## **INVERCAIRN PLAYGROUP** ## **Trustees’ Annual Report** August 2023 to August 2024 ## **Scottish Charity Number: SCO50323** Inverallochy Primary School Facebook: Friends of Invercairn Playgroup ## **CHARITY TRUSTEES** The trustees of Invercairn Playgroup are responsible for overseeing the strategic direction, governance, and operations of the charity. The current trustees are committed to ensuring that the playgroup remains compliant with regulations and ensures the playgroup continues to meet the needs of its beneficiaries. As Chairperson of Invercairn Playgroup, former Playgroup Leader, and a parent of a child who attended the playgroup, I’ve gained a lot of insight into how the sessions run and how the playgroup is managed. This gives me a unique perspective, allowing me to support the staff while ensuring everything is organised, compliant and focused on what’s best for the children and families. With my background in Psychology and a specialism in Child Development, I have a strong understanding of early years learning, inclusion and child-centred approaches. I also run a private practice supporting children and families, which allows me to bring valuable insight into creating a nurturing, inclusive environment where every child can thrive. I’m passionate about supporting the team, pushing for necessary improvements, and building strong relationships with parents and the local community to help the playgroup continue to grow and succeed. I am a mother of two. My Son has attended Invercairn Playgroup and loved his time there. I am hoping that my daughter will be attending when she turns 2 next year. I have been a Primary Teacher for a local school for almost 10 years and have especially enjoyed my time working in Early Years (Primary one) for four of those years prior to having my children. I have also been a founding member of the Inverallochy Toddlers committee for 3 years since it reopened. I have an in depth understanding of the early years curriculum. I also have passion and a good 2 understanding of play and learning in a preschool setting. I also have a firm knowledge of the frameworks and other types of administration. This means I have a substantial amount of knowledge and skills that I can use to support the committee and leaders of playgroup when needed. The staff and committee are dedicated to helping our children’s skills development and wellbeing and have been an integral part in supporting my son’s developing confidence and social skills, when he was struggling after lockdown due to covid 19. I am a mother of one and my daughter was an attendee of Invercairn Playgroup, I joined the committee when she enrolled in 2020. I have worked for a legal firm for over 10 years and am an associate of The Society of Law Accountants in Scotland having qualified in 2015. Through my line of work I have extensive knowledge of both general day to day accounting and payroll, and this is knowledge I can use to provide support to the committee in these areas when they require. As well as the Playgroup Committee I am also a member of the Invercairn Community Support Group and Inverallochy & Cairnbulg’s “Christmas Team”. Both of these groups donate money that they raise back to groups or organisations within the community and the Invercairn Playgroup has received financial donations from both in the past. I hope to continue to support the Playgroup for years to come as I truly believe it provides our children with the best start to their early learning journeys. 3 ## **OBJECTIVES AND ACTIVITIES** ## **AIMS OF THE PLAYGROUP** Invercairn Playgroup provides a safe, supportive, and stimulating environment for preschool children. Our aim is to help them develop socially, emotionally, and cognitively through play-based learning. We strive to create a welcoming space where children can explore, interact, and build foundational skills for lifelong learning. We also work closely with parents and carers, taking a holistic approach to early childhood development. ## **ACTIVITIES** The playgroup offers a balance of structured and free-play activities. Children engage in a wide variety of experiences, from arts and crafts to imaginative play, music, and outdoor activities. Our play-based approach encourages children to explore new ideas, solve problems, and develop independence while learning social skills. Some examples of our range of activities are explored below, including seasonal celebrations, visiting specialists, gym days, trips, outdoor learning and library sessions! ## **Seasonal Celebrations** Throughout the year, Invercairn Playgroup hosted various seasonal events that enriched our children's cultural experiences: **Burns Supper:** We celebrated Scotland's national poet, Robert Burns, with Scottishthemed activities, fostering an appreciation for Scottish heritage. 4 **Scotland Euros:** In support of Scotland's participation in the European Football Championship, we organized football-themed crafts and facepainting, promoting teamwork and national pride. **Halloween Party:** Children enjoyed dressing up in costumes and engaging in creative activities, enhancing their social and imaginative skills. **Christmas Sing-Along and Party:** The festive season was marked with a sing-along featuring classic carols, and a Christmas party with a visit from a special visitor, bringing joy and holiday spirit. 5 ## **Visiting Specialists** We collaborated with various specialists to provide diverse learning experiences: **Bookbug** : This initiative from the Scottish Book Trust encourages early literacy through song, rhyme, and storytelling sessions. Our children benefited from these interactive experiences that support language development. **CB Coaching** : Specializing in children's physical education, CB Coaching offered sessions that enhanced our children's motor skills and introduced them to various sports in a fun and engaging manner. **Childsmile** : As part of Scotland's national oral health improvement program, Childsmile provided guidance on dental hygiene, helping instill good oral care habits from an early age. 6 **Fiona Ritchie Music School** : This organisation introduced our children to traditional Scottish music through interactive sessions, fostering an appreciation for musical heritage and enhancing auditory skills. **KDance** : Their sessions at our playgroup encouraged physical activity, rhythm, and self expression among the children. ## **Gym Days** Regular gym sessions are held to promote physical fitness and coordination. These activities allowed children to develop gross motor skills through structured exercises and free play, emphasising the importance of an active lifestyle. 