REPORT OF THE TRUSTEES
FOR THE YEAR ENDED 31 OCTOBER 2025
Trustees
The committee members of the charity are its’ Trustees for the purpose of charity law and
throughout this report are collectively referred to as The Trustees.
Structure, Governance and Management
e Governing Document
Bute Agricultural Society is a charitable unincorporated association; the purposes and
administration arrangements are set out in the constitution.
e Recruitment and Appointment of Trustees
All of the charity Trustees are appointed or re-appointed by the members at our annual
general meeting.
e Trustee Induction and Training
On the recruitment of new Trustees each is given documentation on their responsibility as a
Trustee and an explanation of their duties. Training is assessed periodically and undertaken
as required.
e Risk Management
The Trustees assess the risks of the charity regularly and have noted the main risks found
as:
- Health and safety;
- Restrictions on animal movements, due to disease; and
- Financial.
These are being monitored and the Trustees are doing everything they can to minimize these
risks.
e Organisational Structure
The charity is managed by the Trustees and is administered on a day-to-day basis by the
secretary.
Objectives and Activities
The Society’s objectives are to encourage and support the farming industry, and to promote
agriculture and local produce within the Isle of Bute. To achieve these objectives the Society’s
activities include social events such as a ploughing match, dinner dance and the summer
agricultural show.
Achievements and Performance
In January we made a £500 donation to each of four local or relevant organisations, namely
HeartStart Bute, RSABI, Underheugh Ark Rescue, and Bute Animal Rescue and Rehoming
(BARAR).
We held a Ceilidh on 30th November 2024 and raised a total of £1,060 from the annual raffle and
ticket sales after costs. Our Summer Show was held on Wednesday 13th August 2025 at the
Showfield in Rothesay and raised a total of £9,053 after costs.

This allowed us to replenish our funds and make donations to local charities including Bute Resilience Team and Parkinsons UK.
Financial Review
The funds raised at our Dance and Show ensure the ongoing viability of the Society and maintenance of our Reserves policy as described below.

Reserves Policy
Our reserves policy is to keep unrestricted and undesignated reserves of 24 months expenditure at any time. This amounts to on average £40,000 and would cover the costs of putting on the Show should there be no support. It would cover contingencies relating to the showground repair and maintenance. It would also enable us to close down the charity in an orderly manner and honour commitments if the charity were to cease. Our current level of unrestricted and undesignated reserves as at 31st October 2025 totals £45,211 and is invested in the following accounts with Bank of Scotland:

Plans for the future
We will be holding our Annual Ploughing Match on 15th November 2025. Our Annual Dance is booked for 22nd November 2025 and tickets are already on sale. Our Annual Show is planned for Wednesday 12th August 2025. We plan to purchase another shipping container to provide the necessary amount of storage facilities for our marquees and equipment. This will be located alongside the container purchased this year at the Showfield in Rothesay, where groundwork has already been completed.

INDEPENDENT EXAMINERS’ REPORT TO THE MEMBERS OF BUTE AGRICULTURAL SOCIETY FOR THE YEAR ENDED 31 OCTOBER 2025
| report on the accounts of the charity for the year ended 31 October 2025, which are set out on pages 5 to 9.
Respective responsibilities of trustees and independent examiners
The charity’s Trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006. The charity Trustees consider that the audit requirement of Regulation 10(1) (d) of the Accounts Regulations does not apply. It is my responsibility to examine the accounts as required under section 44(1) (c) of the Act and to state whether particular matters have come to my attention.
Basis of independent examiners’ statement
My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland) Regulations 2006. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeks explanations from the Trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently we do not express an audit opinion in the view given by the accounts.
