Structure, Governance andManagement

Fife Family History Society is a Scottish Incorporated Organisation (SCIO) governed by its constitution. The SCIO was entered into the Scottish Charity Register in July 2021 and took over from the previous unincorporated association that was established in 1996. Membership is open to people with an interest in the objects of the Society.

The Society is run on behalf of the membership, by a committee whose members are the charity trustees and who are elected by the membership at the AGM. Committee members are elected for a term of three years after which they are eligible for re-election.

Objectives and Activities

The Society was established to promote and encourage the public study of family history, genealogy and local history primarily, but not exclusively, in Fife.

In pursuit of the above charity purpose the Society arranges meetings and public talks, issues journals and other publications, supports research and publishing of research, and takes part in conferences and seminars appropriate to the objects of the Society. The Society may affiliate to other organisations with similar aims. The Society sells or re-sells books and other items which assist its members or the wider public to develop their interests in family history. Any surpluses arising from these activities are used to further the objects of the Society.

Achievements& Performance

Trustees

We are pleased to report that there has been no change of trustees during the year, and all continue to greatly assist the Society providing support and guidance to our worldwide membership.

Membership

The number of worldwide members of the Society is currently 630 which has been around this figure for several years apart from 2020/21 when at the height of the covid epidemic we attracteda total of 800 members. We have members from many countries including elsewhere in the UK, British Commonwealth countries, Argentina, Chile, France, Germany Italy, Mexico, Netherlands, Switzerland, and the USA.

Volunteers

Following an advertisement for new volunteers on our Facebook page, we managed to attract seven new volunteers. We subsequently held an induction session to introduce them to the Society and to meet all the trustees. All are now assisting with the many projects currently being researched.

Library/Archive

We are grateful to Fife Cultural Trust (FCT) for the use of Cupar Library for our library and archive centre. However, because of FCT’s own needs, the Society is only open to the public on Fridays and Saturdays.

Enquiries

It has been another busy and interesting year on enquiries sent to the Society for assistance. There were 102 enquiries over the year, and these were forwarded from 9 separate countries.

Many enquiries were more around topics where the Society could provide that extra bit of local knowledge such as the location of where ancestors were buried, where they lived and what they did as a job etc. This shows the value of the Society in providing these local nuggets and pieces of the genealogical jigsaw which we believe is our reason d’étre.

Resourcesand Other Organisations

During the year trustees visited Fife organisations with a view to adding more records to our website. We visited the Scottish Fisheries Museum in Anstruther, the Fife Federation of the Scottish Women’s Institute in Freuchie and contacted the St Andrews Sailing Club & the St Andrews Curling Club. All these organisations kindly allowed us access to their records and gave permission to digitalise them for our website.

In addition, several other record sources have been added to our members area of the website including the Register of Sasines for Auchtermuchty, Culross, Dysart, Kinghorn, Kirkcaldy and Newburgh, School logbooks for Collessie, Markinch, Springfield and Strathmiglo and the gravestones of St Bridget’s Kirk, Dalgety.

Projects

Mention has been made earlier about projects that are currently being researched and in February 2025 the trustees held a meeting to decide topics to be considered. It was agreed that we should research and investigate Kirk Session records, the records of the various Scottish Women’s Institute branches (formerly the Scottish Women’s Rural Institute), the Bow of Fife hamlet and Fife house histories.

Financial Review

The Society received income totalling £8,398 for the year, principally from membership subscriptions, sale of publications, royalties and donations. With expenditure of £7,137 the Society recorded a surplus for the year of £1,261. The surplus was added to the reserves brought forward so that at the 30 April 2025, the Society held a general reserve of £55,758. This reserve is held to allow the potential rental of premises for use as a Family History Centre.

It has been another successful year and as always, we are grateful to all our volunteers for the time and support they willingly give for the benefit of the Society and its members.

Responsibilities and basis of report

The charity's trustees are responsible for the preparation of the accounts in accordance with the requirements of the Charities and Trustee Investment (Scotland) Act 2005 ("the 2005 Act") and the Charities Accounts (Scotland) Regulations 2006 ("the 2006 Regulations").

| have satisfied myself that the charity is not subject to audit under Regulation (10)(1)(d) of the 2006 Regulations and is eligible for independent examination. | have therefore examined the charity's accounts as required under section (44)(1)(c) of the 2005 Act and Regulation 11 of the 2006 Regulations. In carrying out my examination | have followed the guidance issued to independent examiners by the Office of the Scottish Charity Regulator (OSCR)

My role is to state whether any material matters have come to my attention giving me cause to believe:

  1. that accounting records were not kept as required by section 44(1)(a) of the 2005 Act and Regulation 4 of the 2006 Regulations; or

  2. that the accounts do not accord with those records; or 3. thatthe accounts do not comply with the accounting requirements of Regulation 9 of the 2006 Regulations; or

  3. that there is further information needed for a proper understanding of the accounts.
