## **STRUCTURE, GOVERNANCE AND MANAGEMENT** 

The Association operates as an unincorporated organisation. The Association was formed and commenced operating on 2 March 2009. The Association is governed by its Constitution that may only be altered by the Members in a General Meeting. 

The Trustees are appointed by the Members at a General Meeting. 

## **OBJECTIVES AND ACTIVITIES** 

The objective of the organisation is to promote the advancement of citizenship and community development in Dunlop, Lugton and surrounding areas. The community has grown considerably in recent years and we are looking to bring new and old members together in a common purpose uniting families and people of all ages.

## **ACHIEVEMENTS AND PERFORMANCE** 

**Dunlop Gala 2024** was another hugely successful day and coincided with exceptional weather. The growing number of volunteers is very welcome and this takes a lot of the pressure off the general committee. 

This year the committee decided to change the route of the Parade, starting at Newmill Road just along from Struthers Farmhouse and then down to the roundabout past the Church Hall, Main Street then Kirkland Road then into the park. This proved to be an enormous success, with the streets filled with people looking to see the Pipe Band, vintage tractors and the P7 float. 

The Park was filled to capacity with so many attractions for all ages – carousels, slides, bouncy castles, and other larger inflatable “action” attractions for the older children. The Stalls were filled with a great diverse range of items to buy. The arena and stage hosted Scottish Dancing, Ballet and the fantastic “Delighters” street entertainers. 

This year the DEA had invested Grant money and donations into new assets – a Huge “branded” Deck Chair, was located at the main entrance to the park, more flags, Gazebos and a Teepee. 

Beat the Goalie and the Table Tennis Club are now very popular attractions and then of course there is the Dog Show which continues to grow every year. 

There is an increasing demand for a varied selection of food options and this year exceeded most people's expectations – Fish and Chips, Burgers, Pancakes, Hot Dogs, Caribbean and artisan coffee. 

This year we introduced an Art Tent to encourage everyone of all levels of artistic ability to give it a go. This resulted in a large number of participants and is something we will continue in future years. 

The attendance and popularity of the event continue to grow each year. The Trustees would like to thank all the Members and the local community for their efforts during the period and for their continued support.

## **FINANCIAL REVIEW** 

The Trustees are pleased with the results for the year that will allow us to continue with the Gala Day. 

We invested in additional signage and flags and were able to accommodate higher costs for inflatable attractions, after one of our usual suppliers was unable to support us at relatively short notice. 

The Association produced a surplus for the year of £3,780 (2023 surplus of £1,044). 

We continue to act as Host Organisation for two un-constituted community groups, allowing them to apply for funding, and are holding £718 in our restricted funds on their behalf. 

## **RESERVES POLICY** 

The Trustees’ policy is to maintain sufficient reserves to cover the fixed costs of the following years Gala Day. 

Unrestricted reserves at the year-end amounted to £12,647 plus restricted funds of £718 (2023 unrestricted £8,868 plus restricted funds on £742). 

## **PLANS FOR FUTURE PERIODS** 

The Trustees intend to continue and develop the events that the Association organises for the benefit of the community. 

We are still considering establishing a Scottish Charitable Incorporated Organisation (SCIO) to take over from the existing unincorporated organisation. This will not affect the way in which the Association operates but will provide a measure of protection for the trustees as well as giving us the ability to hold property and contracts in name of the Association.

## **INDEPENDENT EXAMINER’S REPORT TO THE TRUSTEES OF THE DUNLOP EVENTS ASSOCIATION** 

I report on the financial statements of the charity for the year ended 30 November 2024 which are set out on pages five to seven. 

## **RESPECTIVE RESPONSIBILITIES OF TRUSTEES AND EXAMINER** 

The charity’s trustees are responsible for the preparation of the financial statements in accordance with the terms of the Charities and Trustee Investment (Scotland) 2005 Act and the Charities Accounts (Scotland) Regulations 2006.  The charity trustees consider that the audit requirement of Regulation 10(1) (d) of the Accounts Regulations does not apply.  It is my responsibility to examine the financial statements as required under section 44(1)(c) of the Act and to state whether particular matters have come to my attention. 

## **BASIS OF INDEPENDENT EXAMINER’S STATEMENT** 

My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland) Regulations 2006.  An examination includes a review of the accounting records kept by the charity and a comparison of the financial statements presented with those records.  It also includes consideration of any unusual items or disclosures in the financial statements and seeks explanations from the Trustees concerning any such matters.  The procedures undertaken do not provide all the evidence that would be required in an audit and, consequently, I do not express an audit opinion on the view given by the accounts. 

## **INDEPENDENT EXAMINER’S STATEMENT** 

In the course of my examination, no matter has come to my attention. 

1. which gives me reasonable cause to believe that in any material respect the requirements: 

   - to keep accounting records in accordance with section 44(1)(a) of the 2005 Act and Regulation 4 of the 2006 Accounts Regulations, and 

   - to prepare financial statements which accord with the accounting records and comply with Regulation 9 of the 2006 Accounts Regulations. 

have not been met, or 

2. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the financial statements to be reached.

# **Notes to the Unaudited Financial Statements For the year ended 30 November 2024** 

## **1. ACCOUNTING POLICIES** 

(a) The financial statements have been prepared on the Receipts and Payments basis and in accordance with the Charities & Trustees Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006 (as amended). 

(b) Voluntary income is received by way of donations and gifts and is included in full when received. The value of services provided by volunteers has not been included. 

(c) Grants are recognised in full when received. 

(d) Resources expended are recognised in the period in which they are incurred.  Resources expended include attributable VAT which cannot be recovered. 

(e) Resources expended are allocated to the particular activity where the cost relates directly to that activity. 

(f) Unrestricted funds are donations and other incoming resources receivable or generated for the objects of the charity without further specified purpose and are available as general funds. 

(g) Restricted funds are to be used for specific purposes as laid down by the donor.  Expenditure which meets these criteria is charged to the fund. 

## **2. TRUSTEES’ REMUNERATION AND BENEFITS** 

There were no Trustees’ remuneration, expenses or other benefits for the year ended 30 November 2024 nor for the year ended 30 November 2023.
