Chairman’s Report — AGM 24th June 2025
Thank you for joining us tonight for our AGM.
There has beena lot of activity for the GVA this year which we hope to cover as quickly as possible so that you may enjoy the rest of the evening in the company of our special guest, A very talented artist and sculptor, who we met recently on a visit to the new housing development in Longniddry.
The aim of the GVA is to keep our community connected and bring individuals and groups together, so here are just a few of the things we have done over the past 12 months to reflect this.
We have written, published and delivered four quarterly newsletters to over 1700 households free of charge thanks to fundraising efforts and generous donations. We are grateful and wish to thank our volunteers who help us get these through letterboxes, we couldn’t achieve this without your support. A big thank you to for compiling every edition of the newsletter. Our membership is growing and our members are very important to us. Anyone aged over 16 residing in Gullane or West Fenton are eligible for membership. Being a member or supporter requires no commitment that said, we really appreciate the help we have had from members, whether that has been delivering newsletters, answering surveys or just simply turning up. as you have tonight!

We made a good decision to regularly host Members Evenings to bring folk together, often with refreshments and canapes, courtesy of the trustees. Over this past year we held ° Acrime writers masterclass with the lovelyEEE who has a new book out now! e Atalk frome bout how evidence is gathered from a crime scene and analysed forensically to understand what happened.

e Be ncouraged us to paint and sip in December... not much encouragement needed for the sip part!

¢ InJanuary we were delighted to haveiEoin us to share a very memorable Burns Night evening of poetry, song, haggis and whisky.

e And finally in March, we hosted[EEfor a thought provoking talk on whether cycling can make transport more sustainable.
All our evenings have had positive feedback and are well attended.
Moving on to some of the other things the GVA got involved with last year, they include our annual artisan fair, our family Easter event with crafts, games and excessive amounts of chocolate. We thank our friends from the tennis club for entertaining the children with Easter themed drills.
We hosted a weekend of Bike maintenance workshops and cycling events in March lead byf HB forging links with Cycling UK and Dr Bike. Over the weekend nearly 30 bikes were donated by Gullane Residents which were then delivered to various other local charities for further use. Our thanks to Caroline for that.

HEE, with the support of [J delivered 2 more 6 week beginners sewing sessions and a 6 week improvers course, where people were able to make garments of clothing or soft furnishing projects. In the summer we are running 2 courses for children and young adults.
The GVA also welcomed BE from East Lothian Council last summer to offer a week of science based workshops for primary age children and we look forward +o return with more fun and games for children next month.
These are a few of the people or groups the GVA has supported over the last 12 months. We are particularly proud of the initiative we took to approachto offer Chair yoga sessions in the hall, these have proved to be hugely successful. It is so rewarding to see people. male and female, with different levels of mobility coming together and benefitting both mentally and physically from these classes.
A lot of the work the GVA does takes place in this hall, we lease this from ELC but we maintain it for our users. Our thanks goto]or helping the trustees clean the hall on a weekly basis.
We have raised funds to replace the heating system inherited with the building and have also replaced the dilapidated hand rail on the ramp outside for safety reasons. This hall has proved itself to be a valued and much used space as you can see by the list of users on the slide. Thanks to our trustee | for her time managing the hall bookings.
We are a small team of 6 trustees and it has been quite a challenging few months. In February we were told by ELC that our lease would not be renewed unless we made an Expression of interest in taking on a community asset transfer our alternative was that we could continue on a monthly notice lease with quadrupled rent and full responsibility for the building.
With the help and support ofve are in the process of securing a 2 year lease at a similar rate to the old lease on the understanding that we initiate the process of a Community Asset Transfer (some of you may have answered a questionnaire set by Strathclyde university which will be used as we go down the route of this process.)
Our hall, as well as the Library in Gullane are both under scrutiny by ELC as to their viability in our community. There is a questionnaire to fill in if you would like to help advise the council on how much these spaces are needed.
Whilst we have a lot on our plates right now to secure the hall in some way for future generations, whichivill explain a bit more detail as we move on, | would like to pay thanks to my fellow trustees and to ho has had to step down recently due to family commitments for all their hard work, community ethics and friendship and | look forward to working with them as we move forwards.

Report of the Independent Examiner to the Trustees of Gullane Village Association
| report on the accounts of the charity for the year ended 30 April 2025 which are set out on pages 6 to 8.
Respective responsibilities of trustees and examiner
The charity's trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006 (as amended). The charity Trustees consider that the audit requirement of Regulation 10(1) (d) of the 2006 Accounts Regulations does not apply. It is my responsibility to examine the accounts as required under section 44(1) (c) of the Act and to state whether particular matters have come to my attention.
Basis of independent examiner's statement
My examination is carried out in accordance with Regulation 11 of the 2006 Accounts Regulations. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeks explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently | do not express an audit opinion on the view given by the accounts.
Independent examiner's statement
In the course of my examination, no matter has come to my attention

which gives me reasonable cause to believe that in any material respect the requirements:

e to keep accounting records in accordance with Section 44(1) (a) of the 2005 Act and Regulation 4 of the 2006 Accounts Regulations

e to prepare accounts which accord with the accounting records and comply with Regulation 9 of the 2006 Accounts Regulations
have not been met, or
- to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

3 Statement of Assets
During the year equipment, fixture & fittings were purchased all of which were expensed in the current year. This included £4,056 for new infra-red heating panels and £1,337 for new handrails.
4 Donations
Donations include the purchase of two ‘Big Belly Bins’ which were bought and then transferred to East Lothian Council who will own and manage the bins going forward. The bins are situated in the village beside the Old Smiddy and also at the children’s playpark. The total cost of the bins and associated costs was £7,430 which was funded with restricted funds of £5,365 and the balance from unrestricted funds of £2,065.
GVA also donated £100 to East Lothian Foodbank and £102 Cash for Kids.
