ANNUAL REPORT & STATEMENT OF ACCOUNTS FOR YEAR ENDED 01/09/2025

## **Purpose** 

The purpose of Grey Abbey Parent Teacher Association is to advance the education of pupils in Grey Abbey Primary School in particular by: Developing effective relationships between the staff, parents and others associated with the school; Engaging in activities or providing facilities or equipment which support the school and advance the education of the pupils. 

## **Purpose 1: Improved relationships between home and school** 

The benefit which flows from this purpose includes funding for additional resources for the school and links built with the local community. This is demonstrated through having an active PTA that works in partnership with the school and engages parental support. This purpose does not lead to harm. The benefit is for children at Grey Abbey Primary school. 

Charity trustees (PTA committee members) are usually also parents at the school which their children attend and hence gain benefit in the same way as all other beneficiaries.  This benefit is incidental and necessary to ensure the benefit is provided to all beneficiaries. 

## **Purpose 2: Advancing the education of pupils in the school** 

The benefit which flows from this purpose includes increased educational progress and attainment of pupils in the school and links built with the local community. This is demonstrated through pupils having access to resources, events, activities and links with the local community which are not available through direct school funding. This purpose does not lead to harm. The benefit is for children at Grey Abbey Primary school. 

## **What the PTA does** 

Grey Abbey Primary School PTA is made up of a group of elected parents, volunteers and teaching staff. All parents are invited to meetings and to help with events run by or supported by the PTA.  The programmes of events varies through the year with the funds raised used to support the school. 

Working with the Principal we fundraise for a major item each year which makes a significant difference to the school. Previous purchases include an interactive whiteboard, an outdoor classroom and play equipment.

## **Aims** 

- To engage in activities which support and advance the education of the pupils attending the school; 

- To promote close co-operation and communication between parents and teachers; 

- To work with the School in areas of mutual interest relating to the welfare of the pupils 

- To support the staff at the school; 

## **Membership** 

All parents/guardians of children attending Grey Abbey Primary School and all staff at the school shall be eligible to attend PTA meetings and whilst attendance at meetings remains below twenty there will be no specific membership. 

## **General Meetings** 

The business shall include: 

- The work of the committee 

- Approval of the accounts 

- Any resolutions submitted 

- Election of members to serve as office bearers 

At all AGM’s voting shall be on the basis of one vote per person at the meeting.  At all AGM’s the quorum shall consist of five people to include one office bearer and one teacher. 

## **Committee** 

The business of the PTA shall be managed by a meeting of at least five people. Under normal circumstances office bearers shall be appointed at the AGM for a three-year term.  They will be elected on a three-year rolling cycle where the Chair is elected in year one, the Secretary in year two and the Treasurer in year three.  The PTA may co-opt any parent or teacher to fill a vacancy occurring between AGM’s. The co-opted office bearer shall retire at each AGM but shall be eligible for election. Meetings shall be held as required. 

At all meetings of the PTA five parents or teachers, of whom at least two are office bearers shall form a quorum. 

Each parent or teacher attending a meeting shall have one vote and resolutions shall be passed by a simple majority vote of those present. The Chair shall have a casting vote.  The Chair’s casting vote shall be used only in the event of a tie.

The Secretary shall be responsible for keeping accurate minutes of all meetings and these shall be read and agreed at the beginning of each subsequent meeting. 

Funds of the PTA shall be lodged in a bank, building society or other account in the name of the PTA.  Cheques shall be drawn or withdrawals made against the signatures of two names from the office bearers and the Principal of the school. 

The Treasurers shall be responsible for keeping accurate records of the financial transactions of the PTA.  The books shall be brought to balance before the AGM and the accounts shall be approved by the AGM. 

The PTA shall be responsible for ensuring that all property/money received by/for the PTA shall be applied for the aims of the PTA. 

## **Changes to the Constitution** 

Changes or additions must be made at an AGM or EGM called for the purposes. The proposed change shall be specified in the notice calling the meeting and be approved by a simple majority. 

## **Dissolution** 

In the event that the PTA ceases to exist, any remaining funds should be distributed for the benefit of the children at the school.

## **Activities and Achievements 2024 – 2025** 

Grey Abbey PTA has completed another successful year supporting the school to raise essential funds for the benefit of all our children. 

PTA fund raising efforts started with the return of the school year in September 2024. The goal for the year was to raise £2,000 to help with the requisition of books and stationery for each class. 

## **September – December 2024** 

Smartie tubes - We began with children being provided with Smarties tubes.  Once they had enjoyed the Smarties children were encouraged to fill the tube with change and return it to school. 

Fireside quiz - A fireside quiz was kindly provided by Amelia Angus which raised a total of £34.00 for the school. 

Pumpkin display - We held raffle in October for a beautiful pumpkin floral display donated by Mrs Burns.  This raised a total of £105 for PTA funds. 

Wreath making - Mrs Burns hosted a wreath making night on 28[th] November in school, organised by Michelle Atcheson.  This was a lovely evening, enjoyed by all who attended.  £438.73 was raised towards school funds. 

Christmas Fair - The Christmas Fair took place on Friday 6[th] December 2024 with a number of PTA stalls in the main assembly hall and community group stalls in the classrooms of the school building. 

All the children made crafts to be sold at the Fair as well as a very successful knitted scarf stall. 

A raffle was held with prizes donated by a number of local businesses, residents, parents and PTA. 

## **January – March 2025** 

Name that bear! A total of £77 was raised by those wishing to win a beautiful teddy kindly donated to the school. 

Easter basket - We held an Easter raffle -  the contents of the beautiful basket kindly donated to the Donna Rea, second prize – a balloon and Easter and third prize – an Easter egg, donated by the PTA.  This raised a total of £284.00 for funds. 

## **April – June 2025** 

Breakfast – Trinity Church kindly hosted a Big Breakfast on 5[th] April with all funds going towards the PTA.  A total of £793 was raised.  Thank you Trinity Church and all the volunteers who helped prepare the hall, cook the breakfast and washed all the dishes!

Belfast Marathon - May saw Mr Shephard, our new Principal take on the mammoth task of completing the whole Belfast marathon.  This raised a total of £1,329.67 with £458 of this being donated to the NI Cancer Fund for children and the remaining amount being added to school funds.  Thank you Mr Shephard! 

VE day – The PTA were successful in an application to Ards and North Down Borough Council for a VE Day of £1,000.  Funding was used to host a VE Day Assembly, Afternoon tea for the Monday Club, a special visit to school by the ice cream van and a very enjoyable visit from Wee Bugs and Beasties.  The kids loved seeing, touching and holding a variety of animals and learning all about them. 

Sports Day - This year saw another sports day hosted by Mr and Mrs Montgomery who once again very kindly donated the refreshments of tea, coffee and biscuits for everyone.  PTA funds provided ice cream for all the children. 

Mr Shephard and all of the school staff have offered great support to the Committee at PTA meetings and at all the events held throughout the year and we are thankful for all the help and support they give,  going above and beyond to help out. 

The PTA Committee would like to thank all the parents, grandparents, carers, Board of Governors and the local community for their continued support throughout the year. 

As outgoing Chair I would like to thank Lorraine, Lauren and Roberta for all their help and assistance to me personally during my three year term. 

As a small but committed PTA we look forward to a successful 2025- 2026 school year of raising much needed funds to support the Grey Abbey Primary School.
