The trustees present their annual report together with the financial statements of the charity for the year to 5 April 2025. The financial statements have been prepared on a Receipts and Payments basis.

Objectives and Activities

Charitable purposes

Our aim is to provide a museum for the benefit of the Strathaven community, tourists and internet visitors that achieves the following purposes:

Context

Enjoying the third year of our lease of the property at 10 Todshill Street, Strathaven, our Board, Members and Friends are learning more about running a volunteer-managed charity. We continue to develop our plans and to fulfil our aim of providing a modern Community Museum with a range of displays and longer exhibitions on a range of heritage topics relevant to our town and its residents, attracting visitors in person and online from around the world.

Generation Strathaven 15th March, 2024 - 12th April, 2024. An art competition for all the pupils in Strathaven Academy.

Churches Exhibition 20th April, 2024 - 9th June, 2024. The exhibition included the original Turret Clock mechanism from Avendale Parish Church ( church) for a time from 1-10th May, including 3 weekends, which we got on loan from South Lanarkshire

Leisure. From the outset, we were consistent in welcoming the church representatives and enabling them to understand that our focus on the churches was not that of faith or worship. It was striking how relaxed and enthusiastic the participating clergy became. We looked at built and opened their doors over the past millennium. As was commented, this offered participating leaders a rare opportunity to be together in this joint programme.

Gala Day/ Rugby Club/ Wee Train 14th June, 2024 - 25th August, 2024. The first of several phases, each featuring different activities in Strathaven. Gala was celebrating 50 years of in the Museum, our very active Rugby Club marking 40 years and the Wee Train an inspiring 75 years since its inceptio in Scotland.

Guides/Balloon Festival/Young Farmers 30th August, 2024 - Girl Guides have always aimed high: their Centenary deserved a celebration, with a display of Guide Uniforms over the years. Meanwhile, our Strathaven Balloon Festival could make ready to congratulate itself on its 25th year of presenting hot air flight, unique in Scotland, with at least 20 enormous and colourful balloons (Local shops showed support with window displays. Sadly, gale force winds and near-monsoon conditions forced the organising team to cancel than compensated, the weekend festival attracting over 30,000 spectators, proving that the organising team could bounce back successfully and achieve the original Festival outcomes).

With fingers crossed for some dry days in early summer (ie towards the end of the current session), we organised for selected year groups Primary School walking visits to some of the oldest parts of Strathaven: half of the girls and boys are accompanied by their teachers and Trust Members, and receive a commentary as

The groups then swap, before returning to school/history sessions. Very enjoyable for all concerned. And the sun shone!

The theme of

Community Support

The Trust has now established its invitation to those who may benefit to join our volunteers for weekly experience and support. This has brought individuals from Secondary Years or adult life into the work we do. Examples are a senior student who was clearly very bright but was not confident socially. He is now enjoying his chosen university degree course, but still finds time to do his bit for the Museum and helps visitor supervision at weekends a role which requires confidence. He is now a skilled and personable Member of the Trust.

We also have ready contact with a local care home and currently we work with staff to support a vulnerable young adult who clearly finds it a pleasure to see the books and other reading and shares their satisfaction when visitors come to see our displays.

We are delighted that many visitors are now very aware of the Trust and its Museum work. Local folk are to be expected, of course, and they are always welcome. Increasingly, we receive visitors from far afield in the UK but we have been pleasantly surprised by the considerable numbers who hail from other lands most notably from Canada and North America. The advent of easy access for enquirers to the Museum via the Internet has given us new contacts, to whom we do our best to assist when they have questions about our Town and its centuries of individual and family development. We are finding growing numbers who are using the C3 coach service, managed by Climate Action Strathaven, to bring them promptly from Glasgow.

We are delighted that the Trust is continuing to attract visitors and that we are continuing to enlist new Members, the life blood of a project such as ours. Thanks to everyone who has given time and energy to the Museum.

Events

Quiz Night at Golf Club 19th April, 2024. A full house, once again. Donations from local businesses appreciated to swell our Raffle.

Talk to Bethany Group 10th April, 2024. (Evidently enjoyed we were invited back).

Christmas Lunch 4th December. (A chance to meet and thank our volunteer team).

A Glimpse Ahead

Inevitably, Museum management is a heavy responsibility. The Trust has now spent the substantial donation given to the Museum bya local businessman specifically to offset our energy costs during the first 2 years in our present home. We continue to carry out the funding research which we hope will enable us to maintain our work.

Of course, the fun part of our work (still takes time and design) is display in some form, including major exhibitions. For some months, we have displayed some biographies which have generated considerable interest. From Friday 7° November, a further feature will be distinguished wartime service.

Financial Review

Our main source of funding continues to come from fundraising. We held a catered Quiz Night at Strathaven Golf Club in April 2024 for 100 people that generated a surplus of over £500. Later, we produced a calendar that generated a surplus of over £700 between business sponsorship and calendar sales. Our static collecting cans in shops generated over £800. The input from the collecting cans is encouraging. We received a few donations from kind businesses and individuals and a grant from East Kilbride Community Fund and the Micro Grant administered by SLC on behalf of the Renewable Energy Fund. Our biggest expenses, the rent and electricity costs of our premises, are funded from a grant received last year specifically for those expenses.