7 ## **Trips** Throughout the year, Invercairn Playgroup has organised a variety of trips to enhance children’s learning experiences beyond the playgroup setting. These outings provide opportunities for children to explore new environments, develop social skills, and engage in hands-on learning. Highlights from this year’s trips include: - **Fire Station Visit** : Children toured the local fire station, learning about fire safety and the role of firefighters in our community. - **Chitty Chitty Bang Bang Set** : A visit to the theatrical set offered insights into storytelling and stage production, sparking creativity and imagination. - **Beach Excursion** : A day at the beach allowed for exploration of the natural environment, fostering curiosity and an appreciation for nature. - **Fairy Woods Adventure** : This trip encouraged imaginative play and storytelling as children explored woodland areas, enhancing their connection to the ou tdoors. 8 These trips have been invaluable in supporting children’s development and will continue to be a key part of our activities. ## **Outdoor Learning** At Invercairn Playgroup, we recognize the vital role outdoor learning plays in early childhood development. Our outdoor activities encourage children to explore, be active, and develop confidence in a natural setting. Throughout the year, we have provided regular outdoor play sessions where children engage in physical activities, sensory exploration, and nature-based learning. These experiences support cognitive, social, and emotional development while fostering a connection with the environment. Staff continually develop outdoor learning opportunities, aligning with Early Years Scotland’s best practices. ## **Library Sessions** We also hold regular library sessions to encourage a love of reading and storytelling. These sessions allow children to explore books, listen to stories, and engage in discussions. We aim to inspire a lifelong interest in reading. 9 These activities and initiatives collectively contributed to a holistic early learning experience, nurturing the physical, emotional, and intellectual growth of the children at Invercairn Playgroup. ## **FUNDRAISING** Throughout the year, Invercairn Playgroup organised a variety of fundraising activities to support the purchase of essential resources, ensuring a rich and engaging learning environment for our children. Funds raised help cover the cost of educational materials, play equipment, arts and crafts supplies, and general operational expenses. ## **Fundraising Events** **Sponsored Walk at Aden Park** – This event encouraged children and families to be active while raising money through sponsorships. The walk not only promoted physical health but also engaged the wider community in supporting the playgroup. **Easter Hamper Raffle** – Families generously donated items to create themed hampers, which were raffled to raise funds. This event was well received, bringing excitement during the Easter period while generating muchneeded funds. **Elves Workshop & Christmas Card Fundraiser** – The Elves Workshop provided children with the opportunity to enjoy festive crafts, games and a visit from Santa. The Christmas Card Fundraiser allowed families to order personalised cards designed by their children, making it a special and sentimental way to raise funds during the holiday season. **Coffee Morning** – A community event that brought parents, carers, and supporters together over tea, coffee, and home baking. It provided an opportunity for social engagement while raising money through donations and raffles. 10 **Comic Relief "Dress Funny for Money"** – This fun-filled event encouraged children and staff to wear silly outfits in exchange for a donation. While the money raised was donated directly to Comic Relief, this initiative reinforced the values of kindness, empathy, and giving back to the wider community. ## **Tesco Grants – Bikes & Scooters for Outdoor Learning** We were fortunate to receive funding through the Tesco Grants Scheme, which allowed us to purchase bikes and scooters to enhance outdoor learning. These resources play a vital role in early childhood development by: - Improving gross motor skills, balance, and coordination. - Encouraging physical activity, helping children develop a love for movement and exercise. - Supporting confidence and independence as children explore their outdoor environment. - Enhancing social interaction, as children learn to take turns, share, and play collaboratively. Our continued fundraising efforts ensure that Invercairn Playgroup remains wellequipped to offer a stimulating and enriching environment for all children in our care. 11 ## **STRUCTURE, GOVERNANCE AND MANAGEMENT** ## **STRUCTURE** Invercairn Playgroup is managed by a voluntary committee, primarily composed of parents and carers, who oversee governance, strategic direction, and compliance with regulatory requirements. Our playgroup is led by a qualified early years practitioner, supported by a dedicated team of staff. ## **TYPE OF GOVERNING DOCUMENT** Invercairn Playgroup is governed by its Scottish Charitable Incorporated Organisation (SCIO) constitution which outlines its purpose, membership, and decision-making processes. The trustees are responsible for ensuring that all activities align with the constitution and that the playgroup operates in accordance with its stated objectives, legal obligations, and best practices in early years education. ## **TRUSTEE RECRUITMENT AND APPOINTMENT** Trustees are appointed through an open and transparent recruitment process. New trustees are elected annually at the Annual General Meeting (AGM), where all members of the playgroup community, including parents and carers, are invited to participate. During the year, we actively sought new trustees to bring fresh perspectives and ensure the effective governance of the charity. Interested individuals were encouraged to put 12 their names forward, and appointments were made based on their skills, experience, and commitment to the playgroup’s mission. No external organisations have the authority to appoint trustees. However, we welcome input from professionals and advisors where necessary to strengthen our governance and strategic planning. 