AGM 10 06 23

Notification has been given to all FunDays members that the AGM is take place today. Thanks to everyone who is in attendance.

FunDays first group was held on 10 05 14. Monthly events were held until February 2020 when the covid 19 pandemic forced events to be paused. FunDays recommenced on 22 05 22 following the appropriate risk assessments being completed. Monthly events have been held since this time.

The Committee has met on a regular basis. Minutes are available upon request.

The Committee now consists of 5 members- Nadine McCullough Heron- Chair; Carol- AnneVice Chair; Colette- Treasurer; Bronwen- Vice Treasurer; Rhonda Summerfield- secretary.

Louise Lindsay is no longer part of the committee.

We have been lucky to have a regular pool of around 10 volunteers who have assisted with the setting up and running of each of each group- a huge thank you to them all, we couldn’t do it without you.

We now have approximately 130 families registered with us.

Registration forms need to be completed and we aware that this matter needs attention to ensure all relevant information is up to date. We plan to address this over the summer months.

It is made clear to all parents/carers that there are responsible for their children at all times during the group and appropriate signage is displayed throughout the venue.

The families who attend have children who have a range of disabilities and ages. We have tried to accommodate all needs when planning activities, and have asked group members for any ideas for events or equipment/toys.

We are very grateful to Belmont Church for the continued use of the halls.

The financial details of the group are available through the bank account records and through the spreadsheet completed by the Treasurer.

Our most recent fundraising has been through a Christmas raffle, a pub quiz and a smartie tube collection. A number of individuals and businesses have given donations throughout the year for which we are very grateful.

We are registered as a charity- details can be found on the Charity Commission website. During covid the Charity Commission did not require accounts/reports. We are now required to provide them with an annual report and accounts by April 2024. The accounts will be independently audited.

A Child Protection Policy and Risk assessments are in remain in place and can be accessed on request. We have our own public indemnity insurance to cover the events. We are covered by the churches fire policy. We need to consider a health and safety policy.

Advice received stated that given the nature of our group Access NI checks are not required due to parents being responsible for their own children and no child care being provided.

We request a £5 or £10 donation per family ( dependent on the number attending) at each group which is used to help cover running costs. This is a voluntary contribution and no family would be excluded if they chose not to make the donation.

At each group we generally provide three activities as well as refreshments for parents/carers and children. We also provide arts and crafts at each group as well as a variety of toys. We have developed a third room in the premises to cater for our older children. This has proved very popular.

The activities have been wide ranging including Party Animals NI; Pets as Therapy; Music therapy; Playball; Jo Jingles; IFA; Fitness Freddie; Magic George; Sign2Music; Moo Music and our Christmas Party.

We have purchased some new specialist equipment thanks to a donation from the Perennials. However space for storage remains an issue so we are restricted in the items we can have.

We have sought feedback from our families re ideas for the group/activities and are happy to take on board any suggestions.

No Special General Meetings have been required.

The Constitution was altered in line with requirements by the Charity Commission when the application was being made but our purpose, aims and objectives remained fundamentally the same and these changes did not impact on the running of the group.

Efforts have been made to ensure that we comply with GDPR through “opting in” option being given to our members on fb and by text.

All members are content to remain in these roles for the next 12 months.

Current committee members should sign the constitution document. This document will be sent to the Charity Commission to advise of the details of the new committee and of those who are no longer involved.

Thanks to everyone on the Committee, all the volunteers and the Church- without your contributions we would have no FunDays!!
