## **Structure, Governance and Management** 

## **Type of governing documents** 

The Club is a Scottish Charitable Incorporated Organisation (SCIO), and the purposes and administration arrangements are set out in the Constitution. The Club was previously an unincorporated association and changed legal form to a SCIO on 30[th] July 2020. The assets were transferred to the SCIO on 30[th] July 2020. 

## **Trustee recruitment and appointment** 

All the Club’s Trustees are elected or re-elected by the members at our AGM. They are elected for the period of one year but are eligible for re-election. There must be a minimum of 5 and a maximum of 11 Trustees. Hugh McGarvey and Jane Cloggie stepped down as Trustees in October 2024. John Parton Kerry Scott, Emma McDonald, Rosie Beaton and Rebecca Birnie joined the Board in October 2024.

## **Objectives and activities** 

The purpose of the Club is to provide facilities for, and promote participation in, the sport of Track and Field athletics, Cross Country running and related activities in and around the local community and the surrounding area. 

Banchory Stonehaven Athletics Club is split over two sites, Banchory Alexander Park and at Stonehaven Mackie Academy. 

## **Club development in 2025** 

The Club has supported these objectives by continuing to provide opportunities for its members to train in a friendly and supported environment. The emphasis is very much on giving everyone in the Club the opportunity to perform and learn to try and do their best, whatever the result. 2025 has been a year of progress, teamwork and achievement, both on and off the track. 

As noted below ( **Facilities development** ) there has been further investment in the facilities at 

Alexander Park, Banchory. 

With changes in safeguarding legislation effective from 1[st] April 2025, as a registered SCIO the Club has undertaken considerable work to ensure that we are abiding with all the changes. The Welfare Officer has liaised and communicated with Scottish Athletics, the sport’s governing body and has ensured that the Board are fully aware of what has been required and that we have done everything we need to. With all volunteers (parents, in addition to Coaches and Board) requiring a PVG, we are working towards achieving the aim that at least one parent per athlete household will be PVG registered. A dedicated information stand at our Club Championships was extremely successful and we continue to encourage those parents who do not have a PVG to apply for one, thus ensuring that our own events (the Spring Quadrathlon and Club Championships) plus all the Leagues in which we compete, can have the necessary volunteer support to keep going. 

We continue to hold successful information sessions in both Banchory and Stonehaven just before the commencement of the Summer season for all athletes and parents. These sessions are very informative and well attended and we try and ensure we give as much information as possible regarding what it is like being a member of the Club, what is expected of athletes/how we train/ compete etc. Feedback is very positive. We have continued to perform well in local leagues and national competition.(See **Training, achievements and performance** , below) but along with many other Clubs, have often been unable to select full teams. Encouraging our athletes to enjoy the sport and compete and have fun is the main aim and we always seek to recognise those athletes who have competed for the first time. For many, this is a big step, requiring real confidence and we hope that all athletes have a rewarding and positive experience in the Club vest! 

In the Spring of 2021, the Board discussed ways in which a 5 Year Development Plan for the Club could be implemented. Incorporating Facilities development, Coaching and Board succession planning, and developing a wider more inclusive club, progress continues to be made. As we come to the end of this 5 year period, see below for 2025 implementations. 

## _**Facilities development:**_ 

- With the help of a successful funding application made to the Coop, this Summer season we were able to rent a serviced ‘portaloo’ for all of the Summer months adjacent to the track at Alexander Park, Banchory.  This was a very successful addition to facilities  and with a second tranche of funding due, it is more than likely that we will continue with this hire over the Summer of 2026. (see images below of the building works undertaken to house the portaloo). We have also undertaken remedial work to the seating area adjacent to the track which again has made a great improvement to the facility 

- Regular maintenance work to the track continues and is beneficial. 

- Facilities development at Stonehaven continues to be an aim and engagement with relative interested parties continues to be undertaken.

_**Coach Succession:**_

The Club continues to encourage parents to become involved in coaching. In 2024-2025, we gained a further 2 Coaching Assistants, one each in Banchory and Stonehaven. We have been encouraged by the number of parents who have been willing to help out both at league events, where volunteer help is essential and our own Club events, which would be unable to go ahead without this help. As soon as Scottish Athletics release the information on Coach education, we communicate this to parents, and to date, we have always had a positive response, and continue to increase the Coaching pool. 

## _**Board Succession:**_ 

- The Club has worked hard to encourage parents and athletes to consider joining the Board of Trustees. For the first time in quite a while, the Board has been at almost full strength. More importantly we have been happy to welcome our first athlete member in some time. This has been particularly valuable in ensuring that the athlete voice is heard in our discussions and decisions. Hopefully this is something that can be maintained over the coming years 

- • It is still the aim to consider ways in which the work of the Board can be spread out amongst the members and thus encourage people to put themselves forward to serve on it. 

