Report of the Trustees for the year ended 31 December 2025
The Trustees are pleased to present their annual Trustees’ report together with the financial statements of the charity for the year ending 31 December 2025 which are also prepared to meet the requirements for a directors’ report and accounts for Companies Act purposes.
The financial statements comply with the Charities and Trustee Investment (Scotland) Act 2005, the Charities Accounts (Scotland) Regulations 2006 (as amended), the Companies Act 2006, the Memorandum and Articles of Association, and Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102).
OBJECTIVE AND ACTIVITIES
The Trust operates for the benefit of young men and boys in attendance at Charlotte Baptist Chapel, Edinburgh, to provide them with ‘Christian Recreational Training’. This includes training in camp life, nature study, hand-work, gymnastics, physical training and the development of a spiritual life. Property at Canty Bay, North Berwick, in East Lothian was donated in 1936 to the Trust for the furtherance of these objectives. Income is to be utilised firstly in the upkeep of this property, secondly to provide an adequate Reserve Fund to meet the cost of unforeseen repairs, and finally any surplus is to be applied for the purpose of providing facilities for the Christian Recreational Training for the members of the Charlotte Chapel Boy Scout Group. The Trustees have the power to ‘make over’ Trust estate for the use of other groups in certain circumstances.
ACHIEVEMENTS AND PERFORMANCE
The Trustees are pleased to report another productive year for the Evans Trust, with strong booking levels and significant progress made across a number of key projects. Bookings remained consistently high throughout 2025, with weekend availability largely filled and bookings for 2026 already progressing well.
The major focus of the year was progressing the work of Project 100, led by Trustee Stuart Walker. Following the appointment of another architect, updated plans were progressed through building control. We could then move forward with our project management arrangements and construction work commenced during the summer. Extensive dry rot and timber decay were addressed, structural steelwork was installed, dormitories and internal walls were reconstructed, and significant progress was made towards creating modernised accommodation within the Scout Cottages. By the end of the year, the buildings were largely weatherproof, with insulation, internal timber work and electrical installation substantially progressed.
Work also continued across the wider property. Coastal protection measures at the Triangle were completed, supported by beach restoration measures and the planting of marram grass. The Cub Cottage shower room refurbishment and bunk bed upgrade was completed, continual safety improvements undertaken, and grounds work and facilities across the site continued to be enhanced.
The Trust successfully completed migration of its data and communications systems to a charity Google Drive platform, improving accessibility and security. New @cantybay.com email accounts were introduced, administrative processes were streamlined, and booking procedures continued to be improved.

Fundraising for Project 100 remained successful throughout the year, with donations including Gift Aid exceeding £86,000 by year end. The Trust was grateful for support from individuals, churches and organisations including the Benefact Trust, Vardy Foundation and Charlotte Chapel.
Communication with supporters continued to develop through newsletters, a successful open day in May, and the establishment of social media platforms. The Trustees remain grateful to the many volunteers, supporters and donors whose time, expertise and generosity have contributed to the continued success of the Trust and the ongoing development of Canty Bay.
FINANCIAL REVIEW
Donations totalling £48,793 (2024: £21,550) were received in the period. Total income for the period was £97,408 (2024: £69,652). At the balance sheet date the unrestricted reserves were £626,229 (2024: £604,840), including designated funds of £525,731 (2024: £510,477). Restricted reserves were £Nil (2024: £31,045).
At 31 December 2025 the market value of investments held was £70,658 (2024: £60,250).
Investment policy and performance
In accordance with the Articles of Association, the Trustees have the power to invest in such stocks, shares, investments and property in the UK or overseas as they in their sole discretion see fit. Some of the Trust’s investments are managed by investment managers, to whom decision-making is delegated within agreed constraints. The Trustees are satisfied with the investment performance during the period.
Reserves policy
The Trustees' policy is to maintain the real value of the unrestricted reserves, while using the camp and income from investments to finance the ongoing running costs of Canty Bay and any unforeseen repairs. At the year-end free reserves (being general funds) were in surplus by £100,498 (2024: £94,363), which the Trustees consider reasonable given the activities of the Trust.
Risk Management
The Trustees place a high priority on effective risk management to ensure that the charity operates within its financial capabilities and makes prudent financial decisions. In addition to financial risk management, the Trustees also place a high priority on minimising the exposure to risk of campers and visitors. Policies and procedures are in place covering health and safety related matters. Detailed risk assessments are in place and reviewed regularly.
As the major source of income is from camps the main financial risk is a fall in bookings as evident in the recent pandemic. The Trust is fortunate in having relatively low running costs as there are no employees. A policy of keeping a healthy capital cash reserve of more than a year’s running costs mitigates against this financial risk. The relatively small investment portfolio performance is regularly reviewed by the Trustees.
Material risks are reduced by regular risk assessments and covered by comprehensive insurance.
Data management is being addressed through the recent migration to Google Drive, providing secure storage and easy access to essential documents.

