Structure, Governance and Management
Type of Governing Document
The Charity is a Scottish Charitable Incorporated Organisation (SCIO). It was registered in its current legal form on 29" April 2014. The Charity was previously an unincorporated association but changed its legal form to a SCIO. The assets of the unincorporated association were transferred to the SCIO on 29" April 2014. It has a single tier structure and as such the Trustees are members of the Charity. The Charity is administered in accordance with the terms ofits Constitution. In 2025 the charity applied to becomea single tier charity as the previous structure was found to be dated and many members had disengaged, This change was discussed at the AGM in 2024 and was adopted and signed at the Board meeting on the 6" of February 2025. The now Constitution was then filed with OSCR.
Trustee Recruitment and Management Committee
The Management Board meets regularly and members are the Charity’s Trustees. Membership of the Board is open to members and supporters of the sports clubs. Trustees are appointed or elected due to their particular skills, experience and/or sporting interests relevant to the work of the Charity. In order to progress the upgrade of the sports area a Development Group has been established which includes Trustees and representatives from the community who may offer advice and expertise.
Charitable Purposes
The Charity’s purposes are to promote sport for the benefit of the inhabitants of West Kilbride and its environs without distinction of sex, sexuality, political, religious or other opinions by associating with the local authorities, voluntary organisations and inhabitants in a common effort to advance public participation in sport, so that the conditions of life may be improved. In furtherance of these objects the organisation seeks to provide or assist in the provision of community sports facilities and activities, increase access and encourage public participation in sports and leisure opportunities to improve the health of the inhabitants of North Ayrshire. It seeks to advance community development by encouraging the community to take part in sport or physical activity and involves volunteers to help ensure the services offered meet the needs of the community.
Activities
Following the production of a Business Plan and Feasibility Study, the Charity continues to raise funds towards the upgrading of the sports facilities in Kirktonhall Glen, West Kilbride. Phase | of the developments involved the creation of three tennis courts to the highest modern standards for competition and was successfully completed on 7 March 2016. The West Kilbride Tennis Club was formed to operate the courts and attracted 151 members by the end of September 2017. The Chairman and Treasurer were initially appointed to the same positions in the Tennis Club to ensure liaison between the two Clubs An agreement was drawn up with North Ayrshire Council for the Trustees to promote the use of the astro pitches at West Kilbride Primary School in the evenings. After consultation with nearby residents, extended use hours and 3

permission to introduce portable floodlights was received. Summer football camps with qualified SFA coaches have been popular and it is hoped these will continue. During Phase 2 leases were signed for the pavilion and the grass football pitch in addition to the tennis courts. The renovation and upgrade of the Pavilion was completed in September 2019. Phase 3 has now started with the challenge of raising up to £950k. Considerable effort is being exerted to develop a full sized synthetic pitch on the existing grass pitch. The derelict blaes pitch will also be upgraded at the same time. Leases have been agreed with NAC for all the areas required and an extension to the Pavilion is also being planned to provide changing facilities for young people. The location of services to the village has proved to be problematic with many of the agencies involved being unable to offer information regarding location of pipes, drains and manholes. A new electricity supply to the Pavilion is also required as currently the supply is not adequate for our needs.
ACHIEVEMENTS
Tennis:
West Kilbride Tennis Club membership during the year remained strong in both junior and senior categories although slightly down on the 200 recorded during the Covid years. The Club conducted its bi-annual Member Survey in late 2024 with returns ofjust under 50% of the senior membership. The returns were extremely encouraging to Committee members in that 100% of members expressed overall satisfaction with how the Club is. run and very high satisfaction in all sub-categories. During the year the Club secured funding from the West Kilbride Lottery for replacement wind breaks to the south toiletsside ofthe courts due to wind damageofthe existing ones. Electric hand driers have also been installed in the for reasons of hygiene and to avoid blockage. Participation in the Ayrshire Leagues with 7 teams in volved, 4 men and3 ladies. The men’s teams finished 6" in Division 1,3™ in Division 2, 2" in Division 3 and 5" in Division 5 while all Ladies teams finished 3" in all their respective Leagues. The Club Championships was very successful with good entries in all 9 senior categories and a large number of spectators enjoyed both senior and junior matches in glorious sunshine. Junior tennis continues to develop positively with one boy selected for the Ayrshire Development Squad. Individuals and teams were entered in a number of age group tournaments in Ayrshire and beyond and the in the Ayrshire Indoor winter League at Prestwick giving them excellent competition experience. Our box leagues continued throughout the year with participation levels strong indicating how much fun members get fron this form of club competition. Club members remain pleased with our ongoing one to one coaching relationship with BL Tennis and their development of ourjuniors. Spring Summer and Autumn holiday camps have also been successful.
Pavilion:
The reconstructed and redesigned Pavilion completed in September 2019 has continued to be enjoyed by West Kilbride Tennis Club and West Kilbride Amateurs FC. The former introduced cost-efficient lighting and the latter 4
solar panels to heat showers which have reduced electricity consumption. The building continues to be sound and maintenance minimal.
Junior Football:
As reported last year the West Kilbride Amateurs FC adopted the various Colts teams supporting the youngsters in their training and development. 4 boys age group 2012, 2013, 2014 and mini kickers (5 and 6 years of age) are supported by 4 coaches.