The bank account contains £16,050 (2024: £14,385) of unrestricted and £255 (2024: £7,087) of restricted funds.

Income for the period totalled £6,298 (2024: £14,822) including income from donations and fundraising activities of £5,498 (2024: £5,072). Costs for the year totalled £11,465 (2024: £10,180). At the end of the year, there is a deficit of £5,167 (2024 surplus: £4,642) which is deducted from reserves.

The Trustees used to aim to maintain all the reserves described as unrestricted funds at a . The grant for rent & electricity is almost finished and there is no grant award imminent to help with future costs. Fortunately, there is no further work required to the premises. The Trust will have to improve fundraising results and pursue grant awards which is easier said than done when there are a lot of volunteer groups in this small community pursuing the same.

Investment policy

The Trustees have no funds on deposit or otherwise invested. The funds available are required for working capital. There are no plans to deposit or invest anything.

Reserves policy and going concern

The Trustees are keen to ensure that proper financial planning and budgetary control is operated within the Group. The Trustees have considered the reserves required to meet their current and future obligations. The fundraising model for 2024-25 was sound and successful, but there is still a deficit of over £5,000. The model for 2025-26 includes the following:

  1. Increase the number of Members and further develop Friends of the Hohn Hastie Museum.

  2. Commit Members and Friends to monthly standing orders between £5 and £25, whatever they can afford. This started in August 2025.

  3. Increase the number of Trustees. There are two potential Trustees who would bring fresh and constructive ideas to the exhibitions and fundraising.

  4. Already doing this, but ensuring that the exhibitions are not static keep them pertinent to the area, present fresh exhibitions regularly and promote them better. Cash or card donations from visitors are important but we need more visitors.

  5. The Quiz Night was hugely enjoyable because it was different to a normal quiz night. It has to be a regular feature of our fundraising activities.

  6. We will continue to give talks on our exhibitions to local groups in the hope of support, but not conditional on support.

The Trustees are confident that this fundraising model is achievable with the volunteers the museum has. With successful grant applications, even if for modest amounts, we should generate the funds required to keep the charity as a going concern.

Structure, Governance & Management

Constitution

The Charity is a Scottish Charitable Incorporated Organisation. It is governed by its constitution which was adopted on 11 December 2018.

Appointment of Trustees

The organisation consists of Members and a Board. The people serving on the Board are Trustees. Membership is open to people aged 16 or over, but not employees of the Trust (presently no employees). There must be at least 3 Trustees, but no more than 10. The number of Members is not limited.

At each AGM, the Board and the Members may elect any Member to be a charity Trustee. All current Trustees retire from office at the AGM but are eligible for re-election.

A person is not eligible for appointment to the Board if he or she is disqualified from being a charity Trustee under the Charities and Trustee Investment (Scotland) Act 2005 or is an employee of the organisation.

The Board may appoint a non-Member to the Board provided he or she is not disqualified as above and on the basis that he or she is nominated by a body with which the charity has a close contact or because he or she has specialist skills or experience the charity needs. This Trustee has the same obligations as any other Trustee.

The Trustees receive no remuneration. The Trustees all give freely of their time and expertise without expectation of remuneration or other benefit in kind other than the personal satisfaction that comes with knowing you are making a difference. The constitution includes provision for paying expenses, but no expenses were requested or paid to the Trustees in the year.

Management of the Charity and Risk

The Trustees are responsible for the strategic direction and governance of the charity. The following summarises the main governing procedures prescribed in the constitution, a copy of which is available to every Member.

Board meetings require a quorum of 4 Trustees present in person. Each Trustee has one vote, but must be present to exercise that right. If there is an equal number of votes for and against a resolution, the Chairperson has a second, casting vote. A Trustee cannot vote on a matter in which he or a connected person has a personal interest or where duties conflict with the interest of the charity.

Attendance at Board meetings is open to anyone, but only the Board have a vote. All decisions are made by majority vote.

Members may also call meetings provided they follow the protocol set out in the constitution. The quorum is the greater of either 8 Members or one third of the total membership, present either in person or by proxy. The Chairperson of the Board would act as Chairperson of the

The charity trustees are responsible for preparing a Trustees’ Annual Report and Financial Statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The law applicable to charities in Scotland requires the charity trustees to prepare financial statements for each financial year which give a true and fair view of the state of affair of the charity and of the incoming resources and application of resources of the charity for that period. In preparing the financial statements, the trustees are required to:

Respective responsibilities of Trustees and Examiner

The charity’s trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 (“the 2005 Act”) and the Charities Accounts (Scotland) Regulations 2006 (as amended) (“the 2006 Regulations”). The charity's trustees consider that the audit requirement of Regulation 10(1)(d) of the 2006 Regulations does not apply. It is my responsibility to examine the accounts as required under section 44(1)}(c) of the 2005 Act and to state whether particular matters have come to my attention.

Basis of Independent Examiner’s Statement

My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland) Regulations 2006. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeks explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently, | do not express an audit opinion on the accounts.

In the course of my examination, no matter has come to my attention:-

  1. Which gives me reasonable cause to believe that, in any material respect, the requirements a. to keep accounting records in accordance with section 44(1)(a) of the 2005 Act and Regulation 4 of the 2006 Regulations, and