FUTURE PLANS
The Trustees look forward to another busy year in 2026, with bookings already progressing well and continued interest from a wide variety of groups and organisations. A key priority of the year will be the completion of the first phase of Project 100, including the finishing and furnishing of the Scout cottages and consideration of future use of the Big House facilities. The Trustees will also continue to develop a long-term maintenance programme for the property and grounds, ensuring the site remains safe, welcoming and well maintained.
Safeguarding arrangements will be strengthened through updated PVG requirements and training for those involved in the work of the Trust. Communication with supporters will continue through newsletters, social media and future open days, while refreshing branding will be considered following completion of Project 100.
Fundraising efforts will continue to support remaining Project 100 works and future development projects. The Trustees remain committed to providing a safe and welcoming Christian residential centre where young people and groups can enjoy, fellowship, recreation and spiritual growth for many years to come.
STRUCTURE, GOVERNANCE AND MANAGEMENT
Governing documents
The Evans Trust was originally set up as an unincorporated charitable trust on 22 September 1936 by Trust Deed.
A limited company by guarantee was incorporated on 17 August 2011 and the operations of the Trust transferred to the company from 25 August 2011.
Appointment of Trustees
New Trustees are appointed by the personal invitation of current Trustees. There is no minimum or maximum number of Trustees. The current Trustees are all former members of Charlotte Chapel Scout Group or Guide Group, and new Trustees would probably be chosen from a similar background.
Trustees’ induction and training
There is no formal induction and training as such, but any new director would be briefed by the chair on all matters pertaining to the charity.
Organisational structure
The Trustees are responsible for both the strategic decision making of the charity and its day to day administration and operation. There are no paid employees.

Trustees’ responsibilities in relation to the financial statements
The charity trustees (who are also the directors of the Evans Trust for the purposes of company law) are responsible for preparing a Trustees’ annual report and financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).
Company law requires the charity trustees to prepare financial statements for each year which give a true and fair view of the state of affairs of the charitable company and the group and of the incoming resources and application of resources, including the income and expenditure, of the charitable group for that period. In preparing the financial statements, the Trustees are required to:

select suitable accounting policies and then apply them consistently;
-
observe the methods and principles in the Charities SORP;
-
make judgements and estimates that are reasonable and prudent;
-
state whether applicable UK accounting standards have been followed, subject to any material departures disclosed and explained in the financial statements;
-
prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business.
The Trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time the financial position of the charity and to enable them to ensure that the financial statements comply with the Companies Act 2006. They are also responsible for safeguarding the assets of the charity and the group and hence taking reasonable steps for the prevention and detection of fraud and other irregularities.
The Trustees are responsible for the maintenance and integrity of the corporate and financial information included on the charitable company’s website. Legislation in the United Kingdom governing the preparation and dissemination of financial statements may differ from legislation in other jurisdictions.

