STRUCTURE, GOVERNANCE AND MANAGEMENT
Westerlands Cross Country club is managed according to its constitution:

Trustees Recruitment and Appointment
There is a minimum of three and a maximum of seven Charity Trustees. The Chair, Secretary and Treasurer will each be a Trustee and additional club members can be elected at each AGM. Trustees retire at the end of each year and the election of new Trustees takes place at the organisation’s AGM. A Trustee cannot stand for re-election if they have served as trustee of the organisation for more than 9 contiguous years (without a break of at least one year).

PURPOSES AND OBJECTIVES
The organisation’s purposes are to promote the advancement of public participation in hill running, cross country running and trail running; and to foster a social community of those who enjoy running and the natural environment in Scotland and beyond.

Our activities include:

Fostering a community of people interested in running and the outdoors in Scotland and beyond.

Organising regular training runs in and around Glasgow.

Supporting the Scottish Hill Racing Community by running events and races for people to test their sporting ability.

Training people in fitness, skills required for running in the hills and trails and navigation.
-
Arranging training weekends at mountain locations in Scotland and beyond.
-
Supporting Competition by entering teams in national team and relay races.
ACHIEVEMENTS AND PERFORMANCES
Westies continue to prosper as an organisation supporting hill running and cross-country in Glasgow and throughout Scotland. This year our membership stands at 252 members which is in line with figures from previous years.
The year started with a full programme of cross-country activities with large Westies’ turnouts for the National Championships at Callendar Park, Falkirk in February 2025 and at the West District League races and West Area Championships during Autumn and Winter 2024. Members of the Westerlands Committee and general membership also played a key role in the organisation and marshalling at Dunbartonshire, West District and National Cross-Country Championship events.
March 2025 saw Westerlands field four teams at the Allan Scally Road relays on Glasgow Green. This included a wide range of members with the age of participants ranging from the early 20’s to those in their 70’s.

Westerlands were well represented at the Six Scottish Championship Hill races with many fine individual performances across a range of open and veteran categories recorded. Of particular note is that we had 19 Women complete at least one championship race which was the highest figure of any Scottish club.
In addition to participation, Westerlands members also organised the following hill races:

Regular training sessions took place which included hill reps on Monday nights utilising hills and parks in the Northwest and South of Glasgow and Wednesday night club training runs utilising local hills and trails close to Glasgow such as the Kilpatricks, Campsies, Mugdock Country Park and Linn Park.
Members completed some notable individual and small group running challenges; achievements included:

Three club members competed for their country at international races.

Twenty-Two members completed the Bog and Burn Series of midweek hill races.

Twelve members completed the Scottish Hill Running Championships.
-
Eight members completed the Scottish Long Classics series of races

Several members completed classic rounds of Scottish hill and mountain ranges including Tranter and Campsie rounds

A number of members put in exceptional performances to complete challenging ultra races including Lakes in a Day, Devil of the Highlands race and the Haworth Hobble.
Westerlands works hard to make club runs as inclusive as possible by encouraging car sharing and, where possible, meets at locations with public transport and bike parking options. Such initiatives help to minimise the impact of travel on the environment and increase access to the great Scottish and wider UK outdoors.
We thank all the Trustees, Committee members, Race Organisers, Event Organisers, Marshalls, and participants for the tremendous work that builds such an amazing community in the sport. Overall, Westerlands continues to thrive and support the imagination and athletic achievement of its incredible membership.

The statement of accounts for 2024-25 has been checked and certified by Mr. David Powrie, Chartered Accountant. There has been a change in the club’s finances in 2024-25. A deficit of over £7000 is now showing. While this might seem alarming, it is not a worry; there are still funds in the bank. As a non-profit-making charitable organisation we should not be retaining substantial funds The nature of our business causes fluctuations from year to year.
The club has two main sources of income – subscriptions and race income. Membership income has gone down slightly this year. This is not unexpected with the move to SiEntries. Race income is also down. Again, not unexpected with no championship races in the year; last year, Arrochar as an SHR championship race, boosted the coffers. A couple of races had no income.

There are always going to be variations with the race finances. This year, much of the deficit can be explained by the fact that around half of the Jura24 expenses (£6.5k) came out of the 2024-25 accounts and all of Jura25 did too. Because of the date of the Two Breweries, so close to the financial year end, the income has been received but there is no expenditure. Year on year, this balances out.
Race participation is encouraged. The club pays the entry fees for the main cross-country races and relay races. This year’s participation has remained good. Sadly, though, the Devils Burdens were cancelled, and the FRA relays were not well attended; we may have lost money there (refunds still to be received). The club is happy to subsidise transport and accommodation but this year, despite attempts, there was no uptake. Accommodation for the Morven race and for the FRAs has incurred losses. Socialising is also encouraged and the club covers the differences in costs for weekends away. Normally food purchase costs break-even but this year the food bills were quite high and food cost contributions didn’t cover them. This is not a problem for now.
Following a decision at the AGM 2024, donations to the three MRTs that support the club, Lomond, Arrochar and Moffat, were doubled. Donations were also made to Scottish Hill Runners and to the National Trust for Scotland.
The club pays Scottish Athletics an annual fee for each active individual member. This year the affiliation fee was not paid before the year end. A double payment next year can be expected. Scottish Athletics have made some changes to their financial systems this year.
Migo Sports who were supplying the club running tops were affected by a fire this year and could no longer manage our supply and asked us to deal with the manufacturer directly – Ridgeway Textiles (which is a Ron Hill company) . I’m sure it is coincidence, but prices have increased. The last vest price was £22, now more than our membership fee. New members receive a complimentary vest. Last year we gave out 28 vests. I think we need to monitor the kit cost against membership fees for the future. Additional kit is ordered as required. A new hoodie/sweatshirt supplier is required.
This year the accounts reconciliation has been quite challenging. The accountant has suggested that, given the size of the club and the number of transactions being processed (300+), it would be worth our while considering a simple accounting package. This would reduce the treasurer’s workload, make reconciliation easier and allow for good succession planning. Basic packages are not expensive. I propose that I investigate this and report back to the committee.

Although the bank balance has reduced this year, I believe the club can absorb future costs for now and I propose that the full subscription of £20 remains; and the social membership at £6. These are, therefore, the membership costs that I propose for club acceptance.
