Trustees' Report

The trustees present the annual report together with the financial statements of the charity for the year ended 31 August 2020.

Objectives and Activities

The charity objective is stated as fundraising for the benefit of the children at Arunside School, to advance the education of pupils in the school in particular by engaging in activities or providing facilities or equipment which support the school and advance the education of the pupils. The charity runs a range of fundraising events, in collaboration with the school. Larger event examples include firework nights and summer fetes, but we also run smaller cake sales and sponsored activities. The charity donates funds to the school to support trips and activities for all children.

Achievements and Performance

Since September 2019, we ran several fundraising events supported by the PTA team. In total we raised £6,073.

Our first event of the year was Fireworks night on Friday 18th October, the weather was a bit touch and go but everyone had a great time. This got the fundraising off to a great start with an amazing £3,560 raised on the night! We have already paid a deposit for 2021.

For Halloween we ran some Spooky Festive Cake Sales, with parents donating homemade and shop bought cakes.

On the 29th November, we organised 3 discos to cover all year groups in the school. A big Thanks to Darren from Just School Discos and his generosity, we were able to raise £822.

In the lead up to Christmas, the PTA members made donations to create a Christmas Hamper to be raffled off and we did our annual sale of Christmas cards that the children had been busy designing offering the parents the opportunity of purchasing personalised cards for Friends and Family. Raising £116 and £383 respectively.

Unfortunately, the pandemic hit leaving us no option but to cancel all further planned events including: 70’s/80’s Night, Movie Night, Sponsored Spell, Golf Day, Quiz Night and our annual Summer Event.

However, we did manage to setup a few initiatives to continue fundraising by earning money whilst you shop online through Easy Fundraising and registering Arunside PTA with Amazon Smile, hopefully money raised through these platforms will make a good contribution in our next year.

The treasurers report outlines our expenditure for the year which includes subsidised hoodies and snacks for Year 6 leavers and their party.

Despite only having one term of fundraising we have agreed to provide £5000 for Outdoor Gym Equipment using the funds raised from the Autumn Term, this is temporarily on hold due to COVID-19.

Additional information

We were able to support the school further by accepting a donation from Lord Sterling of £24,000, to support the school through the Covid-19 crisis. This money has already been distributed to the school, as promised on our acceptance of the funds. Our charitable status allows us to apply for gift aid from this generous donation, and generate further funds to support the school.

Financial Review

The school finished the year, on 31st August 2020, with a closing account balance of £11,761. This is an increase from the previous year balance, which at 31st August 2019 stood at £7,037.

There are no material outstanding commitments that place demands in excess of these funds, and therefore have no concerns about the PTA’s financial position. We have committed to the school that we will fund exercise equipment over the next year, with the full cost of this likely to be approximately £5,000. We are hopeful that this can be offset by gift aid reclaimed from the donation by Lord Sterling.

The charity holds no specific reserve as there is no overhead or long-term commitment that require this kind of provision. We do monitor the account balance and ensure we maintain a buffer for cash requirements. This is used to support annual activities that require cash commitments up front, such as paying for the fireworks display, or to ensure that we can continue to fund trips through the school year while fundraising continues to support those activities.

Additional information

In the previous submission of income and expenditure to the Charity Commission, there was an error in the calculation of income and net expenditure amounting to £707. This was due to the incorrect cut-off of receipts and payments to the reported events in the period. These amounts understated our income and net expenditure, but not to a material extent. This did not impact our reporting requirements under the Charity Commission requirements, and they were a result of an error in reporting rather than management of the funds.

Structure, Governance and Management

The Arunside PTA governing document is an NCPTA standard format constitution, adopted in October 2010. The charity is an unincorporated association.

Trustees are selected at the Annual General Meeting, through a voluntary process and agreement of the committee.

No trustees hold title to property belonging to the charity.

No funds are held as custodian trustees on behalf of others.

Independent Examiner's Report to the trustees of Arunside Parent Teacher Association

I report to the charity trustees on my examination of the accounts of the charity for the year ended 31 August 2020 which are set out on pages 5 to 9.

Respective responsibilities of trustees and examiner

As the charity’s trustees of Arunside Parent Teacher Association you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the Arunside Parent Teacher Association's accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

Independent examiner’s statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. accounting records were not kept in respect of Arunside Parent Teacher Association as required by section 130 of the Act; or

  2. the accounts do not accord with those records.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1 Accounting policies

Statement of compliance

These financial statements have been prepared on a receipts and payments basis in accordance with section 133 of the Charities Act 2011.

Basis of preparation

Arunside Parent Teacher Association is a registered charity and is therefore exempt from taxation.

Prior period errors

The figures for the year ended 31 August 2019 have been restated to correct the overstatement of expenses in the period by £707.