Colts 2013 graduated from 9 a side football to 11 as the players increased from 9 to 16 this year playing on full sized pitches and competive football for the first time. During the summer they took part in some football festivals and tournaments as preparation for the new season. They madea steady start in the newly established Ayrshire Youth Football Leagueand have made the draw for the 3" round of the Scottish Cup in their first full season. Colts 2014 spent most ofthec season with 2 teams playing 7 a side hardly losing a match. They competed[in] several tournaments over the summer as preparation for 9 a side matches. They have madea strong start to the season despite losing some boys to the 2013's.
The mini kickers are training on Thursdays involving small sided games. The West Kilbride Deltas, independent of WKAFC, enjoyed a stable season n the top division of the North Ayrshire League ending mid table. The highlight was reaching the League Cup final played at a Junior stadium complete with mascots, linesmen and walk out music. Having defeated some excellent teams leading to the final losing to a better team on the day was a disappointment.
This season 3 boys have been recruited from Largs colts age group and one more from Arran making that cohort now 4. This season the group have progressed to the 3 round of the Scottish Cup, the furthest the Deltas have achieved. The Deltas management continues its objective to provide free football to the 20 boys in the squad including training facilities, matches, equipment, strips, boot bags and rucksacks The Girls group have been provided with a new strip but have not taken part in matches so far.
The small football pitch near the entrance to Kirktonhall Glen known as the “kick about” area which had been subject to drainage problems has been restored by our colleagues in the Friends of Kirktonhall group with new drainage and the playing surface reseeded.
Senior Football:
In their 767" year West Kilbride Amateurs FC have achieved promotion to Ayrshire Premier League due to the enthusiasm of the 25 players and the work of the manager and coaches. The erection of the fence surrounding the pitch fence to avoid dog fouling was achieved on budget at £18,126, the grant received.
The Club has registered players and signings on the SFA CEMET system and has applied for registration with the SFA standards working towards achieving bronze level.

With 4 coaching staff, 7 Committee members and the dedication also of the players the club looks forward to building on the recent achievement. Unfortunately, the proposed upgrade of the defunct blaes pitch is not going ahead but the Club continues to work with the Trustees on an alternative proposal. Further facilities are urgently required for training and matches by the “Amateurs” and all junior teams at a lower rates than currently incurréd at neighbouring pitches.
Policy on Reserves
The trustees raise funds for each project undertaken and maintain sufficient Unrestricted Funds to meet the running costs of the Trust which are kept to a minimum.
Future Plans
As mentioned earlier two bids for funding a new pitch predominantly for football with floodlighting and separate pavilion were submitted during the summer. The outcome of the main application was delayed by the Westminster election but the Trustees understand the main source of grant, the Community Ownership Fund has been discontinued. The applications also include lighting of the path to the pitches and tennis courts urgently required for dark winter evenings.
lhe Trustees are now working on a proposal to transfer the grass on the existing pitch to the blaes pitch and replacing the grass with astroturf.

Independent Examiner’s Report on the Accounts
I report to the Trustees/Members of West Kilbride Community Sports Club SCIO, registered Charity number $C044832, on the accounts ofthe charity for the year 1‘ May 2023 to 30" April 2024 which are set out on pages 8 to 10.
Respective Responsibilities of Trustees and Examiner
The charity’s trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006. The charity trustees consider that the audit requirement of regulation 10(1)(d) of the 2006 Accounts Regulations does not apply. It is my responsibility to examine the accounts as required under section 44(1)(c) of the Act and to state whether particular matters have come to my attention.
Basis of Independent Examiner’s Statement
My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland)Regulations 2006. An examination includes a review of the accounting records kept by the charity and a comparison ofthe accounts presented with these records. It also includes consideration of any unusual items or disclosures in the accounts and seeks explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and, consequently, | do not express an audit opinion on the view given in the accounts.

In the course of my examination, no matter has come to my attention which gives me reasonable cause to believe that in any material respect the requirements

1. Basis of Accounting
These accounts have been prepared on a Receipts and Payments basis in accordance with the Charities & Trustees Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006 (as amended). Under the terms of the Leases with North Ayrshire Council relating to the tennis courts, pavilion and football pitch, the Charity is responsible for the operational and maintenance costs. User Agreements have been signed with the main users, West Kilbride Amateur FC and West Kilbride Tennis Club, that they will continue to pay such costs and will fully reimburse any such costs the Charity may have been required to pay.
2. Nature and Purpose of Funds
Unrestricted Funds are those that may be used at the discretion of the Trustees in furtherance of the objects of the Charity. The Trustees maintain a single Unrestricted Fund for the running of events the Club. No fundraising were held in the year. Donations were received as shown in Note 4 below Restricted Funds may only be used for specific purposes. Restrictions arise when specified by the donor or when funds are used for specific purposes. 3. Related Party Transactions
The Trust's insurance policy includes Trustee Indemnity Insurance for all trustees. No remuneration nor expenses were paid to the trustees or any connected persons during the year. 4. Donations

- Post Year end Events
In 2024 grant applications were submitted to the UK Government Community Ownership Fund and to Sports Scotland for grants totaling £640,000, the estimated cost of converting the derelict blaes football pitch at Kirktonhall Glen into a grassed pitch together with a pavilion and floodlights. Included also was the installation of lighting on the path into the Glen giving access to both the existing and new pitch and the tennis courts. No formal response has been received but it is understood the Community Ownership Fund has been discontinued.
The lighting of the path has been progressed by the West Kilbride Community Council on behalf ofall. users. A grant has been obtained and Planning Permission given. This project has now been completed very successfully.
A revised plan is being considered to move the grass on the existing football pitch to the derelict blaes pitch and lay astroturf on the former with lower maintenance costs. Funding of up to £930k is being sought and Planning Permission has been granted.
