The Trustees

The trustees who served the charity during the year were as follows:

Structure, Governance and Management

Governing Document

Ayr Fort Players is an unincorporated charity. It is governed by its constitution and is registered as a charity under number SC001927.

Appointment of Trustees

Trustees are appointed at the Annual General Meeting.

Trustee Induction and Training

New trustees undergo induction and training to brief them on their legal obligations under charity law, the content of the constitution, the leadership team and decision making processes.

Organisation

The trustees administer the charity. Regular meetings are held on a monthly basis together with the Annual General Meeting, which is normally held in June.

No trustee may serve as an employee of the charity nor be entitled to any remuneration or expenses.

Objectives and Activities

The objective of Ayr Fort Players is to meet and produce plays as an amateur dramatic club in the town of Ayr and to encourage the performance of drama throughout Ayrshire.

Achievements and Performance

Ayr Fort Players is a non-profit making, amateur drama club, which is open to all sections of the local community and is centred in the Ayr district. We undertake the study of drama and its production, both on and off stage.

During the course of the year we stage two major productions and a number of minor ones, which comprise rehearsed readings, one act plays and the opportunity use our skills in local events, as they present themselves.

The club provides an opportunity for people with an interest in the stage, to join and learn all aspects of work in the theatre. Everything from building and painting sets, through working front of house, to acting in a play.

Of the three drama clubs, which used to exist in Ayr, we are the only one left which is still performing regularly. This has been achieved by hard work and dedication. Since the loss of the Civic Theatre, the cost and difficulty of staging productions has increased exponentially, but we struggle through nevertheless.

With some financial help and the same drive, we hope to continue and to thrive.

Financial Review

The Receipts and Payments Account for the year shows total income of £29,014 and total expenditure of £24,899 which results in a surplus of £4,115.

Plans for Future Periods

The club is planning a small scale tour of rural venues throughout Ayrshire in 2024 in conjunction with the Gaiety Theatre, Ayr. We also intend to run a series of technical workshops for those wishing to undertake stage management roles within local arts groups in Ayrshire.

This will be run alongside our main productions as we continue to contribute to the local arts landscape within the town and into Ayrshire.

AYR FORT PLAYERS

I report on the accounts of the charity for the year ended 31 May 2024 which are set out on pages 6 to 8.

Respective responsibilities of trustees and examiner

The charity’s trustees are responsible for the preparation of the accounts in accordance with the terms of the Charities and Trustee Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006. The charity trustees consider that the audit requirement of Regulation 10 (1)(d) of the Accounts Regulations does not apply. It is my responsibility to examine the accounts as required under section 44 (1)(c) of the Act and to state whether particular matters have come to my attention.

Basis of independent examiner’s statement

My examination is carried out in accordance with Regulation 11 of the Charities Accounts (Scotland) Regulations 2006. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeks explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently I do not express an audit opinion on the view given by the accounts.

1 ACCOUNTING POLICIES

The accounts have been prepared under the receipts and payments basis and are in accordance with The Charities and Trustee Investment (Scotland) Act 2005 and the Charities Accounts (Scotland) Regulations 2006.

The charity has both restricted and unrestricted funds.

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes. The restricted income in 2024 was to extend drama offerings in the community and fund workshops which have not as yet taken place.
