Overview

The Board of Trustees are pleased to submit their report and this year's accounts for our financial year ending 30th April 2025. The accounts have been prepared on a Receipts and Payments basis in accordance with the Charities and Trustee (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006.

2025 marks a significant year for Scotia Medical Group as we celebrated our 5th year of being a charity on 22nd April 2025. The charity continues to grow and develop year on year and this has only been possible through the commitment and dedication of all our volunteers.

Objectives and activities

At Scotia Medical Group, we have a shared mission to create a network of highlyskilled and competent individuals who can deliver safe, holistic and high-quality care. While the number of people surviving an out of hospital cardiac arrest (OHCA) has halved since 2015 (1:10 (2023) compared to 1:20 (2015)), there is an ongoing need to support people to maintain their confidence, learn basic first aid skills and work with other agencies to increase the number of people that survive an OHCA.

To achieve our mission, we have three key areas of activity; firstly, providing free first aid training so that anyone can learn the skills to save a life. We believe that by having the skills and confidence to recognise a life-threatening condition, provide basic first aid and having the right support after can greatly increase someone’s changes of recovering well.

Our second area of activity is providing event medical cover at events. This area of activity provides an opportunity for our volunteers to utilise their skills, gain confidence, and to learn and support each other. This activity also allows us to generate income to deliver free courses, purchase and maintain equipment and invest in our clinical practices to ensure we are as up to date as possible.

Lastly, our third aim of Scotia Medical Group is to provide assistance which will benefit communities where our assets can be used. This work in partnership with other organisations and statutory services, many of which we work closely with already at events.

Structure, Governance and Management

Our Constitution

Scotia Medical Group is governed by our Single Tier Constitution and as such we are considered a Scottish Charitable Incorporated Organisation (SCIO). Our constitution document sets out the administration of the Board of Trustees, how the Board is structured, our decision making process and how we manage Scotia Medical Group.

This constitution is regularly reviewed.

Trustee recruitment and appointment

This reporting period has seen several changes within the Board. We have welcomed new members to the Board, we have had some members change roles, and unfortunately, we have also had some members retire from the Board.

In 2024, the Board undertook a self-assessment to determine where our strengths and weaknesses lie. This was a valuable exercise to identify where further skills and experience is required and also reflect on where we are strongest. Our intention for the year ahead will be to continue reflecting personally and collectively to ensure that we are an effective Board that drives and delivers progress towards our mission.

Chairman’s Report

It is my pleasure to be writing our fifth annual report. Having formed during the COVID19 pandemic and grown year on year it is incredible to see the size of the organisation that Scotia Medical Group now is. As I said with my opening remarks, none of this could have been achieved without the pragmatism, dedication and aptitude of the volunteers that make Scotia Medical Group the thriving, learning and progressive organisation that we are. It is thanks to our volunteers that we have been able to grow and achieve so much success. We have continued to recognise key volunteers that go above and beyond with our awards ceremony during our Annual General Meeting. This year we congratulated six volunteers with awards for brand ambassador of the year, most improved clinician, most inspiring volunteer, award for clinical excellence, and a special Chairman’s recognition award.

As we continued to grow, we struggled with the upkeep of the charity. Being volunteer led wasn’t easy. A small core team of volunteers were keeping the charity afloat, but this often blurred the lines between strategic and operational decisions. Standing by our values we began to share the workload by recruiting more volunteers to management positions and catch up on areas for development.

Purchasing a fleet of second-hand vehicles meant there was a lot of maintenance to do. This came with challenges as we had no mechanical expertise for the specialist vehicles and nor did we appreciate the cost of such upkeep. Thankfully, with careful financial control and recruitment of a volunteer with mechanical knowledge we were able to commence work on the vehicles to make them operational ready.

Treasurer’s Review

This year was the fifth year of Scotia Medical Group and the charity has continued to grow, with many new events and many of the previous ones returning. This shows the high level of confidence that event organisers hold in Scotia’s skills and performance.

As can be seen by the graphs below, it has been by far our biggest year to date, more than doubling our income from last year. This was primarily due to covering medical cover for the Tall Ships in Aberdeen, an event attended by over 500,000 people. This involved around 50 volunteers every day of the four-day event. An astounding success by our volunteers, whilst producing a professional service and also having fun at the same time.

Reserves Policy

There was no reserve policy during 2024/25. The trustees created one in the next financial year and will be in that report.

Looking Forward

Planning is well underway for our biggest event to date; Tallships Aberdeen 2025. We are also excited to be championing areas of growth within our events portfolio by increasing the number of event coordinators. As we continue the organisation-wide role out of FREC3 as a minimum for event cover our training team will continue to grow to meet this demand.

Our Fundraising activity will focus on events that have proved extremely successful such as coffee mornings and wreath making. And we will continue to promote and advertise our work on social media.

My examination is carried out in accordance with Regulation 11 of the 2006
Accounts Regulations. An examination includes a review of the accounting records
kept by the charity and a comparison of the accounts presented with those records.
It also includes consideration of any unusual items or disclosures in the accounts
and seeks explanations from the trustees concerning any such matters. The
procedures undertaken do not provide all the evidence that would be required in an
audit and, consequently, I do not express an audit opinion on the view given by the
accounts.
In the course of my examination, no matter has come to my attention, other than
that disclosed below.
1.
which gives me reasonable cause to believe that in any material respect the
requirements:

to keep accounting records in accordance with section 44(1) (a) of the 2005 Act
and Regulation 4 of the 2006 Accounts Regulations, and

to prepare accounts which accord with the accounting records and comply with
Regulation 9 of the 2006 Accounts Regulations
have not been met, or
2. to which, in my opinion, attention should be drawn in order to enable a proper
understanding of the accounts to be reached.
The matter that has come to my attention is that, in the course of my examination of
the accounting records of the charity, it was noted that supporting documentation
has not been retained for some of the expenses incurred within the year. The total
expenditure which could not be verified was £15,074. The charity trustees are aware
of the importance of maintaining full records of accounting transactions going
forward.

1 Nature and purpose of funds

Unrestricted funds are those that may be used at the discretion of the trustees in furtherance of the objects of the charity.

Restricted funds may only be used for specific purposes. Restrictions arise when specified by the donor or when funds are raised for specific purposes.

The trustees did not receive any remuneration nor were they reimbursed for any expenses.
