouting activities would make it a difficult and complicated year, and I think that was an understatement but as predicted 1st Priorslee and St Georges Scout group faced those challenges and have returned to scouting as strong as ever.

We have seen the

Beavers get over 250 badges with 6 of them being for the Chiefs Scout Bonze Award

Cubs get over 300 badges with 6 of them also getting the Top award the Chiefs Scout Silver Award for Cubs

Scouts awarded over 75 badges including 9 for the Scouts race around the world.

This has only been possible by the commitment of leaders all of whom are volunteers and who this year went above and beyond in delivering a fun and enjoyable program for the many young people in the group. Complete new programs had to be developed and modified for every section and then delivered via Zoom to ensure that the young people could still join in scouting activities. Then for those few times when restrictions were lifted the leadership teams had to do a complete rethink on the fun activities and things scouts do so they meet the national and local Covid guidelines. We as a group can never say thank you enough to the leaders who volunteer every week and spend numerous hours behind the scenes in preparing the fun filled evening our young people enjoy.

Beaver Re ort 2020~2021 p

AGM for 1st Priorslee and St Georges Scout Group Meeting Date – 10[th] June 2021 Covering the period 1st April 2020 – 31st March 2021

We are continuing with a strong leadership team and worked hard this year to introduce beaver zoom sessions to continue running during lockdown. These were well attended and beavers enjoyed the sessions. We produced activity packs for the beavers to complete during the online sessions.

We have an average of 12 Beavers on the roll however as restrictions reduce we will look at slowly rebuilding the numbers. Our young leader William has now become a leader and is enjoying the new responsibilities the role brings.

Due to restrictions we have been unable to complete the usual camps or day activities and are looking forward to bringing them back next year.

Cub Re ort 2020~2021 p

AGM for 1st Priorslee and St Georges Scout Group Meeting Date – 10[th] June 2021 Covering the period 1st April 2020 – 31st March 2021

Our leadership team is Liz (Baloo), Ollie (King Louie), David (Jacala), Angela (Raksha), Vicky (Bagherea), Ethan (Rama), Ollie Gratton (Tha), also Shane (Kaa) and Donna (Kim) have been able to re-join us. We have 1 new leader join us Ethan Holland (Ferro). We have had two Young Leaders Daniel Smith and Dylan Cook helping us out this year.

We had 31 Cubs at the start of the year and 30 at the end of March 2021. However during lockdown when we held meeting via zoom 9 decided to go on a holding waiting list as they did not wish to do zoom.

Since the last AGM the pack have had to alter the way we meet, with many meetings being held over zoom, and even the face to face meetings have been limited, but we have still managed to work towards a variety of badges:

Activity & Staged Badges : Artist, Chef, Collector, Entertainer, Personal Safety, Physical Recreation and Sports Enthusiast. Hikes and Nights Away (this was at home).

Challenge Badges : Outdoor, Skills and Teamwork.

To complete these badges, we have worked on our zooming skills, and found many activities that work well over zoom including cooking. Cubs also created their own sport which was great fun over zoom. Our Face to Face meetings were outside, and considering the time of year we didn’t get too wet, although striking tents in the dark was a challenge!

Outings and Camps: Our Summer Camp this year was cancelled. In fact we have been unable to have any outings, but we did manage a virtual camp, which was interesting

Senior Six : have been unable to meet as they would normally, but we did manage a couple of one off meetings for them to help finish off elements for their Silver Awards.

Scout Re ort 2020~2021 p

AGM for 1st Priorslee and St Georges Scout Group Meeting Date – 10[th] June 2021 Covering the period 1st April 2020 – 31st March 2021

At our last AGM the troop had 25 young people on the books and approximately 19 attending each night. The last year has been challenging and the number fluctuated a lot in the early stages of the year as we got to grips with running the Scout program through Zoom, numbers initially dropped with only 8 or 9 Scouts joining us on the Zoom calls. This dramatically increased when we were allowed to run face to face scouting with numbers doubling on the nights we physically meet at the scout hall. The third lockdown we had developed the know-how to deliver scouting activities in a more engaging way had an average attendance on Zoom of 17 Scouts every night.

Troop night activities this year were very varied, depending on if we were face to face or on Zoom.

During our Zoom session’s we covered:

Map reading

Planning a meal and cooked that meal for our families and then cooked chocolate Mug cakes one night.

Map reading, symbols, contours and grid references. Getting us ready for our next expedition into the wild (when we are allowed)

But it was not all fun and games we learnt about Peru and had a very positive, wide reaching and well informed discussion on religious and sexual discrimination around the world.

When we could have face to face scouting we covered a wide range of survival skills; Knife axe saw

Fire lighting

Topped off with an outdoor cooking session on individual bar-b-ques to ensure we stayed Covid compliant and could cook marshmallows

Sadly this year, the first in my time at 1[st] Priorslee and St Georges Scouts we had not camped or done any activities away from the hall. Hopefully that will be resolved in the 2021-2022 year and we will have the opportunity to do numerous camps and activities.