YEAR ENDED 31 DECEMBER 2025
I report on the accounts of the charity for the year ended 31 December 2025 set out on pages 8 to 17.
Responsibilities of the charity’s committee and independent examiner
The charity’s Trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006 (as amended). The charity’s Trustees consider that the audit requirement of Regulation 10(1) (a) to (c) of the Charities Accounts (Scotland) Regulations (as amended) does not apply. It is my responsibility to examine the accounts as required under section 44(1) (c) of the Act and to state whether particular matters have come to my attention.
Basis of Independent Examiner’s Report
My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland) Regulations 2006 (as amended). An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the Directors concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently I do not express an audit opinion on the view given by the accounts.
Independent Examiner’s Statement
In the course of my examination, no matter has come to my attention:

(1) which gives me reasonable cause to believe that in any material respect, the requirements:

to keep accounting records in accordance with Section 44 (1)(a) of The Charities and Trustee Investment (Scotland) Act 2005 and Regulation 4 of the 2006 Accounts regulations and Section 381 and 382 of the Companies Act 2006; and
-
prepare accounts which accord with the accounting records and comply with Regulation 8 of the Charities Accounts (Scotland) Regulations 2006 (as amended).

For the year ended 31 December 2025 the company was entitled to exemption from the requirement to have an audit under section 477 of the Companies Act 2006. No members have required an audit of its accounts for the year in question in accordance with section 476. The directors acknowledge their responsibility for:

1. Accounting Policies
a)
Basis of preparation
The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS102) (effective 1 January 2019) - (Charities SORP (FRS 102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Companies Act 2006.
The Evans Trust meets the definition of a public benefit entity under FRS102. Assets and liabilities are initially recorded at historical cost or transaction value unless otherwise stated in the relevant accounting policy note(s).
The charity has taken advantage of the exemption from the requirement to prepare a Statement of Cash Flows as permitted under FRS 102 and the Charities FRS 102 SORP.
b)
Fund accounting
Unrestricted funds are available for use at the discretion of the Trustees in furtherance of the general objectives of the charity. The Designated Funds are unrestricted funds earmarked by the Trustees for future purposes or projects. The General Fund represents the unrestricted funds, which the Trustees are free to use in accordance with its charitable objects.
c)
Income
Income is recognised when the charity has entitlement to the funds, any performance conditions attached to the item(s) of income have been met, it is probable that the income will be received and the amount can be measured reliably.
Interest on funds held on deposit is included when receivable and the amount can be measured reliably by the charity; this is normally upon notification of the interest paid or payable by the Bank.
d)
Expenditure and irrecoverable VAT
Expenditure is recognised once there is a legal or constructive obligation to make a payment to a third party, it is probable that settlement will be required and the amount of the obligation can be measured reliably. Expenditure is classified under the following activity headings:

Costs of raising funds comprise the costs of investment manager’s fees.
-
Expenditure on charitable activities includes the costs incurred by the charity in delivery of its activities and services to its beneficiaries and their associated support costs.
-
Other expenditure represents those items not falling into any other heading.
Irrecoverable VAT is charged as a cost against the activity for which the expenditure was incurred.
e)
Allocation of support costs
Support costs are those functions that assist the work of the charity but do not directly undertake charitable activities. Support costs include governance costs which support the Trusts programmes and activities. These costs have been allocated between cost of raising funds and expenditure on charitable activities as set out in note 3.

f) Fixed Assets
Fixed assets are stated at cost less accumulated depreciation. Items over £200 are capitalised and are depreciated over their estimated useful lives on a straight-line basis. The following rates are applied:

