The Trustees present their annual report and financial statements for the year ending 31[st] August 2023

Organisational Structure

Academy Primary And Nursery School Parent Teacher Association (PTA) is a Charity which is administered by a committee of Trustees elected at our General Meeting (AGM) and is governed by its constitution (adopted on 4[th] September 2018)

PTA members are made up of parents and teachers at Academy Primary and Nursery School Saintfield, who meet on the first Tuesday of each month during term time to discuss matters relating to our core objectives.

The PTA is registered with the Charity Commission for Northern Ireland and is required by law to submit its annual report and accounts to the Commission each year.

The accounts for the year ending 31[st] August 2023 have been prepared on a receipts and payment basis and independently examined, in line with the requirements of The Charities (Accounts and Reports) Regulations (Northern Ireland) 2015.

Purpose and Objectives

The PTA’s objectives, as set out in our mission statement are to:

More specifically, the Association is established to: -

a) Promote close co-operation and communication between parents and teachers at the School;

b) Study and discuss matters of mutual interest relating to the education and welfare of pupils at the School;

c) Engage in activities that support and advance the education of the pupils attending the School, including fundraising and after school activities;

d) Consider applications for funds put to the Association from parents, teachers, pupil council and groups within the School and grant funds to support such applications where the request is passed by a majority of the Committee.

We are an active PTA which organises social fundraising events for families and children of the school, such as Disco's, Story and movie nights, quizzes, Wine tasting nights, bag packs, Cinema night, Christmas fairs etc.

In addition to this we also actively volunteer for the school regularly; such as helping out on sports day, book fairs, leavers day and open days.

We organise and volunteer at regular events held each year to assist in raising vital funds for the use of the school.

Academy Primary And Nursery School PTA Fundraising Highlights of the Year

Academy Primary School PTA – Annual Review 2022-2023

The 2022/23 year began with Emma Maguire as Chairperson, Louise Dainty as Treasurer and Victoria Kelly as Secretary.

In September 2023, the PTA presented the school with a cheque for £18,000. We will formally present this to Mr Fegan, on behalf of the school during our Beetle Drive.

It was lovely to be able to hold our Annual Beetle Drive following the 2 years’ hiatus due to COVID. This is a thoroughly enjoyed event for families and a great way to kick start the year. Following this, we completed another successful ‘Smarties challenge’ with the Smarties very kindly donated by the Vivo in Saintfield.

In no time it was time to hold our Autumn Parties just before the children finished for midterm. The children wore fancy dress, ate sweets and crisps and even had time for a dance in the hall with their spooky goodies they had purchased!

It wasn’t long before Christmas time was upon us which meant the children were able to design their own Christmas cards. We were also delighted to hold our Christmas Fair which included lots of stalls and of course our fantastic raffle. We really appreciate how well this was supported by both families and local businesses. We had top prizes of an IPAD, 2 Laptops, Show tickets and Vouchers.

Into the New Year, we held a successful story day in school where the younger children had cookies and juice and were able to wear their PJ’s to school for the day! On the same evening, the older children came to school to watch a movie with snacks.

Just before Mid-term, we held an Easter Egg hunt and raffle for the entire school which the children enjoyed.

Throughout the year we continued to see a fantastic response from the entire community for ‘Cash for Clobber’ and for the first time we held a ‘Spring Clean’ day where we invited families to donate clothing and fabrics to go towards raising money for the school. This was really well supported by all!

We continue to look for innovative ways to raise money for the school and our uniform sales have proven to be a real practical event that help parents and the school together! We love to see pre-loved uniform going to use. 4

One of the most exciting events of the year occurred in May; The Coronation Event and the Sponsored Colour Run! Both children and adults(!) had a fantastic time and it was lovely to have families come and watch the children as they participated in the event.

We closed the year with our Summer BBQ. This event was fantastically supported and we felt it was a brilliant way to close another successful year of fundraising. It was an event for the whole family and the sun shone for us all evening!

This coming year looks very exciting, and we have already held our first meeting at the start of September. I would like to personally thank you all for your support over the past 12 months and would welcome any new volunteers to join our team!

In addition to fundraising events listed above we continue to draw income throughout the year from Cash for Clobber, Easy Fundraising, My Nametags and School Uniform sales.

Engagement with Local Businesses

Our engagement with Local businesses remained strong this year.

Examples included: donations for Christmas Raffle, donations towards sports day refreshments, supply of goods for BBQ and donations of Smarties for our Smartie tube collection.

We greatly appreciate all the continued support from the local businesses who assisted the PTA during the year.

Public Benefit Statement

In setting our objectives and planning our activities for the year the Trustees have given careful consideration to the Charity Commission for Northern Ireland’s guidance on public benefit to ensure that the activities have helped to achieve the charity’s purposes and provide a benefit to the beneficiaries.

Direct Benefits flowing from Academy Primary PTA’s Purpose include:

Purpose 1: Improved relationships between home and school. The benefit which flows from this purpose includes funding for additional resources for the school and links built with the local community.

This is demonstrated through having an active PTA that works in partnership with the school and engages parental support. Also demonstrable through the Annual Chair's report.

Purpose 2: Advancing the education of pupils in the school. The benefit which flows from this purpose includes increased educational progress and attainment of pupils in the school and links built with local community.

This is demonstrated through pupils having access to resources, events, activities and links with the local community which would not otherwise be available. Also demonstrable through statistics and increased enrolment at the School.

The purposes do not lead to any harm.

The benefit is for the children at Academy Primary and Nursery School.

Private benefit flowing from any of the purposes- incidental and necessary

Academy Primary PTA Charity trustees (PTA committee members) are also parents at the school which their children attend and hence gain benefit in the same way as all other beneficiaries. This benefit is incidental and necessary to ensure the benefit is provided to all beneficiaries. This applies to both purposes.

Financial position at 31[st] August 2023

At 31[st] August 2023 the PTA held £19453.72 of unrestricted funds and had no debts or funds materially in deficit. It was agreed that a grant of £18000.00 be made to Academy Primary School.

The Trustees wish to express thanks to all PTA members, teachers, school staff, parents and local businesses who assisted the charity in achieving their objectives in the year.

1. Nature and purpose of funds

All funds held by the charity were unrestricted and held for the purpose of the charitable objectives as set out in the Trustees annual report on pages 3 to 6.

2. Grants

Grant made to Academy Primary School of £18000.00.

3. Trustee remuneration

The charity trustees are not remunerated for their services to the charity. Where trustees incur expenditure on behalf of the charity these are reimbursed at cost.

4. Trustee expenses

The charity trustees are not paid expenses. Where the trustees purchase goods for fundraising activities out of their own funds these are reimbursed at cost.
