Recruitment and appointment of Trustees

All of the Association’s trustees are appointed or reappointed by the members at the annual general meeting, which is held in September each year. Membership of the PTA is open to all parents/guardians of children attending Banchory Primary School, and all staff at the school.

Governing document

The Association is a charitable unincorporated association and the purposes and administration arrangements are set out in the constitution which was last amended on the 11 September 2012.

Charitable purposes

The Association’s purpose, as recorded in the constitution, is to promote close co-operation and communication between the parents and teachers of Banchory Primary School; to afford the opportunity for discussion of matters pertaining to the education and welfare of pupils at the school; to organise social, educational and fundraising activities which support and advance the education and sense of community within the school.

Activities and achievements

Another full year of fundraising for Banchory PTA with some amazing expenditures helping to improve our playground and equipment within the school.

Fundraising

In term 1 the PTA worked with Deeside Photographics to arrange individual photographs for the pupils and in term 4 for class photos. In total, £1066.38 was raised through photographs.

Also, in the 1st term, the PTA organised a school disco in the local town hall. The children really seemed to enjoy the opportunity to attend a disco and had lots of fun. The disco raised £838.93 once expenses had been taken into account.

In term 2 we worked with Art Projects for Schools (APFS) for the 5th year to provide Christmas Cards and other gifts with the children’s designs which raised £700.

We received a generous donation from the CO-OP Community Fund of £1080.00

In term 3 we held a second hand uniform sale that raised £109.81.

If parents buy their children’s clothes labels through Stikins we receive a commission and this made us £66.94.

Sports Day took place on Wednesday 28th May at the school and the PTA provided tea/coffee and homebakes as refreshments. There was also the opportunity to make a donation for used uniforms. This raised £838.47 after expenses.

In term 4 we held a Summer Fayre where we had a cafe where we sold bakes and ran a star baker competition for the adults and children. There were fun stalls ran by some Primary 7 and 6 pupils and outside groups such as The Movement Bothy, Scott Birse Fitness and the Mountain Rescue Team did some demonstrations with the children. We also had some dance and martial art groups provide some entertainment on the stage. This in total raised £2509.17.

The PTA took part in Pounds for Primaries which is ran by the Press and Journal and we received £100.

We held a final second hand uniform sale of the year and raised £75.41.

Throughout the year we received donations from Easyfundraising totalling £319.36 and Nathan’s Waste (RagBag) totalling £352.40. Other donations include Davidson’s Pharmacy a donation of £34.00, Paypal £7.23, P2 mums night out £54.00, Parentkind £93.11.

Expenditure

In our 1st term we paid for our connect Insurance at a cost of £157.00 and a Sophero Bot for the younger years costing £177.99.

In term 2 we supplied the library with new books, specifically by Scottish writers at a cost of £188.24. We renewed our lottery licence costing £20. This allows us to run raffles over a number of days.

Once again, the PTA supported classroom arts and craft materials for each class. This was calculated on the basis of the number of children in each class and totalled £1485. Teachers may use this money over the course of the year for classroom supplies.

We supplied the school with some food items for the younger years to make some simple dishes costing £59.67. We also supplied the school with a £40 gift card for them to buy tea and coffee items for the children’s special assemblies.

Every year the PTA organise a Santa Room which sees children bringing a gift into class, then all displayed in a room, for them to all take turns to pick a different gift for whom they choose. This does not raise any money but we do buy in gifts to help those who can’t afford to take part. This year we spent £190.81 and we also spent £40.80 on future gifts in the sale for next year.

The PTA contributed £200.45 towards the Christmas party snacks that benefited all years.

In term 3 the running club asked for a branded Gazebo and it was felt this was something the PTA could also use at events therefore a Banchory Primary branded gazebo was purchased for £620.00.

The PTA asked the Mens Shed if they could build a small storage box for our playground for some loose play

equipment. As they are a charity we donated them £50.

Desside Dance Centre came into the school and provided a workshop as part of health week for a small charge of £52.50.

The school asked for vinyl banners to represent the house logos at a cost of £88.76.

A large selection of wooden toys were purchased for the P1 classrooms totalling £873.50.

The P7’S had a topic about textiles so the PTA provided each of them with a plain white t-shit at a total cost of £241.80.

The PTA have contributed towards the upgrades in the playground in a number of ways. Deeside Willow have provided and planted some beautiful willow plants to create specific areas in the playground. This

consisted in a lot of ground work and so far has totalled £1719.00. Craig Gibbon has made a wooden pirate ship, wooden teepees and a small climbing frame at a cost of £810.

In term 4 the PTA paid £2996.00 towards year group/class trips for all the year groups. Every pupil benefited from a trip or a specific activity arranged for their class or year group. Some examples of these were trips to Hazelhead Park, Aberdeen Science Centre and Robert Gordons University. PTA contributions helped towards travel costs and entry fees, keeping the amount parents had to contribute to a minimum.

For the second time the drama company M&M Theatrical Productions Ltd came to the school on Thursday 29th May for all school pupils and a separate workshop for the Primary 6 children at a cost of £1738.00.

Some of our smaller outgoings include, a £200 contribution to the P7 leavers party, £311.97 storage tubs in the P1 area, mini oven £160.00, Paint £50, Sashes for PTA volunteers £22.50, Pens £7.99 and A4 display stands £11.89.

Our final payment of the year was to renew our insurance at a cost of £160.00.

We would like to thank all the fantastic volunteers who help make Banchory Primary School PTA such a successful fundraising force. The very positive current financial situation will ensure that new equipment and resources can be purchased in the year ahead.

We intend to continue with our social and fundraising activities in support of the school and for the benefit of the children, over the forthcoming years.

Trustee remuneration and expenses

The trustees did not receive any remuneration during the year and claimed no expenses in connection with their official duties.

Reserves

The Association holds unrestricted funds of £9295.53 at the year end.

The Committee considers that the general fund of £9295.53 will enable it to continue to run the Association for the forthcoming years.

Independent Examiners Report to the Trustees of Banchory Primary School PTA

I report on the accounts of the charity for the year ended 31 July 2025.

Respective Responsibilities of Trustee and Examiner

The charity’s trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 and the Charities Account (Scotland) Regulations 2006. The charity trustees consider that the audit requirement of Regulation 10(1) (d) of the Accounts Regulations does not apply. It is my responsibility to examine the accounts as required under section 44(1) (c) of the Act and to state whether particular matters have come to my attention.

Basis of Independent Examiner’s Statement

My examination is carried out in accordance with Regulation 11 of the Charities Account (Scotland) Regulations 2006. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual terms or disclosures in the accounts and seeks explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently I do not express an audit opinion on the view given by the accounts.

Independent Examiners Statement

In the course of my examination, no matter has come to my attention,

  1. Which gives me reasonable cause to believe that in any material respect the requirements:

  2. ⎯ to keep accounting records in accordance with Section 44(1) (a) of the 2005 Act and Regulation 4 of the 2006 Accounting Regulations, and

  3. ⎯ to prepare accounts which accord with the accounting records and comply with Regulation 9 of the 2006 Accounts Regulations

have not been met, or

  1. to which, in my opinion, attention should be drawn, in order to enable a proper understanding of the accounts to be reached.
