## **Recruitment and appointment of Trustees** 

Committee members are appointed at the Annual General Meeting as and when required, in line with the Constitution. 

## **Governing document** 

The Association is a charitable unincorporated association, and the purposes and administration arrangements are set out in our Constitution. 

## **Charitable purposes** 

Our purpose is to maintain Rafford Village Hall for the use of the community of Rafford Village and carry out fundraising to that end. 

## **Activities and Achievements** 

We’ve hand another very productive and engaging year, with a wide range of regular and one-off events and activities taking place in the Hall, supporting the local community and raising funds for the Hall. 



We now have regular Hall bookings from Be Creative (Craft Group), the Parent, Baby & Toddler Group (PB&TG), Peaceful Heart Sangha, Pilates, Quakers, Rafford Art Group, Rafford Quirky Quilters, Rafford Sassy Sewers, Scottish Country Dancers, Moray & District Dancers, the Scottish Women’s Institute, the Village Café and Yoga Group. 

Many Fundraising Events were held throughout the year, which raised funds for the Hall (after expenses) as follows: 

- Accordion & Fiddle Night (October 2023) - raised £327 

- Fundraising Ceilidh (November 2023) - raised £661 

- Christmas market (Dec 2023) – raised £459 

- Quiz Night (April 2024) - raised £206 

- Curry Night (April 2024) - raised £234 

These fund-raising events are only made possible by the phenomenal support of the volunteers and their wonderful generosity.  Words cannot express how grateful the Hall has been over the past 12 months to every single supporter/volunteer of the Hall.  They have made the future of the Hall much more secure. 

We’ve received over £2.5k of donations from a variety of sources, including collections at various events, and two funeral teas, and which also includes a generous donation of £2k from Finderne Community Council for maintaining the stone boundary wall of the Hall. 

In addition the Hall has had good levels of hire for occasional event bookings, totalling just over £2k of income, from events such as: 

- Private parties/family gatherings (around 10 bookings) 

- Private group events including a school exchange gathering and a long distance walking group 

- Ticketed events organised by other organisations, such as a Findhorn Bay Arts concert and Naturally Useful Ceilidh fundraising for their new therapeutic gardening project. 

- Other bookings include Finderne Development Trust and Finderne Community Council for meetings, and use by Moray council as a polling station. 

- Additionally we’ve also generated Hall hire income through the Rafford’s Growing Roots project from multiple events (described further below), totalling £730.

This year we’ve been particularly successful in securing grant income to fund a range of communityfocused projects. 

We received grants totalling over £4k to fund “Souper Thursday” which ran from 11[th] January to end of March 2024.  Grants came from the TSI Moray Local Action Fund to cover weekly costs, and the Developer Obligation Fund for equipment.  Each week we had an amazing turnout, sharing soups cooked by volunteers in a wonderful convivial atmosphere. 

Generous funding was also received from the Berry Burn Community Fund and a Finderne Development Trust Micro Fund grant for the PB&TG, allowing this group to carry on for at least two more years fully funded, covering Hall hire and supplies.  So far a total of £2,500 has been received from these grants, with a further £2,500 to come in the next financial year. 

We also received a fantastic £15,000 of funding from Moray Council’s Shared Prosperity Fund for a series of events under the banner of the “Rafford’s Growing Roots” project.  So far this has seen us 



deliver a series of workshops with local experts, including foraging, fermenting, and botanical dying. Several of the outputs of these workshops fed into a beautiful Community Lunch in September, held as part of the Findhorn Bay Arts Festival, catered for by local chef of Marcassie Farm Shop, with produce supplied by a range of local producers.  More events are planned to take place during the next financial year. 

We continue to keep on top of ongoing repairs, maintenance and improvements.  The following have been purchased in the past 12 months – repairs to the boundary wall (generously covered by the Finderne Development Trust), a trolley for moving chairs, and various items to improve the kitchen and enhance catering for large groups (a storage trolley, glass jugs, and additional plates), and fire safety items. 

In March we took up a new electricity contract, which put an amazing effort in to find the best deal available.   We ended up securing a better deal than we’d anticipated, but still an increase compared to our previous fixed rate deal.  Due to rising costs across the board (electricity, music licence, cost of supplies etc), we reviewed hall rental rates, increasing them from 1[st] April 2024. We’ve also invested time and resources in moving our accounting system onto web-based software to streamline the process. 

It’s good to report that the hall is recovering well from the past few years of uncertainty, and we expect it will continue to prosper over the next financial year. 

## **Committee remuneration and expenses** 

The committee did not receive any remuneration or expenses, aside from reimbursement of any expenses incurred on behalf of the hall, during the year. 

## **Reserves** 

The current total cash at bank and in hand of £54,514.95 is primarily for the ongoing maintenance and running of the hall.  This total also includes a ring-fenced amount (as at 30/9/24) of £10,612.76 made up of £264.90 of Awards for All National Lottery Fund funding for the PB&TG, £1,000 of a Finderne Development Trust Micro Fund grant for the PB&TG, £8,747.86 of funding from the Shared Prosperity Fund from Moray Council for the 'Rafford's Growing Roots' project, and £600 of insurance bonds held for party bookings (to be returned in full subject to the Hall being left in a suitable condition).
