## **Structure, governance and management**

## Type of governing document

Elgin Amateur Athletic Club (EAAC) established in 1970 is a Scottish Charitable Incorporated Organisation (SCIO), registered in Scotland. It operates with a single-tier structure, meaning that the trustees also serve as the members of the organisation.

The charity is governed by its constitution, which sets out its charitable purposes and provides the framework for how the organisation is run.

The organisation is managed by a Board of Trustees, who meet regularly to:

- Oversee the charity’s activities and strategic direction

- Make key operational and financial decisions

- Ensure compliance with regulatory requirements

- Safeguard that EAAC continues to fulfil its charitable purposes effectively

## Trustee recruitment and appointment

At each Annual General Meeting (AGM), Charity Trustees are required to stand down. They may however stand for re-election unless they have given notice to resign prior to the meeting.

Members of the charity can elect trustees at the clubs AGM. In addition, the Board can appoint charity trustees to fill vacancies during the year if a trustee ceases to hold office.

In accordance with the organisation’s constitution, the Board must consist of a minimum of 4 and a maximum of 12 trustees at any given time.

Difference charity has made in terms of outcomes and impact

## **1. Improved Safety and Wellbeing**

- Secured funding to deliver first aid training for trustees, coaches, and senior athletes.

- Increased confidence in responding to incidents, ensuring the safety and wellbeing of all participants across club activities.

## **2. Athlete Development and Achievement**

- Athletes achieving personal bests, competitive successes, and Scotland call-ups.

- Others overcoming personal barriers, becoming more confident, healthier, and fitter.

- The Olympics acted as inspiration, raising aspirations and interest in athletics participation.

## **3. Community and Belonging**

- Hosted social events for athletes, families, and carers, building a stronger club community.

- Development of the EAAC Indoor Winter League and relay nights, encouraging team bonding, skills-sharing, and confidence across all ages.

- • EAAC continues to be a family-focused club, not just for the athletes but their wider support network.

**7**

## **4. Increased Visibility and Awareness**

- Improved website, social media presence, and newsletters to keep athletes and parents better informed.

- Local publicity has raised the club’s profile, creating a high demand and waiting list.

## **5. Coaching Excellence and Innovation**

- Coaches delivering comprehensive, tailored training programmes covering strength, yoga, speed, and recovery.

- Innovative approaches (e.g., using carpet tiles or gloves as training tools) demonstrate resourcefulness despite limited facilities.

- Coaches’ dedication has been central to athlete development, motivation, and resilience.

## **6. Challenges and Areas for Growth**

- Lack of suitable facilities has limited progress in providing better access for disabled athletes.

- Winter training often restricted to school halls, creating a disadvantage compared to better-equipped clubs.

## **Volunteers and their achievements**

## **Coaching Development**

- Several coaches completed new qualifications, strengthening our coaching programme.

- 3 senior athletes began their coaching journey through the Run, Jump, Throw course.

- Coaches continue to deliver high-quality, athlete-focused sessions, investing time and energy to inspire the next generation.

## **Trustee Board**

- Welcomed new trustees, expanding governance and expertise.

- Trustees provide leadership in finance, governance, events, and fundraising.

- Regular training and development ensure strong, effective governance.

Together, our volunteer coaches, and trustees form the backbone of EAAC - supporting athletes, shaping the club’s future, and ensuring athletics continues to thrive in our community.

At year-end, the club made a profit of £1,291. However, the Receipts & Payments
accounts show a deficit of £5,148, which reflects the transfer of £6,439.35 into
restricted hjnds earmarked for future new facilities. After this adjustment, the club
holds a balance of £11.518.20 for its general running.
We are in a good financial position but need to look at raising more for the
development of the club and the possibility of new facilities during the
years ahead.

## **Future plans**

Our key aims for the coming year focus on strengthening both our finances and participation across the club. We plan to:

- Introduce Gift Aid to maximise income from memberships and donations.

- Expand social and fundraising events, adding more activities to an already busy calendar.

- Promote donations and sponsorship opportunities through Give as You Live

- Grow adult participation in athletics to strengthen our teams.

- Strengthen links with – Active Schools, encouraging more young athletes.

- • Introduction of new local competitions, creating more opportunities for our athletes to compete.

- The Elgin Regeneration Plan is actively shaping local priorities and securing the long-term future of the area. As part of this, consideration is being proposed for new track and field facilities and will be submitted by the end of 2025. We are committed to giving our full support to this process, with the aim of delivering a modern track and field facility for the community in the near future.