13 ## **ACHIEVEMENTS AND PERFORMANCE** ## **ACHIEVEMENTS AND PERFORMANCE** During this financial period, Invercairn Playgroup has made significant progress in delivering high-quality early years education, fostering a safe and stimulating environment where children can develop essential social, emotional, and cognitive skills through play-based learning. Activities to Achieve Our Aims - We provided engaging, play-based learning sessions aligned with best practices in early years education. - We followed Early Years Scotland guidance to enhance our policies and procedures. - Termly committee meetings ensured effective governance, financial planning, and strategic direction. ## Biggest Successes - The Playgroup Leader successfully completed early years training, enabling her to achieve a qualification that ensures she is fully equipped to lead the team in best practices. - Successful fundraising events, allowing us to invest in new learning resources and equipment. - Staff Expansion: We hired an additional staff member, ensuring a well-supported learning environment - We strengthened community ties by hiring local businesses and professionals to share their skills with the children, covering areas such as physical development, literacy, self-care, and music. ## Impact and Outcomes - Parents have observed improvements in social skills, confidence, and early learning abilities from the children who attend our setting - Families have benefited from a supportive environment that encourages parental involvement and collaboration. - Staff have received additional training opportunities, ensuring continuous professional development. - Families benefited from a stable and consistent childcare service, even during staff shortages. 14 - By supporting local businesses, we contributed to the wider community and enriched the children’s early learning experiences. ## Volunteer Achievements - Maintained regular playgroup sessions despite staff absences, thanks to the invaluable support of parent volunteers. This ensured continuity and reliability for families. - Parents and carers have also supported the playgroup through participation in special events and outings, enriching the children’s experiences and enhancing the sense of community. - Committee members have actively contributed to decision-making, governance, and fundraising efforts. Overall, this year has been a remarkable one for Invercairn Playgroup, demonstrating our commitment to early years education, community involvement, and continuous improvement. 15 ## **FINANCIAL REVIEW** ## **STATEMENT OF THE CHARITY’S POLICY ON RESERVES** Invercairn Playgroup aims to maintain a level of reserves sufficient to ensure financial stability and continuity of services in the event of unexpected expenses or fluctuations in income. Our aim is to hold reserves equivalent to at least three months’ operating costs to cover essential expenditures such as staff wages, rent, and utilities. As of this year, our closing cash balance is £7,428. This provides an ample financial cushion. The trustees will continue to monitor income and expenditure closely. ## Details of Any Deficit There is no deficit on any fund this year. The charity has maintained a balanced budget, ensuring financial sustainability while continuing to provide valuable services to our beneficiaries. ## **DONATED FACILITIES AND SERVICES** We currently have no free access to our Playgroup room or gym hall and now pay rent for both. We have free access to the library and its facilities on a Wednesday morning. 16 ## **FUTURE PLANS** Invercairn Playgroup is committed to enhancing the quality of early years education and ensuring long-term sustainability. Looking ahead, our key priorities include: - **Expanding Learning Opportunities:** We plan to introduce new play-based learning resources and structured activities that align with Early Years Scotland guidance, ensuring children continue to develop essential skills. - **Staff Development & Training:** Continued investment in CPD opportunities for staff to strengthen their knowledge and expertise in early childhood education. - **Community Engagement & Fundraising:** Strengthening partnerships with local organisations, schools, and families while increasing fundraising efforts to support the playgroup’s growth. - **Facility & Equipment Improvements:** The current toilet facilities are inadequate and pose safety risks to children. We are in discussions with the local council to upgrade the toilets, repair loose floor tiles, and replace the carpet with a more suitable vinyl floor. However, progress has been slow, and we will continue to push for these urgent improvements. - **Sustaining & Growing Enrollment:** Promoting the playgroup within the community to maintain strong attendance and support more families. Most of the charity's income is received through fee's received, paid privately from parents and guardians. The playgroup does not offer funded spaces. The charity also fundraises to increase income and receives donations also. Where no specification is made funds received are used for the operational needs of the playgroup. **(**| ||||||-|| ## **Nature and purpose of funds** Last year the playgroup received a grant, being £1,000 from Tesco's, to pay for new equipment and a trip. Last year this fund was used to purchase a tablet, hi-vis vests and to fund a trip to Federate Woods. This fund has been further utilised this year to purchase replacement equipment, such as balance bikes and scooters. This fund has been fully utilised at the year end. Last year the playgroup also received a £1,000 donation from Invercairn Gala to cover the cost of the playgroups Christmas and Easter party. This fund has now been fully utilised with the cost of this years parties. This year the playgroup received another donation from Invercairn Gala to replace the flooring in the playgroup bathrooms.