## _**Club Sessions:**_ 

- There is coaching taking place either in Banchory or Stonehaven, and for some athletes, at Aberdeen Sports Village, on six days of the week. Sessions are mainly for athletes of all abilities but others may be event specific sessions or in the Winter, strength and conditioning sessions for older athletes. 

- Stonehaven based coaches assisted with sessions at Mackie Academy Sports Day in July 2025. Community involvement can often lead to new interest in the Club’s activities and where opportunities arise, we will always take them. We also liaise with local Council sport co-ordinators

## **Training, Achievements and performance**

The Club continues to promote enjoyment, fun, commitment and personal achievement at training and in competition. We aim to encourage all of our athletes to put themselves forward for Club teams and to compete in local Open Graded events, Regional and National championships, either as an individual or as part of a relay team. 

The start of the XC season in 2024-2025 saw success from our keen XC athletes who braved cold conditions at the East District relays and Inter district relays at Stirling. BSAC had East District representation in 3 age groups. Millie went on to win the U13 National XC title a few weeks later, a brilliant achievement. 



BSAC as part of Scotland East in U13G, U13B and U15G 

A bit warmer indoors at the Emirates Arena Glasgow we sent a girls Under 12 team to compete in the national SUPERteams event. This is for the youngest athletes in the Club to gain experience in an event very much geared to be fun. We have traditionally been successful in this competition, with 2025 no exception, the girls coming in a silver medal position against teams from Clubs all over Scotland. That all bode well for the outdoor season. The Club competed in the local RAM League, as well as many athletes entering National and District Championships both indoor and outdoor, with huge success.  Indeed in the RAM League, the Club reached the final in 5 of the age groups, with the U11 Girls winning their age group against stiff competition.

Additionally, the RAM League awards 4 trophies each year, for male and female track and field performances across the whole competition. BSAC athletes were awarded 3 of these trophies which was a great acknowledgement of the work put in by athletes, Coaches and Team Manager.

As a Club we would like to see more athletes aged U17 and above compete in the Scottish national league and for younger athletes in the YDL (Youth Development League). Our competing athletes in this league have reduced over the last few years, possibly as a result of the break during Covid.  This is certainly something that the Club will address in the next year.  However, as a small Club, we always see some fantastic individual performances every season and we therefore must congratulate all of our athletes who work so hard and thank the Coaches, Coaching assistants and athlete’s families who give the Club so much support. 

The achievement of winning a medal at a National Championships cannot be under estimated and the fact that Club athletes medalled on 30 occasions across Indoor and outdoor championships (15 gold, 11 silver and 4 bronze) in 2025 is testament to the hard work of the young athletes and the commitment of Coaches. 


Max, Matthew, Rosie, Kalle, Luc and Lucy are all part of a multi events group. Club athlete and Scottish Schools Championships CE winner Kalle, also got to meet a very familiar multi eventer!

## **Club Kit** 

The Club has most Club Kit provided through a Club Kit Online Shop. Working in collaboration with Scottish Athletics, Joma and SoccerWorld a Club shop has been set up for the for the purchase of athletics kit which is branded in the club colours and logo. Blankets were added to the items available and have been very popular, especially for cold indoor Winter facilities at ASV…as well as the Summer! 

Payments are made direct to SoccerWorld and the club has set up an agreement with SoccerWorld for a commission to be paid to BSAC for all items purchased. 

We have a new supplier for the Club vest in a higher quality fabric and larger BSAC logo. The Club retain the stock of vests, independent of the Online shop. 

## **Other Information** 

The Club has a Code of Conduct which adopts the overarching UKA policy and covers Club safeguarding, a Code of Conduct for Coaches, Senior athletes, Children and Young people, Parents and Carers, Technical Officials and Volunteers. 

The Club has a Welfare officer who has responsibility for ensuring all Coaches and Officials are CRB/ PVG checked. 

The Club communicates with athletes/Officials/Coaches and volunteers through email. The Club uses an online system LoveAdmin for managing its membership database and uses the system to aid athlete communication. 

The Club has a website www.bsac.club and a members only Facebook group, which is updated with Club news, events and pictures.

Reserve Polic
The charity's policy is to hold reserves that equal to approximately 6 months of expenditure to cover
any unpredictable circumstances. Free reserves at the end of the financial period were considerably
higher than this due to the initial transfer of funds from the original BSAC format to the charitable status.