No depreciation is provided on buildings as, in the opinion of The Trustees, the length of their estimated useful economic life and estimated residual value is at least equal to the book value. Having regard to this, it is considered that the depreciation of any such buildings would not be material. Costs of repairs and maintenance are charged to revenue as incurred. The Trustees has reviewed fixed assets for possible impairment and are satisfied that no such impairment has taken place.
g) Fixed Asset Investments
Investments are a form of basic financial instrument and are initially recognised at their transaction value and subsequently measured at their fair value as at the balance sheet date using the midmarket value at the balance sheet date. The statement of financial activities includes the net gains and losses arising on revaluation and disposals throughout the year.
The Trust does not acquire put options, derivatives or other complex financial instruments.
The main form of financial risk faced by the charity is that of volatility in equity markets and investment markets due to wider economic conditions, the attitude of the investors to investment risk, and changes in sentiment concerning equities and within particular sectors and sub sectors.
h) Financial instruments
Financial instruments comprise financial assets and financial liabilities which are recognised when the charity becomes a party to the contractual provisions of the instrument. They are classified as “basic” in accordance with FRS102 and are accounted for at the settlement amount due, which equates to the cost. Financial assets comprise investments and cash. Financial liabilities comprise accruals.
i) Unrestricted funds
Unrestricted funds are donations and other incoming resources receivable or generated for the objects of the charity without further specified purpose and are available as general funds.
j) Restricted funds
Restricted funds are to be used for specific purposes as laid down by the donor. Expenditure, which meets these criteria, is charged to the fund, together with a fair allocation of management and support costs.

k) Provisions
Provisions are recognised when the charity has a present obligation as a result of a past event, it is probable that a transfer of economic benefit will be required to settle the obligations and a reliable estimate can be made of the amount of the obligation.
L) Judgements and key sources of estimation uncertainty
In the application of the charity’s accounting policies, the trustees are required to make judgements, estimates and assumptions about the carrying amount of assets and liabilities that are not readily apparent from other sources. The estimates and associated assumptions are based on historical experience and other factors that are considered to be relevant. Actual results may differ from these estimates.
The estimates and underlying assumptions are reviewed on an ongoing basis. Revisions to accounting estimates are recognised in the period in which the estimate is revised where the revision affects only that period, or in the period of the revision and future periods where the revision affects both current and future periods.

Expenditure was £117,472 (2024: £29,488) of which £81,965 (2024: £3,024) was restricted and £35,507 (2024: £26,464) was unrestricted. Further breakdown of expenses is not undertaken as the Trustees believe there is only one main activity.

During the year one Trustee, Brian Wilson, has been paid a remuneration of £6,510 (2024: £8,537) for labour carried out on the site and £1,529 (2024: £3,356) for materials and equipment, as permitted under the Articles of Association. Additionally, two other trustees (2024: three trustees) have been reimbursed expenditure of £926 (2024: £841) incurred on behalf of the charity. No amounts were outstanding at the year end.
The Trust had no paid employees during the current or previous period.
5. Taxation
The charitable company is exempt from corporation tax on its charitable activities.

The Fixed Asset fund represents the fixed assets of the charity and is to be used for the upkeep of the premises.
The Investment fund represents the investments held by the charity.
The general funds are to be used at the discretion of the Directors in furtherance of the general objectives of the charity.
The restricted Project 100 fund represents donations and grants received to fund the refurbishment and expansion of the Scout cottages. The transfer relates to contribution from the general fund to cover overspend on the restricted Project 100 fund and represents capital expenditure on refurbishment transferred to the fixed asset fund within the year

12. Company Limited by guarantee
This is a company limited by guarantee and does not have share capital. Each member of the company has agreed to contribute an amount not exceeding £1 to the assets of the company in the event of winding up.
13. Related Parties
The charity was controlled by the Board of Trustees for the year under review. Two trustees (2024: three trustees) were remunerated and refunded expenses during the year, further details of which can be found in note 4. Furthermore, during the year four trustees made donations of £901 (2024: £345 by two Trustees) to the charity. Two trustees (2024: Two trustee) also made a booking of the upper flat at the same rate as any other tenant.
