## **Objectives and activities** 

Newmachar Scout and Guide Association was set up to manage and care for the Scout and Guide Hall located at Hillbrae Way in Newmachar since it was built in the late 1990’s. 

We aim to provide a dedicated facility to allow various Scouting and Guiding Groups in Newmachar and for wider Scouting and Guiding activities to be held in the village. 

The charity is not involved in running Scouting and Guiding sections, but provides the building and facilities to do so. Our aim is to maintain and generally care for and upgrade the building and associated land to be suitable for all groups. 

The building is well utilised week in, week out throughout the year and is a well known landmark in the village. 

## **Structure, governance and management**

Type of governing document 

We are governed by our Deed of Trust and Constitution. 

The Association, who manage the building is governed by the Constitution as laid out in the Deed of Trust. The Constitution was formally reviewed and amended at the 2025 AGM. 

Trustee recruitment and appointment 

Trustees are appointed by North East Scotland Scouts and Girl Guiding Gordon. 

The office bearers (Chair, Vice Chair, Treasurer and Secretary) of the Association Committee are elected annually at the AGM. 

Other members of the committee are taken from the Newmachar Scouting and Guiding sections parents as well as those who retain a long term interest and association with maintaining the building to allow Scouting and Guiding to continue in Newmachar. 

## **Achievements and performance** 

Generally, the work of the charity revolves around general maintenance of the Scout and Guide Hall. 

This year, maintenance of the hall has included painting the toilets and lighting upgrades are planned for the end of 2025 (just beyond this reporting period). 

As ever, many volunteers have given their time and talents to organising and performing improvements and maintenance to the building and the Association Committee and Trustees are indebted for all their efforts.

## **Financial review** 

Total Income : £7,470 

Total Expenditure : £23,666 

Income is up further compared to last year, however, revenues continue to be below expenditure making a further loss. It should be noted that there were levy payments made in 2025 that cover 2024 costs and additionally there was mis-reported electrical costs that show significant costs this year but will be resolved into 2026. 

Significant costs were included in 2025 for the replacement works of the hall soakaways (rainwater and septic tank off-flow). This work has been in plan for some time and has now been fully completed. 

Whilst reserves are still in good health, the committee will review income requirements and made adjustments to hall rental rates and reviewed group levies to prevent significant erosion of the reserves. 

Statement of the charity’s policy on reserves 

As effectively the charity is responsible for upgrade and maintenance of a large building, expenditure can be erratic from year to year. Also, unexpected expenditure can occur which requires a large amount of cash to hand. 

Hence we aim to keep circa £30,000 of funds available for such events. 

The soakaway expenses have been realised this financial year, going into 2026 the hall lighting is to be replaced (partially covered through grants) and will have the electrical wiring checks required. 

Statement on the asset value of the hall 

The insured value of the building in the event of total loss is £579,508 (five hundred and seventy nine thousand, five hundred and eight pounds).

## **Future plans** 

The committee will review further projects and spend to maintain the hall to a good standard. 

In particular the committee will look to improve income and reduce regular costs that are being incurred.
